Overview

The 4th year Clerkship Specialist reports directly to:
  • The Clinical Education Sr. Administrative Director
The Administrative Coordinator will work primarily with:
  • Associate Dean of Clinical Education
  • Assistant Dean of Clinical Education
He/she is required to work independently and to have considerable initiative; demonstrates resourcefulness, and problem-solving skills in applying a detailed knowledge of the responsibilities and functions; expected to follow any requirements regarding work and attendance as established by university rules, department policies and procedures.

Work involves planning, mastery of multiple software platforms and regulatory framework of medical education. Organizing, administrative duties and data-entry input including a wide range of related administrative duties; collaborates with other student coordinators on team on all-staff projects.

Responsibilities

SPECIFIC RESPONSIBILITIES:

  • Rotation Scheduling & Oversight
    Coordinate and evaluate clinical rotations for medical students in collaboration with teammates and department leadership.
  • Site & Schedule Management
    Maintain comprehensive knowledge of rotation schedules and site availability.
  • Communication & Coordination
    Serve as the primary point of contact for all communications related to clinical rotations, utilizing Zoom, Teams, CED Connect, e-mail, eFax, phone, in-person meetings.
  • Rotation Applications & Documentation
    Process student rotation requests and oversee application submissions. Ensure all documentation is accurately completed and submitted to clinical sites.
  • Site & Preceptor Verification
    Verify site and preceptor credentials, including licensure and accreditation.
  • VSAS & Digital Platforms
    Manage the VSAS system and related digital services.
  • Audit & Compliance
    Conduct monthly audits of rotation schedules and 4th-year graduation requirements.
  • System & Document Maintenance
    Maintain accurate and up-to-date information in CANVAS and the Clinical Rotation Manual. Manage student records, including immunizations, background checks, transcripts, and other sensitive information.
  • Student Registration Support
    Facilitate student registration, including add/drop form processing.
  • Database & Evaluation Management
    Perform extensive data entry into the rotational database. Manage and distribute electronic evaluations.
  • Student Engagement & Presentations
    Create, lead, and present Year 4 curriculum and rotation information during callback sessions.
  • Additional Duties
    Perform other duties and responsibilities as assigned.

Under the guidance of the Executive Director, UMass Chan Lahey Regional Medical Campus, the Clerkship Administrator collaborates with UMass Chan Worcester's Student Affairs Office, Clerkship Directors and Program Coordinators at Lahey Hospital and its affiliate sites. The primary responsibility of the Clerkship Administrator position is to ensure that UMass Chan Lahey students are enrolled in their clerkship rotations, onboarded, oriented and evaluated while on those rotations. Exemplary research, writing and communication skills, a broad understanding of medical terminology, a strong grasp of academic standards and conventions, an ability to manage multiple projects and deadlines and a keen attention to detail are required, along with a high degree of professionalism including appreciation for confidentiality.
**Job Description:**
**Essential Duties & Responsibilities** including but not limited to:
+ Maintains master scheduling of Lead at Lahey students on clerkship rotations and communicates changes with faculty at Lahey and appropriate UMass Worcester offices.
+ Ensures all students are appropriately onboarded and access updated in order to be in the clinical learning environment at Lahey and/or its affiliate institutions.
+ Prepares monthly or quarterly student orientation sessions as required.
+ Serves as a liaison for Lahey clerkship coordinators and clerkship directors, faculty, students, UMass Worcester and external stakeholders as necessary.
+ Ensures that Blackboard, Canvas and Oasis platforms are updated and accurate as needed for rotation.
+ Ensures that faculty receive reminders regarding evaluations and that evaluations are completed in a timely fashion.
+ Maintains a master list of all clerkship faculty/educators and ensures compliance in areas of faculty appointment and credentials.
+ Schedules, attends and takes minutes at all institutional clerkship meetings at UMass Chan Lahey and UMass Worcester.
+ Works closely with administration and leadership to improve overall clerkship structures and respond to feedback at all levels.
+ Assists and works with team members regarding fourth year elective rotations for Lead @ Lahey students.
+ Orders, Schedules, coordinates and monitors NBME exams for students in all clerkships.
+ Develops and updates testing schedules for students.
+ Maintains up to date knowledge of all institutional and school policies regarding students and faculty.
+ Provides organizational and administrative support to the UMass Chan Lahey Regional Medical Campus, assisting with special projects as required in coordination with Executive Director; UMass Chan Lahey.
+ Provides regular reports and updates to senior leadership and key stakeholders on program progress, challenges, revenue and achievements.
+ May be involved in collecting evaluation data in order to assist faculty in the writing of letters of recommendation

**Position Summary** **:**
As the Educational Clerkship Coordinator, you will provide administrative support to the Idaho College of Osteopathic Medicine (ICOM) Regional Assistant Dean, onsite at the Saint Alphonsus Regional Medical Center. You will be responsible for coordination of educational activities including clinical student placement for 3rd and 4th year medical students from ICOM, coordination of planned academic rotations as well as monitoring the progress and performance of students and preceptors. You will also work to ensure all facility and regulatory standards are met.
**What You Will Do** **:**
+ Provide administrative support to the Regional Assistant Dean, including monitoring student progress and performance.
+ Coordinate logistics for didactic programs such as clinical case conferences, journal clubs, small group discussions, and professional development seminars.
+ Maintain and organize paperwork and files for students, preceptors, and the Regional Assistant Dean.
+ Attend team meetings and training sessions for Clerkship Coordinators.
+ Schedule and coordinate meetings, interviews, appointments, and travel arrangements.
+ Serve as a liaison between departments and external contacts representing ICOM and Saint Alphonsus.
+ Prepare and distribute correspondence, agendas, presentations, reports, and mail.
+ Develop and manage scheduling processes for hospital and ambulatory rotations, including electives.
+ Provide rotation schedule information and directions to students and preceptors.
+ Ensure student schedules comply with curriculum, policies, and procedures.
+ Assist preceptors with student-related concerns.
+ Respond to administrative inquiries via phone and email.

A.T. Still University's School of Osteopathic Medicine in Arizona (ATSU-SOMA) is seeking a part-time Assistant Professor and Internal Medicine Clerkship Director on the Mesa, Arizona campus. This position reports to the Chair of the Department of Clinical Science Education and is responsible for the development and delivery of educational content to ATSU-SOMA standards across the curriculum as assigned in Internal Medicine. This position will work collaboratively with the ATSU-SOMA team to develop, implement, and refine the curriculum and will be involved in the delivery to clinical clerkship medical students. This position will serve as course director for the Internal Medicine clerkship and content expert for the curriculum. A 0.2 FTE equals approximately 8 hours per week.
**Duties & Responsibilities:**
+ Serve as course director for Internal Medicine to include: prepare syllabi, book lists, and objectives; prepare assignments using applicable technology for the online teaching; work with staff to place all appropriate material on the management system in a timely fashion; assume assigned role in test preparation and administration; participate in text selection or other teaching modalities; assess student progress in course, prepare and submit final grades.
+ Counsel students needing improvement in academic or professional performance.
+ Curriculum development - Internal medicine.
+ Mentorship for students applying to Internal Medicine residency, including helping to prepare SEL letters if needed.
+ Other duties as assigned by the Chair of Clinical Science Education and/or the Assistant Dean of Clinical Curriculum, IPE, and Simulation Education in keeping with the purpose of the school.
Requirements
+ DO or MD, Specialty Board Certification, Medical License.
+ Broad knowledge and experience in medical education in both the predoctoral and postgraduate settings.
+ Curriculum development knowledge and experience with a willingness to adapt to the ATSU-SOMA model.
+ Skill requirements are covered under the Internal Medicine specialty board certification.
+ Proficiency with Microsoft Office, emailing, and public speaking.
