Job Functions

The Construction Administrator provides critical support to the Project Manager (PM) to provide successful project oversight and execution by ensuring the requirements of the contract documents are met through interpreting drawings and specifications, observing work in place, and reporting to ensure the design intent is achieved.

Takes a proactive role in regularly updating Project Manager of significant construction issues including overall project progress, coordination events, cost-related items, and non-conforming work.

Responsibilities:

Preconstruction Phase

Respond to pre-bid RFIs, including coordinating with consultants, clients, and construction team

Assist the Project Manager with preparing addenda

Assist the Project Manager with bid analysis including meeting overall project budget and identifying appropriate bid alternates

Provide input regarding potential Value Engineering items

Construction Phase

Respond to Requests For Information (RFIs), including coordinating with consultants, clients, and construction team

Review submittals against contract drawings and specifications

Prepare Construction Change Directives (CCDs)

Review deferred submittals, including coordinating with consultants

Attend weekly construction progress meetings

Prepare and distribute meeting minutes from weekly construction progress meetings

Review work put in place onsite on a weekly basis to ensure intent of the contract documents is being met

Prepare and distribute Field Observation Reports identifying progress of the project and noting work that does not meet the intent of the contract drawings

Review and respond to cost-related items including Potential Change Orders (PCOs), change orders, etc.

Provide superior client service by addressing all client-related matters in a timely manner

Review and sign payment applications

Prepare and distribute punch lists

Post-construction Phase

Ensure outstanding items (change orders, work not meeting intent of contract drawings, etc.) are resolved

Review closeout documentation including Operation and Maintenance manuals, as-built drawings, DSA-required documentation

Sign off completed punch list items

Skills/Experience:

Ability to work on multiple projects simultaneously

Valid drivers license and current automobile insurance

Proficient in Microsoft Word, Excel, Outlook, Bluebeam

Ability to navigate various project management software programs including Primavera, Unifier, Procore, etc.

The MNAA Facilities project will relocate and consolidate various functions for MNAA Maintenance and Operations Departments as well as Engineering Department. It will consist in the first phase of approximately: 39,000sf Operations building, 98,000sf Maintenance facility with associated storage areas and Engineering offices planned at 20,000 sf with contractor collocated modular offices.
The Ideal candidate would have an architectural background with construction experience and above average communication skills. This facility is a MNAA/owner's facility and as such this position will be coordinating with owners' executives for direction and approvals. So, communication skills at that level will be critical.

Key Responsibilities

• Collaborate closely with the sales team to align on client expectations, project scope, and pricing structures.
• Manage all aspects of the construction project lifecycle, ensuring projects are completed on time and within budget.
• Coordinate with architects, in-house fabrication teams, and subcontractors throughout all phases of construction.
• Oversee material procurement and ensure timely delivery to job sites.
• Schedule and manage permits and inspections, ensuring documentation and compliance with regulatory requirements.
• Provide timely updates to clients and management regarding project status, schedules, and budgets.
• Establish and nurture relationships with all stakeholders throughout the construction process.
• Establish a Product Mindset" with a focus on delivering efficient and repeatable outcomes while advocating for continuous improvement of systems and processes involving construction workflows and efficiency.

Qualifications

• Proven experience in single-family home construction, remodeling, and ADUs.
• Strong hands-on construction background as a general contractor with thorough knowledge of building codes, specialty trades, and construction methodologies, preferably in California and the nine Bay Area counties.
• BSc/BA in Engineering, Construction Management, or Architecture with a minimum of 3 years of experience.
• General Contractor or Architecture license.
• PMP Certification.

Position Summary:

Manages capital projects from concept to completion with a primary focus on the planning, design and construction administration phases of a project. Responsibilities include but are not limited to planning, design, review of construction documents, bidding, award, and construction administration as needed.

Assist the Senior Project Manager, AVP for Capital Projects and Vice President for Capital Projects as needed.

Specific Duties & Responsibilities:

Manage, as needed, and provide general assistance in planning and programming, design, bidding, budget preparation, scheduling, managing construction projects, and related activities.

Coordination and interaction with NYBG staff; architects; engineers; contractors; construction managers; consultants; public agencies.

On-site inspection and direction of construction that is typical of construction administrative services, close observation of all aspects of projects from initiation to completion as needed. Management and coordination of consultants and contractors as needed.

Qualifications:

Licensed Architect preferred, with a focus on technical skills including materials, utilities and infrastructure. Must have experience in designing and executing both small-scale in-house design projects from design through construction and also the management of consultant teams designing large projects on the garden's behalf.

Minimum 8 years of full-time experience in performing design and construction project management work, including planning, administering, managing, coordinating, and expediting both large- and small-scale projects. Experience must include the monitoring and supervision of multi-disciplinary consultant design and/or construction management teams, inclusive of construction document preparation, pre-construction reviews, design and construction scheduling, construction administration, and post-construciton tasks.

Experience with public facilities and cultural instiutions preferred.

Ability to read and interpret plans, specifications, bid documents, and knowledge of Design and Construction Contracting.

Thorough understanding of Construction Practices with construction phase experience including the submittal, shop drawing review process and on-site inspections.

Excellent communication skills- verbal, graphic and written; problem solving skills; organizational skills; interpersonal and collaborative skills.

Excellent time management skills with the ability to prioritize tasks, manage multiple projects and deadlines with minimal supervision.

Excellent computer skills- AutoCAD, Microsoft Office Suite (Word, Excel, PowerPoint), Photoshop, Illustrator, In-Design and Adobe Acrobat software.

Advanced degree, LEED or SITES Certification preferred.

Physical Demands & Work Environment:

Stand and sit for long periods, use hands, handle tools, use motorized/heavy equipment, climb ladders, climb stairs, balance, stoop, kneel, crouch, or crawl. The employee must be able to lift and/or move up to 25 pounds. Work outdoors under a variety of weather conditions. Work under moderate and loud work conditions.
