**Position Summary**
The Documentation Control Specialist is responsible for the daily operation, maintenance, and support of the Product Lifecycle Management (PLM) system. This role ensures accurate document and data management, proper revision control, and smooth execution of engineering changes in alignment with AS9100 standards. The position provides hands-on administrative support to users across Engineering, Manufacturing, Quality, and Supply Chain to ensure data integrity and efficient document workflows throughout the product lifecycle.
**Key Responsibilities:**
**PLM System Administration**
- Perform day-to-day administration of the PLM system, including management of user permissions and access to documentation, process workflows, and troubleshooting.
- Monitor system performance, resolve user issues, and escalate technical problems to IT support as required.
- Maintain system's master data and templates to ensure consistency and standardization across the company.
- Support system upgrades, patches, and configuration changes in coordination with IT.
**Document & Data Management**
- Manage the creation, release, revision, and archiving of controlled documents, drawings, models, and specifications in the PLM system.
- Ensure revision control, change history, and traceability of all configuration items.
- Support engineers to maintain accurate product structures and Bills of Materials (BOMs) within the PLM system.
- Creates and/or updates Product Baseline Records in accordance with latest Technical Data Pack (As-Design Record).
- Supports updates to Engineering Masters in accordance with latest Technical Data Pack (As-Built Record).
- Ensure obsolete or superseded documents are removed from active use in accordance with AS9100 requirements.
**Change Control Administration**
- Administer Engineering Change Requests (ECRs), Engineering Change Orders (ECOs), and deviations/waivers through the PLM system.
- Ensure proper routing, review, and approval of change workflows.
- Verify that changes are correctly implemented in system records and communicated to stakeholders.
- Supports the Site's Change Control Board (CCB), by providing daily notification and agenda of documents under review and managing their approval process and status.
**User Support & Training**
- Act as first-line support for PLM users, addressing document access issues, data errors, and process questions.
- Provide onboarding, training, and guidance to employees on PLM processes and best practices.
- Supports the development of reference guides and process documentation to improve user adoption and reduce errors.
**Process & Compliance Support**
- Ensure document control processes are executed in compliance with AS9100 requirements.
- Maintain logs, records, and system-generated reports to support internal and external audits.
- Identify opportunities to streamline workflows, reduce bottlenecks, and improve user experience.
- Supports continuous improvements activities throughout the organization as related to Configuration Management.
**Tools & Systems**
Experience with one or more of the following is preferred:
- **PLM Systems** : Oracle Agile, Siemens Teamcenter, PTC Windchill or equivalent
- **ERP/MRP Systems** : Oracle Fusion, SAP, Epicor, or similar enterprise systems
- **Collaboration Tools** : Microsoft Teams, Slack, Google Chat
- **Standard Office Tools** : Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat
**Qualifications**
**Education & Experience**
- Associate's degree in Engineering Technology, Business, Information Systems, or related discipline is preferred.
- 2-4 years of hands-on experience administering a PLM system in aerospace, defense, or another regulated manufacturing industry.
- Knowledge of AS9100 or ISO 9001 documentation control requirements.
- Strong background in document control and configuration management processes.

This position is responsible for being proficient in Document Control Coordinator tasks and ability to take on additional assignments and responsibilities in all aspects of title handling and processing.
In long, you will:
+ Assist customer with amendment to securitized titles (Moves, Adding or Deleting names from title, Name Changes, and Flips); including but not limited to reviewing incoming paperwork, prepping, and sending out all necessary paperwork to the DMV and/or customer
+ Verify and service titles, distribute documents to correct departments and ultimately the return of the documents to the customer or third party at the time the loan is completed
+ Assist customers to reinstate their name on the title after a repossession; including but not limited to advising customer what documents are needed, reviewing incoming paperwork, prepping, and sending out all necessary paperwork to 3rd Party Title vendors and/or DMV
+ Complete title corrections by reviewing incoming paperwork, prepping, and sending out all necessary paperwork to the DMV
+ Complete lien verifications for internal and external departments
+ Complete document replacement requests
+ Provide excellent internal and external customer service by supporting the escalation phone line and outbound calls as necessary
+ Complete tasks on assigned accounts in a timely manner to avoid losses and adhere to service level expectations
+ Complete scheduled and ad hoc projects including but not limited to the following: lien verifications, originator backouts, unwinds, and unperfected titles
+ Proficient in the support of Document Control Coordinator job functions as required

+ Minimum of 1-2 years' experience in a Quality Systems I Regulatory Compliance environment with a working knowledge preferably in the medical device, diagnostics or pharmaceutical industries. Familiarity with FDA regulations and ISO series of quality standards preferred.
+ Capable of both written and verbal effective communication skills.
+ Proficient in the Microsoft Office suite of products.
+ Proficient in Oracle R12/Agile preferred.
Salary Pay Range:
$71,300.00 - $97,750.00 USD Salary

Position Overview
The Document Control Specialist is responsible for managing and maintaining all project documentation for electrical construction projects. This role ensures that documents are accurate, up-to-date, and properly stored and distributed to relevant stakeholders. The ideal candidate will have strong organizational skills, attention to detail, and experience working in a fast-paced construction environment.
Essential Duties and Responsibilities

+ Oversee and maintain electronic and physical document control systems to ensure all project documents, such as drawings, specifications, RFIs, submittals and contracts, are properly stored, filed, and updated.
+ Ensure timely distribution of documents to project teams, subcontractors, and clients.
+ Implement and maintain systems for tracking document revisions to prevent conflicts and ensure that the most current versions are used.
+ Coordinate with designers, project managers, project engineers, and field staff to ensure documentation compliance.
+ Assist in the preparation and submission of project closeout documentation.
+ Manage digital document management systems (e.g., Procore, Egnyte, Bluebeam).
+ Support audits and ensure documentation meets company and regulatory standards.
+ Archive completed project documentation according to company policy.
+ Recommend and implement improvements to document control workflows and systems to enhance efficiency and data management.
+ Perform slip sheeting in Bluebeam to update drawing sets with revised sheets while preserving/maintaining markups and hyperlinks.
+ Create and maintain hyperlinked drawing sets to ensure timely navigation between sheets, details, and references.
+ Collaborate with design and construction teams to ensure timely distribution of updated documents.
+ Support the implementation of document control procedures and standards across projects.

+ Bachelor's degree and 2+ years of experience in document control, preferably in the electrical or construction industry; or equivalent years of experience.

+ Experience with Procore, ACC Build, or similar construction management platforms.
+ Familiarity with construction drawings and document workflows.
+ Maintain version control and document logs for all project-related files.

The Document Control Technician works with the Project Managers and internal or external team members to ensure that Stantec is recording and processing both Submittals and RFIs in an accurate and timely manner.
Your Key Responsibilities
- Verify that the proper turnaround time setting and Submittal and RFI numbering setting has been appropriately set for that project after notification has been received from the Project Manager
- Verify the project distribution team has been set up and all team members have access to the Newforma Info Exchange site in order to be able to download the response.
- Identify incoming notification as Submittals or RFIs, allowing those file transfers to be logged and tracked in Newforma
- Initiate and track changes for Submittals and RFIs
- Communicate to external team members the Stantec Submittal/RFI process and work with them to be able to process and return Submittals and RFIs quickly and efficiently; train on external team members' web sites or tracking software, if necessary
- Provide training on the Submittal/RFI process and software to all employees
- information from Newforma, to maintain consistency throughout the Stantec office(s)
