Location: Gaithersburg, MD

Overview

We are seeking a highly motivated and experienced Dental Practice Administrator to lead front office operations at our Gaithersburg, MD location. Despite its smaller size (2 operatories), the office consistently generates $90,000-$00,000 in monthly revenue . You'll step into a leadership role previously held for 20+ years and be responsible for ensuring smooth day-to-day operations and an excellent patient experience. This is a Medicaid-focused environment with a large Spanish-speaking patient base serving primarily patients under 21-Spanish fluency is required . Occasional travel to Wheaton, MD and Arlington, VA may be required for training and cross-location support. Please note this is not part of a DSO, rather it is privately owned with three locations.

Responsibilities
  • Lead all front office operations (scheduling, check-in/out, billing, insurance, patient communications).
  • Supervise and develop 2-3 team members (front desk and assistants).
  • Ensure accurate Medicaid and insurance processing; monitor AR and claim follow-up.
  • Maintain efficient patient flow and high service standards.
  • Leverage Eaglesoft to optimize scheduling, reporting, and workflows.
  • Provide cross-coverage and attend training as needed at other locations.
  • Collaborate closely with the practice owner and leadership to execute operational goals.
  • Assist chairside/back office occasionally to support overall practice efficiency.
Qualifications
  • Fluent Spanish (required).
  • 3+ years of dental office management or front office leadership experience.
  • Strong knowledge of dental insurance billing and Medicaid workflows.
  • Proficiency with Eaglesoft (or ability to ramp quickly).
  • Proven team leadership, organization, and communication skills.

Schedule
  • Full-time, Monday-Thursday , plus 1-2 Saturdays per month .

Requirements/Competencies

  • Available to work practice hours of 8:00 am to 5 pm Monday through Thursday.
  • Knowledge of dental procedures preferred.
  • Basic knowledge of Microsoft Word and Excel
  • General knowledge of proper grammar, punctuation, and spelling.
  • Effective verbal skills to communicate with patients, parents, doctors, and staff, in person and on the telephone.

Our ideal candidate will partner and collaborate with a team of talented, engaged dental assistants and dentists in providing exceptional patient experiences. PATIENT CARE
+ Ensure that operatories are well supplied with necessary supplies
+ Handle sharpening, sterilization, and maintenance of all instruments and equipment
+ Escort patients to and from operatories
+ Help to acquaint patients with preventive care-oriented practice philosophy
+ Help to maintain and manage patient recall system
+ Perform thorough oral prophylaxis (cleanings) on scheduled patients which include proper use of ultrasonic cleaning devices, scaling instruments, polishing and flossing
+ Conduct dental and periodontal assessments, providing oral cancer screening, charting conditions of decay and disease (via axiUm), capturing digital images (via MiPacs) and documenting interventions performed electronically by recording vital signs, clinical notes and procedures.
+ Arrests dental decay by applying topical fluorides and occlusal sealants on indicated patients, recommending cavity-preventing agents as needed
+ Educate and motivate patients by giving oral hygiene and plaque control instructions, presents and explains treatment plants to patients, demonstrates effective communication to bridge the gap between a pending treatment plan and a completed treatment plan, provides postoperative instructions and schedules and subsequent visits.
+ Explain treatment alternatives to patients
+ Review and revise patient histories and record patient's vital signs
+ Chart existing restorations on new patients and notate clinical evidence of disease presence
+ Record specific treatment performed on patient chart, as well as other patient information as needed.
+ Provides digital x-rays and chairside assistance when available, as needed
+ Help to reconfirm and appoint patients

+ Maintain patient confidence and protect operations by keeping information confidential
+ Maintains safe and clean working environment by complying with procedures, rules, and regulations.

+ To date, clinical hours are Monday through Friday 7:00AM - 6:00PM; Saturdays 9:00AM-2:00PM, flexibility in scheduling is required for all positions.

DESIRED EXPERIENCE & POSITION EXPECTATIONS
+ An Associate's Degree or two year college equivalent and 3 years to 5 years of experience or equivalent combination of education and experience is required.
+ CPR certification required.
+ Employment clearance through the State of PA to work on/with children: as determined through Pennsylvania Criminal Background Check, Pennsylvania Child Abuse Clearance and FBI Finger Printing Database is required.
+ Experience with Axium preferred.

Penn Dental Family Practice is comprised of over 35 doctors, 15 dental hygienists, 22 dental assistants, 17 staff AND GROWING! Together, the team works collaboratively to provide multi-specialty care utilizing leading techniques in patient care.
Job Description
Experience in supporting dental care delivery including: preparation of treatment rooms, setting up patient instruments and materials, passing instruments and performing procedures in compliance with the dental practice is preferred.
PATIENT EXPERIENCE
+ Prepares patient for dental treatment by welcoming, comforting, seating, and obtaining medical history and patient vitals, and draping patient.
+ Documents dental care services by charting in patient records. Provides information to patients and employees by answering questions and requests.
+ Provides materials by selecting, mixing, and placing materials on instruments and in the patient's mouth.
+ Make appropriate study models on indicated patients.
+ Expose, process, and mount necessary x-rays
+ Provides diagnostic information by exposing and developing radiographic studies; pouring, trimming, and polishing study casts.
+ Maintains patient appearance and ability to masticate by fabricating temporary restorations; cleaning and polishing removable appliances.
+ Aid in chairside assistance as needed.
+ Educate and motivate patients by giving oral hygiene and plaque control instructions, presents and explains treatment plants to patients, demonstrates effective communication to bridge the gap between a pending treatment plan and a completed treatment plan, provides postoperative instructions and schedules and subsequent visits.
