Key Responsibilities:

  • Professionalism: Maintain a professional image and attitude in keeping the objectives of Management and residents' welfare

  • Policy Adherence: Assist in adherence to the Policy Handbook and Procedures Manual

  • File Management: Prepare and maintain complete resident and general office files

SUMMARY :

The primary responsibilities of the Assistant Property Manager includes overseeing all plant maintenance and security functions.

D. Reporting:

II. SECURITY (Optional)


  1. Implement an adequate security system for the building, the tenants and the property.
  2. Implement surveillance measures for guards and building personnel to maintain security both inside and outside the building.

III. TENANTS MOVE-INS & MOVE-OUTS

  2. Review move in package and rules & regulations. Update as needed and distribute.

C. Inspect tenant areas with Tenant Services Coordinator before move-outs to verify that space is in good condition with only normal wear and tear.


IV. JANITORIAL


  1. Maintain and update an effective cleaning program to maintain a first class building/property.

1. Regularly inspect public areas, tenant space and windows.

2. Keep records of irregularities and personnel performance and review regularly.

3. Review daily with janitorial supervisor and approve permanent changes as submitted by janitorial contractor.

4. Coordinate tenant move-ins with janitorial supervisor to ensure that tenant spaces are cleaned for occupancy.

5. Maintain daily communications with janitorial supervisor.


B. Supply contractor with monthly square footage changes of vacancies and move-ins as obtained from Vacant Suite Status Report and approved by Facility Manager

C. Review janitorial contractor specifications and procedures when necessary.

D. Check Log book daily.

E. Supervise in-house janitorial supervisor and personnel daily.

1. Create emergency clean-up procedures for flood, fire, civil disorder. etc. and review with the janitorial staff.


V. ENGINEERING

A. In conjunction with the Chief Engineer, maintain and update the Angus Property Management System to track the maintenance of building facilities and equipment. Utilize the Preventive Maintenance Inspection Form to conduct annual inspection prior to Budget preparation.

B. Evaluate all proposals for repair and maintenance and submit to Property Manager with recommendations for approval

C. Work with Property Manager, Chief Engineer and Consultants to effectively maintain the property’s sustainability program.


VI. CONTRACTS


  1. Supervise all contractors performing work under maintenance or service contracts.
  2. Read and administer all service contracts and evaluate annually for cost effectiveness in the current market conditions.


VII.TENANT RELATIONS


A. Implement ZRG initiative and program relative to the tenant relations program.

B. Ensure all tenant requests/complaints are handled in a timely manner and properly followed through.

C. Review annual Tenant satisfaction survey and respond appropriately, and complete an Action Plan.

D. Other responsibilities/duties as assigned by Property Manager. Qualification

  • Set up new tenant lease files, maintain existing tenant files, track tenant insurance certificates for vendors and tenants (coverage amounts and compliance dates) and update tenant lists monthly.
  • Assist with Tenant Relations, including but not limited to updating and maintaining the tenant handbook, order tenant move-in gifts, order holiday gifts and assist with planning of periodic tenant events.

  • Welcome visitors and clients in a professional, courteous, and helpful manner.
  • Schedule any maintenance required for office machines and computers.
  • Complete monthly accounting tasks, including review of rent edits, accruals, and account payables.
  • Assist property manager as needed with capital improvement and tenant improvement projects.
  • Assist property manager as needed with monthly reporting, operating budgets and reconciliations.


Qualifications

  • 4-year degree preferred.
  • 10+ years of experience in Commercial Real Estate Property Management preferred.
  • Excellent leadership and customer service skills with the ability to maintain a positive attitude and work both independently and as part of a team are a must.
  • Dedication, multi-tasking, and attention to detail is required.
  • MRI, Building Engines and Nexus or similar systems experience preferred.
  • Knowledge of general accounting and financing.
  • Ability to multi-task, work successfully under pressure, and effectively prioritize and manage time and workload to meet property and client needs.
  • A desire to work within a diverse, collaborative, and professional environment.


The person in this position must be able to:

  • Remain in a stationary position for 75% of the time working on a computer and attending virtual meetings.
  • Occasionally move about the office to access file cabinets, office technology, and attend meetings etc.
  • Travel to managed properties in the portfolio via automobile (hired or owned) as public transit to all

properties are not available.


Compensation

  • $75,000-$90,000Annual Salary

Macdonald & Company is proudly partnered with an established real estate firm to appoint an Assistant Property Manager in their Charlotte office. The candidate will be support the Senior Property Manager for oversight of 40+ commercial and residential assets.


Our client is a real estate development and asset management firm specializing in commercial and multifamily properties, has been in business for over forty years with a strong track record of acquiring and developing high-quality real estate projects with a focus on the Charlotte MSA.


Responsibilities:

  • Portfolio Support and Growth: Support the Senior Property Manager in day-to-day management of a diverse portfolio of 40+ assets, while progressively taking on independent oversight of specific properties.
  • Tenant Relations: Serve as a point of contact for tenants to address routine questions, concerns, and maintenance requests; escalate complex issues as appropriate.
  • Lease Administration: Prepare lease documents, track expirations, maintain accurate lease files, and coordinate tenant move-ins and move-outs.
  • Financial Support: Manage rent collection, invoice processing, expense tracking, and preparation of monthly financial and occupancy reports. Assist with annual budgeting and conduct Common Area Maintenance (CAM) reconciliations.
  • Maintenance Coordination: Schedule and follow up on work orders, liaise with vendors and contractors, and ensure timely resolution of property maintenance needs.
  • Property Inspections: Conduct regular site visits, document conditions, and provide recommendations for improvements.
  • Compliance & Risk Management: Ensure tenant and vendor compliance with building policies, safety procedures, and local regulations.
  • Vendor Coordination: Support the selection and oversight of service providers to ensure quality and cost-effective delivery.
  • Administrative Tasks: Maintain property files, prepare correspondence, assist with budgets, and support reporting to ownership.
  • Special Projects: Provide support on capital improvement projects, tenant build-outs, and other assignments as directed by the Senior Property Manager.


Qualifications:

  • Bachelor’s degree in Business, Real Estate, or related field preferred.
  • 2-5 years of property management, real estate, or related CRE operational experience.
  • CPM, CAM, or CMCA certification preferred.
  • Strong organizational and communication skills; ability to manage multiple tasks in a fast-paced environment.
  • Proficiency with property management software (e.g., Yardi, MRI, or similar) and Microsoft Office Suite.
  • Customer service orientation with the ability to build positive tenant relationships.
  • Detail-oriented with a proactive mindset and eagerness to grow into greater responsibility.
