Athletic Program Coordinator

Ensure that the goals of the CYO athletic program are carried out as part of the faith building efforts of a comprehensive ministry to youth, within the framework of the Diocese of Cleveland CYO Charter and Bylaws. Organize and coordinate a variety of duties in the assigned programs and operations of the CYO athletic program.

Under direction, ensure that the activities of this position and relevant programs are consistent with the mission, vision and values of Catholic Charities, Diocese of Cleveland.

Responsibilities:

  • Education and Training that will include the following as assigned: Coaches Development Program; Coach's Meetings; Site Personnel training Site Director's; Scorers; Timers; Clinic Operations
  • CYO Program Operations that will include as assigned: site visits and Site personnel supervision; CYO Championship Tournament assignments; Conflict Management; Program Supply and Inventory management
  • CYO Sport and Program leadership as assigned
  • CYO Administrative Responsibilities that will include incident management as assigned, staff meetings and related tasks, scheduling of contests and officials, financial administration according to Catholic Charities policies and procedures, and contest facility administration.
  • Attend and coordinate meetings with coaches, site supervisors, officials and athletic staff.
  • Assist in the preparation of statistical reports, collating information, budget preparation, and other athletic reports, as assigned
  • Assist with acquiring facilities and proper facility administration for CYO programming.
  • Prepare internet-based team competition schedules and/or game official schedules, according to the practices of the CYO.
  • Facilitate needed changes to the competition schedules and official schedules that arise during the course of the season.
  • Visit and attend game sites regularly. At sites, be visible and available to volunteers; evaluate site directors, conditions of the facilities, scorers, timers and officials.
  • Maintain positive image and relationships with site representatives, coaches, parents, spectators, officials, and participants.
  • Assist with the organization and implementation of post season play.
  • Assist in the evaluation of the CYO program.
  • Database Management
  • Assist with and learn schedule of seasonal office communications
  • Planning and Task Completion for Coach Development
  • Planning and Implementation of Hall of Fame

Requirements:

  • Combination of education and experience normally represented by a High School diploma or equivalent plus five years experience/exposure to the sports program. Four year College degree preferred.
  • Must have competent oral, written and interpersonal communication skills.
  • Must be organized, detail oriented and have the ability to maintain confidentiality and work as part of a team in an effort to complete program assignments.
  • Must have advanced computer skills and internet access to access email and web-based program management system.
  • Must have the ability to work independently to meet established deadlines while observing the practices of the CYO.
  • Ability to work a flexible schedule including weekends and nights.
  • Ability to show patience and courtesy when working with people.

Job Summary

The Associate Athletic Director for Major Gifts will focus on managing all aspects of major gifts for the Georgia Southern Athletic Foundation. This position will focus on fundraising gifts of $25K or more for Georgia Southern Athletics and will have the Assistant Athletic Director and Director of Major Gifts as direct reports. Directly reporting to and working closely with the Deputy Athletics Director of Development, this position will be one with extensive travel requirements focused on building a pipeline and raising money.

Responsibilities
  • Lead the major gifts program, including campaign planning, prospect/pipeline management, managing the lifetime giving societies and ensuring fundraising goals are achieved
  • Solicit for gifts of $5K or more for Georgia Southern Athletics
  • Complete at least 200 personal visits annually
  • Identify new prospects and work towards closing gifts from those prospects
  • Travel 3-4 weeks out of every month
  • Work collaboratively with the University Foundation
  • Build a portfolio of at least 100 major gift prospects
  • Perform 15-20 major gift solicitations annually

Job Summary

Associate Athletic Director, Advancement Major Gifts

The Associate Athletic Director, Advancement Major Gifts, is a senior leadership role within Hampton University Athletics, responsible for developing, managing, and executing a comprehensive major gift fundraising strategy. This position is focused on identifying, cultivating, soliciting, and stewarding major gift prospects to secure significant philanthropic support for the athletic department's priorities, including scholarships, facility enhancements, and programmatic initiatives. The Associate AD will work closely with the Director of Athletics, the Senior Associate Athletic Director for Advancement, university advancement leadership, coaches, and external stakeholders to achieve ambitious fundraising goals and elevate the profile of Hampton University Athletics.

Examples of Duties:

  • Lead the identification, cultivation, solicitation, and stewardship of major gift prospects and donors, managing a dynamic portfolio to maximize philanthropic support for Hampton University Athletics.
  • Develop and implement strategic fundraising plans to secure major gifts ($25,000 and above) for key athletic department priorities, including scholarships, capital projects, and endowments.
  • Collaborate with the Director of Athletics, Senior Associate Athletic Director for Advancement, university advancement, coaches, and other internal partners to align fundraising efforts with departmental and institutional goals.
  • Organize and execute targeted donor engagement activities, including personal visits, events, and recognition opportunities to strengthen donor relationships and encourage continued support.
  • Prepare compelling proposals, presentations, and communications tailored to major gift prospects, ensuring alignment with donor interests and university priorities.
  • Maintain accurate and timely records of donor interactions, gift agreements, and stewardship activities using the university's advancement database.
  • Monitor fundraising progress, analyze results, and provide regular reports to athletic and university leadership.
  • Represent Hampton University Athletics at university, community, and external events to enhance visibility and philanthropic engagement.
  • Supervise and mentor advancement staff or volunteers assigned.
  • Embody and promote the core values of Hampton University: integrity, respect, decency, dignity, and responsibility.

Typical Qualifications:

  • Bachelor's degree required; advanced degree preferred.
  • Minimum of 5 years of progressive experience in fundraising, advancement, or development, preferably in intercollegiate athletics or higher education.
  • Demonstrated success in securing major gifts and managing donor relationships, with a proven track record of meeting or exceeding fundraising goals.

Supplemental Information:

  • Strong interpersonal, communication, and presentation skills, with the ability to build relationships with diverse constituencies including alumni, donors, corporate and community partners, coaches, and student-athletes.
  • Experience developing and executing strategic fundraising plans and managing a portfolio of major gift prospects.
  • Knowledge of NCAA rules and regulations, and a commitment to compliance.
  • Proficiency with donor management systems (e.g., Banner, Razor's Edge) and Microsoft Office Suite.
  • Ability to work evenings, weekends, and travel as required for donor cultivation and events.
