- Oversee and manage the daily operations of the administrative support team, ensuring high levels of efficiency, accuracy, and professionalism.
- Develop, implement, and refine administrative policies and procedures to optimize operational workflows and support company growth.
- Manage a wide range of administrative tasks, including but not limited to scheduling complex meetings, coordinating travel arrangements, managing office supplies (for remote staff), and handling correspondence.
- Serve as a primary point of contact for internal and external inquiries, resolving issues promptly and effectively.
- Implement and manage systems for record-keeping, document management, and information retrieval.
- Support HR functions related to onboarding and offboarding administrative staff, and ensuring compliance with remote work policies.
- Coordinate with IT and facilities (as applicable for remote setup) to ensure seamless technological support for the team.
- Assist in budget management and expense tracking for administrative functions.
- Lead projects to improve administrative processes and implement new technologies or tools to enhance efficiency.
- Train and mentor administrative staff, fostering a culture of continuous improvement and excellent service.
- Prepare reports and presentations on administrative performance and operational metrics.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field; relevant certifications are a plus.
- 5+ years of experience in an administrative management or operations support role, preferably within a startup or fast-growing company.
- Proven experience managing a remote team and implementing effective remote work strategies.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Proficiency in G Suite (Gmail, Calendar, Docs, Sheets, Drive) and/or Microsoft Office Suite.
- Experience with project management tools (e.g., Asana, Trello) and HRIS systems is beneficial.
- Strong problem-solving and decision-making abilities.
- Excellent communication, interpersonal, and customer service skills.
- Ability to work independently, take initiative, and maintain confidentiality.
- Experience in process improvement and workflow optimization.
- Familiarity with e-commerce or logistics operations is an advantage.
