Job Title: Collateral Management Specialist

Position Summary: Provides administrative support needed to manage the receipt, tracking, follow-up, recording and storage of collateral documents. Also assists in researching and obtaining missing collateral documents.
Essential Duties and Responsibilities include the following. Other duties may be assigned:
- Coordinates obtaining, tracking, follow-up, and storage of collateral documents.
- Assists with researching issues regarding collateral files and documents.
- Inventory documents in collateral files.
- Image collateral documents as received.
- Obtains signatures, prepares, submits for recording as applicable, and tracks documents as needed.
- Posts closing legal/compliance review and exception clearing per investor requirements.
- Provides support to peers/managers within the corporation relative to collateral documents as needed.
- Provides internal and external support to Investor community and all major Agencies.
- Works incoming document queues to identify documents for indexing.
- Assists with letter campaigns.
- Assists with department special projects.
- Assists manager in identifying and implementing long-term projects and process/procedure improvements to ensure timely and accurate reporting.
- Represents the organization in internal and external cross-functional relationships between other departments.
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience: Requires a high school diploma or general education degree (GED); a college degree is preferred but not required. 2+ years of mortgage banking experience. The individual must be a self-starter and also possess strong verbal and written communication skills and be team-oriented. Knowledge of mortgage loan documentation and exception clearing and reviewing a title search as it relates to the chain of title for note endorsements and assignments.
Language Ability: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to apply critical thinking skills.

Position Overview
This position is responsible for the creation of loan/collateral files, uploading applicable documentation into the Bank's imaging system and follow up on post-closing related items, which includes obtaining liens on vehicle titles, recorded mortgages, final title policies, insurance follow-up, UCC portfolio management. In addition, processing collateral releases in accordance with the paid loan process, preparing payoff letters and document retention.
Essential Job Functions
- Indexes and scans loan documents into OnBase storage system.
- Maintains organized physical files and records.
- Insurance monitoring and tracking for insurance expirations.
- Obtains the banks lien on vehicle titles, either physical or ELT.
- Monitors the UCC portfolio for pending expirations as well as resolves any exception related items encountered with filing exceptions.
- Prepares Payoff Letters in accordance with Bank Procedures and Regulations.
- Processes incoming Service Requests related to the Collateral Management Team.
- Records Mortgages, as needed, for the Consumer/Residential Department.
- Generates releases of collateral on paid loans in accordance with regulation and the paid loan process.
- Provides release/paid documents to 3rd party mortgage servicing vendor.
- Organizes and releases customer purchased tax certificates and floor plan titles.
- Assists with document collection for loan support projects and audits.
- Provide responses to Subpoena or Summons requests for loan documentation.
- Responsible for complying with all Bank policies and Federal and State banking laws and regulations.
Minimum Requirements
- High School diploma or equivalent and one or more years' experience in consumer or commercial documentation, or related; or equivalent combination of education and experience.

The Collateral Specialist I is responsible for assisting the management of Stellantis Financial collateral by working with other partners, vendors, dealers, as well as support departments within the company, to ensure collateral documents are received and transferred to the custodian in a timely manner.
Essential Duties and Responsibilities:
- Assist with creating and preparing outstanding reports and acts as a liaison with the collateral manager and other SFS departments.
- Act as a liaison between SFS Alliance partners, banks, affiliates, and vendors on collateral exceptions, securitizations, close-outs and any other activity involving SFS collateral.
- Work with electronic files and documents provided by vendors, partners, banks and affiliates.
- Work vendor and in house reports to clear outstanding exceptions for missing documents and title paperwork in accordance with SFS policies and procedures to maintain quality.
- Collaborate with the Collateral Clerk and Title Clerk to track collateral files being sent to the custodian as well as the Titles department and the Houston Title Inventory and other SFS departments.
- Prepare reports for the various business units and by various statuses for use by staff and management and maintain stats on production.
- Prepare and send letters to borrowers or dealership on outstanding titles.
- Escalate unresolved collateral and titling issues to Lead / Supervisor / Manager for further action.
- Perform other clerical duties as needed such as filing, scanning, photocopying or faxing documents, ordering supplies and processing invoices.
- Maintain confidentiality due to regular access to specified personal information of consumers, including, but not limited to, Social Security numbers and dates of birth.

Required Experience:

- Intermediate MS Office skill in Excel, Access, Word, and PowerPoint.
- Excellent oral and written communication skills.
- Ability to interface work autonomously and handle multiple projects simultaneously.
Overtime required required on an as needed basis.
Travel 0-10% - as required on an as needed basis.
Must have reliable transportation and live within a commutable distance to one of the following cities: Houston, TX
Qualifications Preferred:
- Minimum 1 year experience in Auto Industry, loan processing or title administration.

Client is seeking an Operations IT Business Analyst to support the firm's Collateral Management lines for Derivatives (ISDA/CSA) and Financed (GMRA/MSFTA) products. Includes directly supporting users on various platform's workflow processes, maintaining data and responding to internal data audit requests. May lead various small to mid-sized project's requirements gathering as well. This is a challenging position requiring a strong, proven experience in business analysis, design, delivery, some project management and people management domains. The role asks the candidate to propose and deliver solutions for Information Technology, specifically for Back Office / Operations IT. Previous experience working on Colline product is very good to have. The candidate will play a critical role in driving system enhancements, analyzing complex datasets, and supporting the full project lifecycle including testing and documentation.
Successful candidates must be experienced in identifying and analyzing technology and process problems, developing business requirements and solutions for tactical and/or strategic projects, in collaboration with Business and Technology stakeholders across the organization. Must be able to identify and document gaps in procedures, and create solutions for scalable and repeatable processes, in adherence with the compliance framework and IT best practices established. Major Responsibilities:
- Take complete accountability and guide all users on the firm's Collateral IT workflow.
- Perform business analysis to understand the requirements for all IT projects that help to improve efficiencies for new and existing applications related to the Collateral Operations department.
- Identify, document and manage risks. Recognize issues and proactively create solutions to mitigate adverse impacts.
- Identify, document and remediate gaps in processes and ensure the alignment of IT department with internal guidelines and industry best practices.
- COLLINE Support: Analyze, configure, and validate business workflows within COLLINE . Collaborate with technical teams for system setup, upgrades, and integration.
- Testing & Validation:
- Design and execute test cases , test scripts, and acceptance criteria for SIT and UAT.
- Validate COLLINE system behavior against business requirements and regulatory standards.
- Track defects and work with developers for timely resolution.
- Bachelor's Degree in Computer Science, Management of Information Systems, or related business discipline(s).
