Position Overview:
The Office Administrator plays a critical role in ensuring the day-to-day administrative operations are handled efficiently. This position requires strong organizational skills, attention to detail, and excellent communication abilities to support our customers, sales team, and project managers.
Key Responsibilities:

Answer and direct incoming calls, emails, and customer inquiries professionally and promptly.

Schedule consultations, project meetings, and installations.

Maintain customer files and project records in company systems.

Assist with order processing, tracking shipments, and coordinating with vendors.

Support the sales and installation teams with administrative tasks and updates.

Process payments and manage basic invoicing and finance-related tasks.

Qualifications:

Prior office administration experience (construction or remodeling industry a plus).

Job Description
The Office Administrator assists the General Manager with various administrative tasks to include filing, running reports, setting appointments, scheduling meetings, gathering information, etc. Assists the HR Manager with daily HR functions in the store. To include conducting training sessions for new and current associates; completing new hire paperwork; filing; data entry.
ESSENTIAL FUNCTIONS:
- Supports a strong commitment to world class customer service and ensures a pleasant and productive shopping experience for all customers.
- Assists the HR Manager with the following:
- Completes all "new hire" paperwork for all new associates,
- Conducts orientation for all new associates,
- Coordinates the S.T.A.R. Program to include scheduling, training and reporting,
- Coordinates and schedules Associate training in all areas,
- Completes Data entry for new associates, pay increases, associate reviews, etc.
- Assists with planning and implementing Associate activities.
- Gathers data & information, and prepares certain reports as needed by the General Manager.
- Maintains strict confidentiality.
- Processes and codes invoices & maintain Expense Tracking Worksheet.
- Maintains store checkbook register & P-card log.
- Maintains the Competitive Shop program & the decoy list.
- Orders & monitors store supplies.
- Coordinates travel advances and expense forms.
- Submits IT Help Desk requests promptly.
- Handles customer and associate questions and requests.
- Files, types and makes copies as needed.
- Remains aware of advertised sales.
- Keeps work area clean, neat and well stocked with supplies.
- Follows all Company Policies and Procedures.
- Provides a legendary experience for every customer, every time by assisting customers in making buying decisions by:
- identifying and evaluating customers' needs,
- making product recommendations based off of this analysis,
- promoting programs including, but not limited to CLUB Membership, VOC and In-Store Pick-up.

- Minimum Degree Required: High School education or equivalent experience
- Ability to calculate figures such as discounts and make change to customers
- Ability to communicate in a friendly and professional manner to our customers and other associates.
- Must possess above average communication skills.

- Able to stand & sit for extended periods
- Ability to establish and maintain effective working relationships with Management, co-workers, and customers.

Job Summary
Under the supervision of the Human Resources Director; the Human Resources Administrative Assistant will be responsible for administrative support of day-to-day Human Resource office and administrative support to the Human Resources Director. Assisting in other various duties as assigned by the Director to further advance the ministry. This position is available starting July 28th 2025.
Essential Responsibilities & Duties
General:
- General clerical duties including photocopying, fax, and mailing.
- Maintain a digital and hard copy file system.
- Create or revise systems and documents, as necessary.
- Complete reports as requested.
- Order supplies for office.
- Crossed trained to fill in for other HR roles.
- Maintain that the office stays neat and orderly.
- Assist Human Resources Director with email management and communications.
- Primary management point for Human Resources inbox.
- Monitoring all emails, responding on Director's behalf, ensuring that inbox stays up-to-date and items are followed thru within a timely manner.
- Answer and screen incoming calls and emails.
- Schedule and coordinate meetings, agendas, appointments, and travel.
- Communicating meetings and appointments with all parties involved.
- Assist in project management and send follow-up reminders to all team members who have action steps with them.
- Create agendas for meetings led
- Take detailed notes and send out notes and action items from all meetings attended
- Follow thru with assignments given to team ensuring deadlines are met
- Follow thru on additional communication or tasks needed to be complete following meetings
- Attend meetings on behalf of Director when assigned, taking detailed notes, and following up.
- Enter invoices, process monthly bankcard statements, mileage reimbursements, and balance credit card statements.
- Provide as backup to the detailed MetLife self-bill.
- Assist in Poster Compliance.
- Family Medical Leave Act:
- Prepare FMLA documents and coordinate meetings.
- FMLA management in HRIS software system and employee files.
- Manage LOA status in HRIS.
- Update payroll manual adjustments sheet for benefits invoices
- Process STD or LTD paperwork.
- Yearly FMLA paperwork audit.
- Open Enrollment:
- Participate in Open Enrollment reconciliation.
- Coordinates and setups NEO.
- Provides back-up for other functional areas of Human Resources Department.
- Performs other duties assigned by Human Resources Director.
- Assist with Career Fair coordination, facilitation, and projects as needed.
- Daily tags in recruiting for new applicants and giftings.
- Obtain and manage job descriptions, position codes, and employee groups in HIRS.
- Upkeep and manage Positions module in Human Resource Information System (HRIS).
- Manage positions on James River website and Recruiting Module (ATS).
- Update of Yearly HR report.
- Assist in interviews and other recruiting activities as directed.
- Process and maintain driver applications for employees.
- Process insurance needs for Kids & Youth camps.
- Assist in Workers Comp claims as needed.
- Processing and recording of incident reports.
- Coordinate exit interviews, and prepare termination, exit paperwork, and update payroll manual adjustments sheet as needed.
- Assist with I9 record keeping; to remain in legal compliance.
- Assist in updating FellowshipOne Go employment status.
- Have a basic understanding of payroll processing
- Aid in Payroll as needed and provide as backup for payroll processing.
- Update Manual Adjustment sheet as needed for employee changes.
Job Requirements
- High school diploma, Associates degree preferred.
- Two (2) years of administrative experience.
- HR experience is preferred but not required.
- Any equivalent combination of training and experience.
- PC skills including Microsoft Office Suite (Excel, Outlook, Publisher, Word, Planner, and Teams).
- Called to support ministry.
- Exhibit good judgment, honesty, integrity, responsibility, and punctuality through the utilization of professional work standards.
- Ability to work in a fast-paced environment while meeting critical deadlines.
- Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment; as well as English usage, spelling, grammar, and punctuation.
