Responsibilities:
+ Act as a primary contact for assigned clients, building trust-based relationships.
+ Communicate regularly with clients via phone and email to address needs.

Requirements - Minimum of 5 years of accounting experience.

What You Will Do

  • Manage all day-to-day aspects of Financial, Accounting and Business Operational needs of multiple clients.
  • Direct, manage and oversee the work of the cloud accounting team, including; on-shore contractors and the off-shore accounting resources.

Meet with billing attorneys on a regular basis to discuss new clients and matters, any special billing arrangements, aged WIP and aged Accounts Receivable or issues/disputes that require action. Actively monitor accounts receivable balances while upholding and maintaining the firm’s collection policies and procedures; escalate significant or delinquent balances to the attention of billing attorneys and management in timely manner, actively suggest collection strategies and monitor as necessary, maintain ARCS categories to reflect current client status. Maintain regular client contact to follow-up on aged billings, payments and/or promise to pay. Research and resolve client disputes timely. Engage attorney’s assistance as necessary to resolve issues promptly. To minimize financial risk exposure on aged accounts, develop and maintain collection strategies, negotiate payment arrangements and/or propose payment schedules as necessary with partner consent. Effectively utilize Aderant, ARCS, EIS, and other reports to assist with the collections process and reporting (including the Intranet). Work with Cash Receipts staff to research and resolve misapplied payments, unapplied cash/trust balances are kept to a minimum. Prepare write-off/write-down requests as necessary; ensure all proper approvals are received prior to processing adjustments. Assist attorneys, secretaries and clients with all billing and collections related questions and/or requests. Maintain client files and correspondence (iManage).   • Reviewing and approving monthly financial statements for various clients as well as answering questions the Community Association Managers (CAMs) or Board Members may have regarding financial statements.
    • Monthly reports consist of but not limited to, Balance Sheet, Income statement, Monthly Trends, Delinquencies, Prepaid accounts, Bank reconciliation and General Ledger, etc.
  • Managing transition in of new clients, including communicating internally about new clients, setting up bank accounts, closing bank accounts, processing new and updated signature cards, and budget entry.
  • Overseeing and requesting AP & AR corrections, bank reconciliation, journal entries and account adjustments.
  • Managing recurring charges, such as homeowner assessments, parking, and storage.
Qualifications
  • Proficiency in Microsoft Office (word, excel, outlook) and GAAP
  • Experience in General Ledger Accounting.
  • Experience with AP and AR transaction process.
  • Experience in budget implementation.
  • Ability to attend in person or virtual board meetings as needed.
  • Able to interpret verbal and/or written instructions at a proficient level.
  • Able to communicate effectively and professionally on phone, email, and in-person.

Job Summary: The Client Accounting Specialist is responsible for managing client accounts, performing detailed bookkeeping tasks, and ensuring the accuracy of financial records. This role demands a high level of attention to detail, excellent organizational skills, and a commitment to maintaining client confidentiality.

Key Responsibilities

Quality Assurance and Compliance:

  • Ensure compliance with accounting standards, regulatory requirements, and internal policies.

  • Ensure compliance with relevant regulations and internal procedures.

Bookkeeping

  • Record day-to-day financial transactions and complete the posting process.

  • Maintain an accurate record of financial transactions by establishing accounts and posting transactions.

  • Reconcile bank and credit card statements.

  • Process accounts payable and receivable.

Client Account Management

  • Manage and update client accounts.

  • Prepare and deliver monthly, quarterly, and annual financial statements for clients.

  • Assist clients with inquiries related to their accounts and transactions.

Customer Service

  • Serve as the main point of contact for client inquiries and issues.

  • Provide clients with clear and accurate information regarding their accounts.

  • Build & maintain strong client relationships through effective communication & problem-solving.

Process Improvement

  • Identify opportunities for process improvements in bookkeeping and client account management.

  • Collaborate with team members to refine accounting procedures and systems.

Qualifications

Education:

Bachelors degree in Accounting, Finance, Business Administration, or a related field preferred.

Experience

  • Minimum of 2-3 years of experience in bookkeeping or a similar role.

  • Experience in client account management is a plus.

Skills

  • Proficiency in bookkeeping software (e.g., QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook).

  • Excellent attention to detail and organizational skills.

  • Strong analytical and problem-solving abilities.

  • Effective written and verbal communication skills.

  • Ability to manage multiple tasks and prioritize workload.

Certifications

  • Certified Bookkeeper (CB) or other relevant certifications are a plus.
