JOB TITLE: Data Management Specialist
DEPARTMENT: Central Lab Services - IT

PURPOSE: Manage data transfers between Frontage and clients and internal reporting from data systems, per company SOPs and relevant regulations and requirements.
Frontage Laboratories Inc. is an award winning, full-service, CRO/Contract Research Organization operating over 25 state-of-the-art laboratories across the US, Canada and China. Our core competencies include drug metabolism, pharmacokinetics/ pharmacodynamics (PK/PD), safety and toxicology, bioanalytical services, chemistry and manufacturing controls for drug development, and core laboratory services for clinical trials.
Roles and Responsibilities:
- Participate in project meetings to understand study protocol and capture clinical trial data elements that we need to capture in our system, particularly those that will need to be reported internally and transferred to our clients.
- Work with LIS Application Specialist to make sure those data elements are setup correctly in the system.
- Work with Project Managers and clients to create Data Transfer Agreement (DTA).
- Build and maintain data management templates for internal reporting and external transfer.
- Create process to generate project-specific export of data from or import data to LIS/LIMS and other systems.
- Work with Quality Assurance to make sure data accuracy in reports and data transfer.
- Ensure the data transfers are carried out according to the corresponding agreements in a timely manner.
- Assist with development of departmental data management procedures and ensure compliance with relevant regulations and requirements (HIPAA, GDPR, GCP, GLP, CAP, CLIA, etc.) in conjunction with QA and laboratory management.
- Other tasks as assigned.
- Bachelor's degree in the STEM field or equivalent work experience.
- At least one year of clinical data management or equivalent work experience.
- Good skills with office software such as Word, Excel Formula & Power Query, etc.
- Knowledge or experience of SQL is a great plus.

ESSENTIAL DUTIES AND RESPONSIBILITIES
• Support the development and maintenance of STG's business processes.
• Improve STG's data and processes for customer acquisition, service, and retention, including being the subject matter expert for Salesforce.
• Identify, develop, and implement secure solutions to maintain and enhance the performance of STG's CRM (Salesforce) / front-end systems (e.g., Ticketmaster ticketing platform), as well as Form Assembly, to achieve the operational goals of all departments.
• Collaborate and coordinate with various organizational stakeholders, the IT Manager, and external consultants to design structures and systems, ensuring the smooth operation of data collection and management systems.
• Manage secure data collection and storage, including identifying and developing opportunities to make data more accessible to team members.
• Work closely with all departmental partners and the senior leadership team to interpret data about our patrons and program participants and draw insights that can translate data into actionable insights. Inform strategic decision-making.
• Collaborate on creating organizational reporting dashboards, including updating key outcomes and indicators.
• Identify and develop other opportunities to improve our processes for collecting, managing, and interpreting patron/participant data and applying it to strategic and programmatic decision-making.
• Lead and assist in the creation/implementation of automated forms, as well as the effective use of Salesforce.
• Train all stakeholders to use Salesforce and Form- Assembly effectively.

As a Data Specialist for CGS you will help our government client in processing data using LAW. The ideal candidate will regularly load large volumes of production data; running exports from the database for creating discovery party productions. Downloading files from our file sharing tool, JEFS, and performing quality control on load and export files to ensure accuracy is vital to this job position.

Skills and attributes for success:
- Modify load files and perform quality control on loaded data quickly and accurately
- Assist with creating and updating document processing procedures as needed
- Run multiple load streams simultaneously
- Perform native file processing in LAW
- Export data from Relativity to create load files for other various platforms as requested by Case Manager
- Performs data conversion processing, including conversions of various document types
- Perform special format data conversions and file manipulation requests
- Handle quality control on load files and Relativity data loads and exports
- Perform advanced requests, such as creating data exports for productions and performing quality control on files, and complicated overlays or appends, privilege clawbacks, and sequestration of documents
- Perform quality control to confirm accuracy on loads completed by new Data Specialists
- Provide hands-on training to other Data Specialist as needed
- Perform basic Relativity searching and global updates to mark and/or tag records as requested; to include confirming record counts in Save Searches and Image redactions prior to creating exports for production
- Clearly and accurately discusses data inconsistencies found with Project Manager
- Assists on calls relating to data load file formats or media encryption software with Case Manager and other IT individuals as requested

Provides administrative support for the Cal CRG program and works closely with the Program Administrator and Program Manager. The Data Specialist is responsible for collecting, organizing, analyzing, and maintaining high-quality data to support informed decision-making across the organization. This role ensures data accuracy, integrity, and accessibility while producing reports, dashboards, and insights that drive operational efficiency and strategic initiatives.
Primary Duties
- Supports database performance and provides feedback on successful program monitoring strategies to help achieve program goals and objectives.
- Assists in the development and improvement of programmatic protocols to ensure the quality of service delivery, data collection and evaluation.
- Develops and implements systems for ongoing program management and assessment of outcomes.
- Collect, clean, and validate data from multiple internal and external sources.
- Maintain databases, spreadsheets, and data systems, ensuring accurate and up-to-date records.
- Analyze datasets to identify trends, patterns, and key performance indicators (KPIs).
- Develop and maintain reports, dashboards, and data visualizations for leadership and stakeholders.
- Ensure compliance with data privacy, security, and confidentiality standards.
- Troubleshoot data discrepancies and implement corrective actions.
- Assist in designing and improving data collection tools and processes.
- Train staff on data entry, reporting, and quality assurance best practices.
- Stay current on emerging data management tools, technologies, and best practices.
- Knowledge of departmental policies, procedures, and organizational relationships.
- Works closely with the Program Administrator and Program Manager to provide feedback on successful data capturing strategies to help achieve program goals and objectives.

- AA degree in Data Science, Statistics, Information Systems, or a related field; or equivalent relevant experience is preferred.
- Minimum one year of experience in data management, analytics, or related work.
- Bilingual (English/Spanish) with the ability to communicate in the language of the community being served.
- Ability to review several diverse reference sources, select and synthesize data for reports and other forms of correspondence.
- Ability to work with interruptions while maintaining positive communication with staff and clients.
- Knowledge of the organization and composition of letters, minutes, reports, charts and spreadsheets
- Ability to use diplomacy and discretion, when giving out information and referring and directing callers and visitors.
- Ability to create presentations, charts, graphs, databases, and spreadsheets.
- Ability to perform mathematical calculations.
- Ability to follow, apply, interpret, and explain instructions and/or guidelines.
- Ability to determine work priorities.
- Ability to make decisions and take appropriate actions.
- Ability to meet schedules and deadlines of the work area.
- Ability to communicate effectively.
- Ability to type and use word processing software
