Job Description
The Collections Manager & Registrar is responsible for the overall care of the collection of the National Civil Rights Museum by developing and implementing policies and procedures that ensure the proper documentation, indemnification, protection, movement, and installation of works of art, objects, artifacts, and material culture. The Collections Manager & Registrar also makes the collection accessible to the museums internal and external audiences while ensuring the museum maintains a high level of accuracy and operates at the highest professional and ethical standards as established by the American Alliance of Museums.Serving as the primary contact for public and media inquiries regarding the collection, the Collections Manager & Registrar also continually researches the collection and possible acquisitions.
As the museum ventures into its next phase, the Collections Manager & Registrar will manage and lead the organizations moves into digitizing its collection.
JOB RESPONSIBILITIES
GENERAL
Reports to and works under the general supervision of the Director, Collections & Exhibitions
Answers inquiries from the public and the media regarding the collection, and manages all incoming and outgoing loans & image use requests
Assists in budget preparation and reports and maintains annual collections budget
Work collaboratively with the Development and Education and Interpretation Departments in grant writing and submission
Collaborate with Education and Interpretation Department team on projects
COLLECTIONS MANAGEMENT & CARE
Develop, revise, and implement policies and procedures regarding care, preservation, conservation, storage, documentation of the museums collections ensuring all activities meet all legal and regulatory standards.
Research the museum collection as well as artifacts significant to the American Civil Rights Movement and the museums mission.
Maintain and update collections catalog through TMS, collections database software
Prepare condition reports involving exhibit structures, Museum collections and incoming artifacts in collaboration with the Exhibition Designer & Preparator.
Partner with Operations to ensure proper environmental conditions and security for artifacts and exhibits
Train staff in collections care and maintenance
Manage and lead the museums collections digitization efforts
Create written articles, blogs, or other copies in collaboration with Marketing as needed.
EXHIBITIONS
Conduct regular assessments (weekly and monthly) of the condition and environment of permanent and traveling exhibitions; submits report to senior level staff.
Work collaboratively with the Exhibition Designer - Preparator and Operations regarding shipping and receiving, housekeeping procedures, repairs, security and installation/de-installation of exhibitions and objects.
Coordinate loan agreement and details regarding traveling exhibitions
Work collaboratively with Chief Financial and Operating Officer regarding insurance coverage for loans and temporary exhibitions.
Collaborate with Exhibition Designer - Preparator on care of exhibitions (permanent and traveling) and collections items
Communicate traveling exhibit restrictions to museum departments
Maintain documentation and records regarding object loans, traveling exhibitions, image licenses and reproduction privileges.
Present on Museum collections to internal and external audiences in collaboration with the Director, Collections & Exhibitions
Serve on museum exhibitions team
OTHER FUNCTIONS
The Collections Manager & Registrar performs additional functions (essential or otherwise), which may be assigned from time to time. The position may require work on weekends, nights, and holidays to accommodate facility programming and utilization.

- Routinely communicates with Finance Management, Partners, and Billing to understand issues that may result in delays in payment or poor realization of firm receivables.
- Coordinates the resolution of billing issues, particularly involving electronic billing reductions.
- Utilizes firm standard software to identify and prioritize accounts for follow-up and monitoring.
- Works with the Cash Team and the Billing Team to resolve unapplied/suspense cash items. Helps to identify where payments should be posted in situations where remittance advice is missing or unclear.
- Assists with preparation of monthly reports on top inventory items.
- Responds to inquiries from clients, lawyers and secretaries related to receivables levels and cash receipts. Utilizes firm standard reporting tools to report out of firm databases on issues related to the above.
- Coordinates write-offs of aged or otherwise uncollectible invoices.
- Responds to audit requests.
- Facilitates accuracy in cash targets/forecast by communicating with Billing, Billing Lawyers and financial managers about issues that will impact collection of inventory prior end of collection target month, especially before to December 31st.
- Work on multiple special projects as needed.
- Minimum Associates degree in Business, Accounting or Finance, or equivalent work experience required, higher degree preferred.
- Minimum two years experience with professional services time and billing software such as Elite Enterprise, Aderant Billing Expert or Elite 3E is preferred.
- Minimum two years experience with professional services inventory management software, such as ARCS from Minisoft or *Collect from Select Associates is preferred.
- Minimum two years experience in a professional services environment (legal, accounting, consulting, engineering, etc) working in a Finance department collections role.

Work side-by-side with an experienced CED Credit Manager to learn all aspects of Financial Management in the electrical wholesaling industry. This 24- to 36-month program prepares you for the role of Credit Manager - maximizing sales while protecting the assets of the company.

Minimum Qualifications:
· Bachelor's degree in a Business curriculum
· Strong desire to work in a Sales and Marketing environment
· Ability and willingness to relocate within the United States after training
