Client Services Specialist Position Summary:
- Provide high quality service to lawyers, clients, staff, and visitors who require conference center services.
- Ensure the accurate and timely communication to and from lawyers, clients, staff, and visitors and those departments involved in providing service to the conference center.
- Answer, screen, and direct lawyers, clients, staff, and visitors to appropriate destinations.
- Maintain a concierge style level of service in the Conference Center to assist with lawyer, staff, client, and visitor needs.
- Schedule meeting and conference rooms including coordinating catering, room setup, and equipment needs with other departments that provide service to the conference center.
- Work closely with conference room requestors to achieve the required core pieces of data necessary for each reservation.
- Track, change, and coordinate visitor offices.
- Assist lawyers, clients, staff, and visitors with requests for special arrangements or services, including transportation, restaurants, travel, and lodging.
- Assist lawyers, staff, and visitors with basic technology and audio-visual equipment such as laptops, telephones, and lighting as necessary for presentations, etc.
Client Services Specialist Qualifications Summary:
- Bachelor's Degree required.
- Strong client services background, with emphasis on organization, initiative, and attention to detail.
- Excellent time management and multi-tasking skills.
- Excellent verbal and written communication skills with emphasis on exceptional interpersonal communication skills.
- Prior front desk experience in a professional and/or law firm environment is a plus.

Duties And Responsibilities
- Provides 5-star customer service to all employees (in all forms of communication).
- Receives inbound mail/packages and sorts incoming mail and inputs into chain of custody software package.
- Manages outgoing mail/package transactions.

Client Services Specialists (CSS) play a key role in providing service excellence by acting as a primary point of contact for small group employer clients and brokers. You will take ownership of client inquiries and see each through to resolution.
* Research inbound requests in a timely manner to establish positive client relationships.
* Conduct outbound follow up and engage internal departments, when needed, to fully resolve complex and/or escalated service requests.
* Build strong working relationships to address and support client needs.
Newer CSS team members primarily handle inbound calls, but with experience and coaching, can transition to email and web chat inquiries.

Seeking a Client Services Associate to play a crucial role in providing exceptional service to our clients. Process executed lease/amendment paperwork and maintain pertinent documentation
Send eblasts on behalf of the brokers, create market surveys and other various ad hoc marketing-related tasks
Maintain a comprehensive database of team transactions and activity
Process team expense reports in Concur and other various administrative support tasks as necessary

Handle invoicing, financial tracking, and reporting for the team
Create a variety of presentation materials while also coordinating business content for proposals and ad hoc research projects
Take a proactive role in creating and managing a marketing plan for new listings to include: the design of brochures both in the messaging and the utilization of compelling images (photos, maps, aerials); Our Listings; email campaign; signage; CoStar/Loopnet/Crexi listings, and more
Create quarterly newsletters using Email Marketing Cloud
Create social tiles and emails to announce new listings, new deals, and more
Manage email lists for team and update as necessary
Create CoStar surveys and tour books
Serve as initial point of contact for email marketing campaigns, content gathering, template utilizations, and project management
What youll bring
Bachelors degree from an accredited 4-year college or university
2+ years of sales or administrative experience in a professional environment
Adobe Creative Suite (InDesign. Photoshop, Illustrator) experience required
Commercial real estate experience is preferred
High proficiency in MS Office Suite (Word, Outlook, Excel, PowerPoint)
High level of initiative and excellent communications skills, both oral and written
Proactive mindset that anticipates the needs of the team
Pursuant to state/local law, Colliers is disclosing the following information:
Approximate Hourly Range for Role: $26.00/hr to $33.65/hr
Our salary ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
Benefits
Employees (and their families) are provided options for employer subsidized medical benefits including RX, dental, vision as well as employer paid basic life/AD&D insurance and short-term / long-term disability. Employees are able to enroll in our companys 401k plan, which includes an employer match. Employees will also receive 10 days of sick leave and a minimum of 15-days vacation annually.
