Objective

We are seeking a Project Document Control Lead to join our team. The ideal candidate will be a high energy, collaborative individual who aspires to find creative ways to solve problems, ask questions, and improve processes. This individual can be located remotely, traveling to Charlotte, NC at the appropriate time throughout the project lifecycle. The successful candidate should have a minimum of five years working in a capital projects environment with a mix of both Owner/Operator and EPCM experience. Advanced or working knowledge of the following systems and processes is a must: Aconex, SharePoint, SAP, Power BI, Microsoft Office Suite

Responsibilities
  • Develop and maintain positive working relationships horizontally throughout the project team including Corporate Functional Leadership, Engineering, Procurement, Commissioning, vendors, and contractors
  • Ensure compliance with company Corporate Guidelines and Standards
  • Develop/update document management plan according to local practices, including identifying document management requirements with internal stakeholders
  • Establish document filing platform for project team members both internal and external
  • Manage access for all document share platforms or systems
  • Collaborate with project management team to establish the project document distribution matrix for project implementation and manage any necessary changes throughout the project
  • Lead EDMS system training for project team

  • Provide guidance, direction and specialized assistance to the project for the resolution of difficult and complex document control problems

Requirements
  • Experience: Minimum of 5 years of experience in a similar role, preferably within the mining or manufacturing industry.
  • Exceptional understanding of the document management process and practices
  • Procedural awareness for all stages of projects
  • Advanced capabilities and experience using EDMS systems - Direct experience with Aconex highly preferred
  • Experience working on international project teams
  • Excellent attention to detail
  • Knowledge of engineering and construction documentation lifecycles and workflows

What's a typical day as a Document Control Admin? You'll be:

  • Maintain all controlled documents and assist company personnel with the creation and revision of all controlled documentation (i.e. SOPs, WIs, Forms, KAs, etc.).

The Document Control Specialist at Noctrix Health is responsible for ensuring that the Noctrix Health Document Control System is managed in compliance with the company's Standard Operating Procedures (SOPs). This position oversees the management and administration of the Noctrix eQMS Document Control systems to ensure compliance with applicable internal procedures, medical device Good Manufacturing Practices (GMPs), and regulatory requirements.

The role also includes managing and maintaining the Noctrix Health training program related to controlled documents and internal training. This position reports to the Senior Director of Quality Assurance at Noctrix Health.

What you will be doing:
  • Establish and maintain an effective document control system to manage the lifecycle of quality documentation.
  • Ensure that all documents are reviewed, approved, and distributed in a timely manner.

Minimum Requirements:
  • Bachelor's degree in Life Sciences, Engineering, or a related field.
  • Minimum of 5 years of experience in document control in the life sciences or medical device industry.
  • Experience with ISO 13485 documentation requirements is strongly preferred.
  • Comprehensive understanding of document control principles and QMS requirements.
  • Excellent organizational and time management skills.
  • Strong attention to detail and ability to handle large volumes of documentation.
  • Proficiency in document management software, Microsoft Office Suite (Word, Excel, PowerPoint), Google Docs (Docs, Sheets, Slides).
  • Exceptional communication and interpersonal skills.
  • Strong technical writing skills are a plus.
  • Knowledge of GD&T & awareness of manufacturing best practices are a plus.

Below is the base pay range for this full-time position. The actual base pay will depend on several factors unique to each candidate, including one's skills, qualifications, and experience. Job Overview
The Document Control Clerk manually inserts printed client data records into the proper envelopes, verifies that the proper pages correspond with each mail piece and that the proper number of mail pieces are accounted for in each job. The Document Control Clerk will scan each mail piece that is completed along with the corresponding job ticket, and place the mail pieces in the proper bins to be postmarked with postage (if needed) and prepped for mail. The Document Control Clerk is responsible for hand inserting small jobs with 10 or less mail pieces.

Responsibilities
  • Obtain a thorough understanding of client needs, and execute against those needs
  • Pull custom materials such as inserts and envelopes
  • Hand insert each mail piece with required materials into the proper envelope
  • Verify that the proper pages correspond with each mail piece
  • Confirm that you have the proper amount of mail pieces for each job
  • Scan each mail piece completed and the corresponding Job Ticket
  • Place mail pieces in the proper bins to be postmarked with postage (if needed) and prepped for mailing
  • Hand insert small jobs by verifying documents, gathering envelopes and inserts. Then inserting the pieces, scanning the pieces, placing pieces in Bindery for mailing and the scanning off the job ticket complete
  • Separate Flat & Multiples from each job and place in proper area to be hand inserted
  • Separate the General Delivery & Foreign mail pieces
  • Pull and recycle bills that have been entered by Client Services Team
  • Mark each job in the QC program to allow all departments to know that the job has made it to Mailing Department
  • Report any quality issues with Manual work to management
  • Work with the Client Services Team when needed to address any issues
  • Accommodate special client requests in a manner that satisfies the needs of the client and InfoSend, Inc.
  • Manage and upkeep special projects as assigned (this can be doing QC audits on Tax / first time mailings)
  • Keep area clean and organized
  • Work closely with Print and Mailing Departments
  • Cover Administrative Assistant during breaks and lunches or as needed which includes allowing access into the building and answering phones
  • Other duties as assigned.

  • Provide leadership and oversight of document control functions across complex infrastructure programs, including supervision and support of assigned Document Control staff where applicable.

  • Respond to documentation requests from agencies, contractors, and stakeholders in a timely and professional manner.
  • When serving as the sole document control resource on a project, may also support meeting agenda preparation, minutes, and other administrative tasks as needed.
