PURPOSE
Responsible for performing a variety of general administrative and office operations support activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- May serve as office receptionist. Greets visitors, determines the nature of their business, and notifies appropriate staff member while ensuring office security measures are followed correctly.
- Prepares routine correspondence, office forms and/or other business related documents.
- Performs data entry/retrieval functions.
- Handles Incoming and Outgoing mail and interoffice communications.
- May perform office supply inventory and replenishment services.
- May arrange meetings and conferences; maintains calendars and makes travel reservations.
- Understands and observes all safety procedures and practices in order to prevent injury to self or co-workers; attends periodic safety meetings as required; may recommend changes to improve safety procedures.
- Other duties may be assigned.

MINIMUM REQUIREMENTS

- Direct and coordinate the administrative activities in support of the real estate office. Oversee, maintain and perform the day-to-day sales office operations, including: payment of bills, answering phones, record keeping, invoicing, marketing, filing, assisting sales/branch manager, tracking expenses, greeting clients, building and equipment maintenance and maintenance of office supply and marketing material inventories. (35-45%)
- Oversee the processing and verifying of new listings and sales, which may include entering the listings and sales into the system. Ensure the accuracy and timely preparation of purchase agreements, record and maintain all sold records, and prepare monthly reports. Calculate advertising, proof and submit ads for local newspapers. Distribute work to the office staff. May handle correspondence, mail and support appointment setting. (20-30%)
- May maintain escrow account and monitor the upcoming sales transactions for completeness and compliance and ensure necessary information has been ordered and is accurate, i.e. payoff, abstract, title evidence, reports, mortgage documentation, and other pertinent information. (15-20%)
- Provide support to the sales associates which may include, processing license applications for new, renewing and transferring sales associates, ensuring all paperwork is completed and processed in a timely manner, conducting orientation for new sales associates, assisting sales associates with billings, advertising, paperwork and training. + Process of payroll to include but not limited to helping with salaried team member specials, all terminations, notes, leave of absences, transfers, comparing payroll totals, check signoffs, vacation, raises, and reporting payroll information to corporate office.
+ Document disciplinary actions and terminations accurately and on time.
+ Document injuries reported, assist in investigations, and document appropriate medical paperwork.
+ Run various types of reports for the site manager.
+ Assist with distribution of benefit forms.
+ Other job duties as assigned.

+ Must be older than 18 years of age.
+ High school graduate or General Education Degree ("GED").
