Position Summary

The Program Manager oversees the daily operations of the assigned NYS OCFS licensed Just for Kids Before & After School location. To oversee the implementation of preplanned activities and create supplemental appropriate and engaging activities as needed for participants in a safe, supervised, structured environment, in alignment with OCFS regulations.

  • Oversee the implementation of age appropriate daily activities and model appropriate activities to staff as needed.
  • Schedule spaces of groups of children based on size, activity and maintaining ratios.
  • Manage staff working at the program location and ensure staff are providing direct, competent supervision of children at all times.
  • Create and disseminate regular staff communication to include upcoming week’s activities, schedule changes, special guests, etc.
  • Ensure a positive work environment for staff.
  • Timesheet approval and performance evaluations for staff.
  • Maintain positive daily communications with children and their families, staff, District operations, and the Just for Kids program at large.
  • Maintain accurate record keeping.
  • Any other duties specified by the Director of Just for Kids School Age Programs.

Schedule:

After school programs follow the District/School calendar, Monday through Friday, from dismissal (1:30pm -2:30pm depending on location) through the close of program (5:30pm or 6:00pm), plus planning time, and biweekly Program Manager Meetings. Depending on district/location morning hours commence from 7:00am/7:15am to start of school day. Current openings are Before and Afternoon programs. Five-day availability required. 12-month employment options available through our break camps and summer camps.

Requirements:

  • Develop and update program information packets, presentations, and student advisement guides; manage preparations for program orientations and webinars
  • Maintain a Program Canvas site as a hub for program resources for students and for collecting student accreditation data
  • Work closely with the Office of Accreditation and Assessment to produce reports.
  • Develop and maintain database on programs using data provided by Institution Research Reports (Argos, Banner), student cohorts and alumni
  • Ensure that student degree audits and other files are complete and up-to-date (Degree Works); oversee student outreach and communication
  • Respond to current student concerns and questions, including coordinating between TC offices (i.e., liaise with Financial Aid, Registration, Disability Services, Office of Student Support, Bursar)

  • Prepare ad hoc materials and special projects for Faculty Program directors and department chair
  • Oversee website content and maintenance.
Field placement coordination
  • Coordinate field placements (field experiences, practice, and student teaching) for the respective program including meetings with field sites, if needed, throughout New York City
  • Observe in potential placement sites and communicate effectively with staff in those sites

  • Communicate with students about placement paperwork deadlines (Exxat, Time2Track, Canvas)

Minimum Qualifications:
  • Master's degree preferred
  • (3 -5) years of experience in program management at the college level, preferably in a
    practicum setting
  • Knowledgeable about culture of schools and higher education institutions

Minimum Qualifications

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or 2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or 3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.

Job Summary:
The Development Program Manager is responsible for overseeing the strategic implementation and sustained management of a comprehensive Customer Relationship Management (CRM) system to advance donor engagement, fundraising operations, and data-driven decision-making at the Kaiser Permanente Bernard J. Tyson School of Medicine (KPSOM). This role leads complex, cross-functional initiatives involving CRM system development, data migration, staff training, and stakeholder collaboration across IT, Compliance, and other internal and external partners. The Development Program Manager designs and manages donor segmentation strategies, acknowledgment protocols, and performance reporting while leading change management efforts to drive adoption, ensure data integrity, and optimize long-term program impact.
Essential Responsibilities:
+ Develop and implement a comprehensive CRM system to track and manage donor information, interactions, and contributions. Ensure the system is optimized for efficiency and accuracy, providing training and support to staff as needed.
+ Lead change management efforts related to CRM adoption by creating communication plans, engaging key interested parties, addressing resistance, and supporting a smooth transition across departments utilizing the CRM system
+ Spearhead the CRM system setup, coordination, and collaboration with leadership, KPSOM Information Technology (IT), Compliance, and other identified internal and external partners.
+ Design and oversee the donor acknowledgment process, ensuring timely and personalized communication with donors. Develop templates and protocols for acknowledgment letters, receipts, and other forms of donor recognition

+ Manage the migration of existing donor data into the new CRM system, ensuring data integrity and accuracy. Oversee ongoing data entry and updates, maintaining high standards for data quality and security.
+ Generate regular reports on fundraising activities, donor engagement, and campaign performance. Provide insights and recommendations based on data analysis to inform strategic decision-making.
+ Support the implementation of data-informed fundraising strategies by building and maintaining donor segmentation models, lists, and tracking tools based on predefined criteria by leadership.
+ Continuously refine segmentation outputs and recommend list enhancements based on engagement patterns and historical donor behavior.
+ Coordinate the execution of personalized donor communication campaigns using CRM-integrated tools, ensuring accurate list pulls, timely mailings, and campaign tracking in alignment with pre-approved stewardship plans.
