Responsibilities

- Serve as the CEO’s right-hand in key meetings, capturing critical details, anticipating needs in real-time, and stepping in as their voice and representative when required, maintaining authority and professionalism.
- Translate conversations into action, synthesize meeting outcomes into clear, actionable next steps; independently draft communications; develop presentations; and ensure follow-through across teams and stakeholders.
- Contribute to business development initiatives by preparing materials, tracking opportunities, and assisting in relationship management that supports the CEO’s growth agenda.
- Travel alongside the CEO on short notice, ensuring they are supported and equipped during trips, while adapting quickly to shifting schedules and demands.
- Be a strategic thought partner during evening strategy sessions as needed, bringing perspective, structure, and follow-through to high-level discussions.
- Operate with speed, discretion, and sound judgment in a dynamic environment where priorities shift quickly and execution must be flawless.
- Build a trusted partnership with the CEO, serving as a stabilizing force and proactive problem solver, while respecting organizational structure and maintaining close collaboration with the COO.
- Demonstrate strong situational awareness, knowing when to step in as the CEO’s proxy and when to pull back, exercising sound judgment, discretion, and respect for the dynamics in the room.

The compensation range for this role is (based on the corporate location in Lake Forest, Illinois):
$31.49 - $45.49 per hour
The final salary offer will be determined based on factors such as location, qualifications, experience, skill set, and other relevant factors. This position may also be eligible for bonus. Role & Responsibilities:
+ Provide comprehensive administrative support to regional executives and their teams, including calendar management, travel arrangements, expense reporting, and meeting coordination. Will require interaction with both internal and external executives, assistants, and team members to coordinate a variety of meetings with attention to different time zones
+ Prepare and edit correspondence, reports, presentations, and other documents
+ Organize and coordinate internal and external meetings, including agenda preparation, logistics, and hospitality services (catering, guest registration, etc.)
+ Manage the day-to-day operations of the office to ensure a smooth and efficient work environment
+ Oversee office supplies procurement, inventory, and vendor relationships
+ Coordinate facility maintenance, office safety procedures, and equipment needs
+ Support onboarding and offboarding processes in collaboration with HR and IT
+ Plan regional events, meetings, volunteer events, and team-building activities. This includes collaborative efforts with Brookfield Cares, ESG team, and Marketing team
+ Balance conflicting priorities to manage workflow, ensure the completion of essential projects, and meet critical deadlines
+ Promptly respond to requests with courtesy and accuracy

Your Qualifications:
+ H.S. diploma required, College degree preferred

Responsibilities
- Own and optimize the CEOs calendar and travel logistics with foresight, ensuring priorities are protected, commitments are balanced, and the CEO is always where needed, prepared, and on time.
- Serve as the CEOs right-hand in key meetings, capturing critical details, anticipating needs in real-time, and stepping in as their voice and representative when required, maintaining authority and professionalism.
- Translate conversations into action, synthesize meeting outcomes into clear, actionable next steps; independently draft communications; develop presentations; and ensure follow-through across teams and stakeholders.
- Contribute to business development initiatives by preparing materials, tracking opportunities, and assisting in relationship management that supports the CEOs growth agenda.
- Travel alongside the CEO on short notice, ensuring they are supported and equipped during trips, while adapting quickly to shifting schedules and demands.
- Be a strategic thought partner during evening strategy sessions as needed, bringing perspective, structure, and follow-through to high-level discussions.
- Operate with speed, discretion, and sound judgment in a dynamic environment where priorities shift quickly and execution must be flawless.
- Build a trusted partnership with the CEO, serving as a stabilizing force and proactive problem solver, while respecting organizational structure and maintaining close collaboration with the COO.
- Demonstrate strong situational awareness, knowing when to step in as the CEOs proxy and when to pull back, exercising sound judgment, discretion, and respect for the dynamics in the room.
Ideal Experience
- A bachelors degree is preferred.
- 7+ years supporting C-level executives.
- Background in food, supply chain, or a related industry strongly preferred.
- Excellent writing, communication, and interpersonal skills.
- Resilient, confident, and adaptable, problem-solve independently, and offer thoughtful suggestions.
- Friendly and approachable, with a positive and professional presence.
- Flexible, able to travel frequently and adapt to changing priorities.
- Strong backbone, not easily flustered, and grounded in professionalism without pretension.
