KEY RESPONSIBILITIES:
+ Assists Research Administrative Services leadership in the day-to-day operations and administrative management of staff performing pre- or post-award activities for the sponsored projects research portfolio for their assigned department, division or school.
+ Assists RAS leadership to hire, train and evaluate staff.
+ Coaches staff to ensure appropriate professional development.
+ Assigns and reviews work of staff.
+ Monitors compliance with agency and University reporting regulations.
+ Tracks metrics to monitor efficiency and efficacy, generates reports, and helps determine if operational adjustments and improvements should be made.
+ Works with stakeholders to address any problems or issues that arise and seeks the involvement of the RAS Director, as necessary.
+ Interacts with central offices of research administration and external sponsors.
+ Works with RAS leadership and team to create new processes and efficiencies, where needed.
+ Provides a set of consistent and standardized reports to RAS leadership and other leaders on a regular basis.
+ Responds to requests for data and information.
+ Performs related responsibilities as required.
MINIMUM QUALIFICATIONS:
+ Bachelor's degree and six years of experience in grants and contracts management, or related field or an equivalent combination of education, training and experience.
+ Master's degree is strongly preferred.
+ Previous supervisory experience is desired.
+ Knowledge of federal rules and regulations relating to research grant and/or contract activity.
+ Proficiency with MS Office software.

Position Purpose


This position will provide specialized administrative support to Vice President and department. They will perform a broad range of administrative duties to support the daily business operation including planning and scheduling meetings, managing customer inquiries, reviewing documents and planning events. Composes various types of correspondence, compiling and integrating data from a variety of sources. Creates, edits, proofreads and publishes formal presentations and reports adhering to established style guides and management/business unit preferences.
  • Facilitates management and business unit communications through email and hard copy. Provides support by assisting with the development of internal communications from draft state to final publication. Manages and routes sensitive and confidential information. Manages various email inboxes.
  • Maintains management and business unit calendars and manages conference room schedules. Plans, coordinates and schedules meetings, appointments and conference calls. Reserves meeting spaces and equipment. Attends staff meetings and other meetings and records meeting minutes.
  • Coordinates internal and off-site meetings and events including scheduling facilities, equipment and catering. Prepares, assembles and distributes meeting agendas and event materials. Makes travel arrangements, coordinating flights, car rental, and hotel accommodations as needed.
  • Processes monthly credit card statements, out-of-pocket expenses, and invoices for management and/or business unit. Creates, submits and monitors expense reports and associated documentation using internal expense reporting system. Coordinates various daily, weekly, monthly reporting.
  • Responds to internal and external inquires regarding the business unit via email and telephone. Screens and routes telephone calls, assisting callers as required. Relays messages to appropriate team members. Greets visitors in a professional and courteous manner. Notifies staff of visitors and/or directs visitor as appropriate.
  • Establishes and manages paper and electronic filing systems. Prepares, reviews, distributes and files routine correspondence, memoranda, letters and reports. Gathers, sorts and distributes incoming office mail.
  • May serve on one or more project teams that require cross collaboration of team members. Facilitates communication efforts throughout the business unit and assists in tracking project timelines and meeting deadlines.
  • Provides back-up support and coverage to other administrative staff as required. May train and assist less experienced administrative assistants within the same business unit. Develops and maintains positive working relationships. Supports groups initiatives and works to reach common goals.
  • Each team member is expected to be aware of risk within their functional area. This includes observing all policies, procedures, laws, regulations and risk limits specific to their role. Additionally, they should raise and report known or suspected violations to the appropriate Company authority in a timely fashion.

Impact Fire Services is seeking an Administrative Assistant to support the Office Manager. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
**Primary Job Responsibilities:**
+ Maintaining a consistent work pace to bill Construction/Service customers
+ Attend billing meetings and report on daily/weekly numbers
+ Manage workflow ensuring that deadlines are met and work is completed correctly
+ Assist with collections on outstanding invoices
+ Answering phone calls and email messages
+ Provide customer support as needed
+ Upload paperwork to compliance & billing portals as needed
+ Attend weekly department meetings
+ Implement and monitor programs as directed by management, and see the programs through to completion
**Required Skills:**
+ Administrative Assistant experience
+ Strong background in Construction/Service Billing, Accounts Receivable and collections
+ Current use of MS Office Suite (Word, Excel) in a proficient manner
+ Ability to analyze and revise operating practices to improve efficiency
+ Detail oriented and comfortable working in a fast-paced office environment
+ Exceptional communication skills
+ Superior organization skills and dedication to completing projects in a timely manner
+ Be available to work Monday-Friday 8a-5pm in office.
**Other Required Capabilities:**
+ Knowledge of scheduling software such as Service Trade, Inspect Point and/or various billing and compliance portals is a plus but not required.
+ Customer Service - provide helpful, courteous, accessible, responsive and knowledgeable support to staff, customers, and others at all times
+ Problem Solving - Identifies potential issues, find solutions by looking beyond the obvious, and apply effective methods for solving problems to support the business objectives.
+ Strong interpersonal/communication skills
+ Detailed oriented and demonstrate a high degree of accuracy when performing daily data entry
Successful completion of a drug test and pre-employment background screening is required. MVR checks are required for all driving positions.

Provides general front desk coverage duties including greeting guests, answering and directing incoming calls, maintaining supplies and reception area appearance as well as mail distribution. This position also provides a variety of administrative duties in support for many other departments, such as the HR and Logistics teams. This role is very diverse and requires the ability to multi-task, take independent initiative, properly organize and prioritize in order to meet deadlines while managing competing priorities. Must embrace a strong customer service mentality and function with a high degree of professionalism.
Job Responsibilities:
- Front office receptionist responsibilities include; handling incoming calls and greeting visitors and guests
- Follow up on incoming client calls to ensure all calls are attended to by the appropriate staff member
- Take lead on internal events by coordinating logistics, collateral, catering, setup, and tear-down
- Maintain, and troubleshoot office equipment; train staff members on proper operation and handling of equipment
- Manage resource scheduling utilizing Microsoft Outlook calendars (e.g. conference rooms, hardware)
- Track office supply inventory and order office supplies, as needed, using cost-effective approach
- Process and distribute office mail, type and distribute correspondence, make copies, etc.
- Provide HR process support which may include; scheduling appts, maintaining records, and providing process-related guidance and information to employees
- Maintain orderly conference rooms, workrooms, kitchens, and lobby
- Identify, recommend and implement solutions for interdepartmental and business operations processes
- Collaborate with all departments to achieve operational excellence
Skills, Qualifications & Experience:
- High School diploma required; some college preferred.
- 3 or more years of experience in an office setting
- Must possess the ability to keep information confidential.
- Exceptional interpersonal, oral, and written communications skills.
- Exceptional analytical and computer skills including advanced skills in Microsoft Office software.
