What's the role?

The Project Documentation Analyst is responsible for supporting product life cycle and operations in the area of documentation and records for the implementation and maintenance of Engineering Change Orders (ECO) required to support the business and to comply with applicable Quality Management Systems (QMS) and supporting the needs from external partners (contract manufacturers).

This individual ensures adherence to business standards and applicable regulations regarding document and record controls including file maintenance in various forms (databases, network files, electronic, hard copy, thumb drives, etc.).

  • Process and route internal and external change orders and deviations utilizing required databases including ensuring that the change documentation follows process for package completion, signatures and good documentation practices.
  • Maintain electronic files of documents submitted through the change order process
  • Facilitate approval process with prioritization of urgent changes
  • Assist end-users, as needed, to successfully use document and records systems
  • Provide reports on a frequent basis to ensure effective management of change order processes
  • Executes test scripts, writing test reports and other activities associated with keeping documentation systems compliant with validation / verification requirements and regulations.
  • Ensure SOPs, Work Instructions and guidance documents used by Specialists adequately reflect the work being performed and collaborate for updates to these documents as needed.
  • Complete a variety of administrative tasks such as assisting with access to change management system access; ordering standards/regulations and maintaining a standards and regulations library; maintaining a software library; records list; off-site storage list; report of department training status; updating the queue of work / status; support of audits and requested documentation; weekly report for changes to QMS documents.

Do you qualify?

  • A minimum of three (3) years in a position that uses Microsoft office suite (Word, Excel, PowerPoint, Outlook).
  • Detail oriented with a high degree of accuracy.
  • Previous experience in production/manufacturing company
  • Medical device company experience is highly desired
  • Proficient with Microsoft Office applications, Adobe
  • Knowledge of Quality Management System and good documentation practices
  • A working knowledge of drawings or digital imaging, such as CAD, SolidWorks
  • Working knowledge of executing test scripts
  • Knowledge of an ERP system such as SAP, PLM such as Agile, and SharePoint, and electronic document change management system
  • Knowledge of materials change control in an ERP system including material BOMs
  • Must be able to recognize deviation from accepted practice and exercise judgement in resolving problems
  • Strong communication skills, both written and verbal, with personnel across the organization and in particular with technical personnel
  • Must be able to work in a fast-paced team environment
  • Strong interpersonal, organizational and collaboration skills

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Sends out and reviews supplier questionnaires and CGMP self-audits for completion.
  • Works with current suppliers to ensure product is being made to NOW specifications.
  • Acts as a quality representative to vendors, distributors, and supplier organizations.

  • Receives and submits pre-ship samples for QC testing. Tracks samples, reviews results, and communicates acceptability of lots tested to all parties involved.

  • Receives potential new supplier ingredient samples, supplier requalification samples, or material change samples for all existing dietary ingredients, bulk foods, essential oils, personal care ingredients, and packaging components. Additionally, responsible for storing and maintaining inventory of samples.
  • Coordinates with supply chain to obtain all required documentation for supplier qualification/requalification.
  • Submits all samples that meet NHG specifications to QC for testing. Additionally, responsible for maintaining, tracking all samples submitted for testing in the sample tracking database.
  • Reviews test results and coordinates with other internal and external groups to determine acceptability of material.
  • Reviews Specifications and Additional Terms and Conditions for any necessary changes and process changes through Document Control Group.
  • Issues, monitors, and manages SCAR system for raw material supplier non-conformities which may include obtaining samples from production, warehouse, receiving, QC Sampling Booth and/or Lab areas. Escalates issues with late SCARS to Quality management through email notifications and/or monthly metrics.
  • Key contributor to the "NOW Rejected Inventory to be Discarded List" with NOW R&D, Purchasing, and Inventory Control departments.
  • Successfully completes projects (with approval from supervisor/manager) in a timely manner with minimal supervision.
  • Maintains knowledge of FDA and FSMA requirements for the industry.
  • Complies with safety and GMP requirements.
  • Reviews product information questions and works with supplies to gather information.

**Job Summary:**
The Japanese Corporate Banking (JCB) Account Documentation Team (ADT) Analyst's primary responsibility is to assist JCB corporate banking clients in reviewing their legal documents and forwarding to the various internal departments for the registration in the bank's Core Systems ensuring customer information is in compliance with applicable laws, regulations and industry standard practice and taking due diligence.
**Primary Responsibilities include:**
**Perform critical Interaction with JCB clients (80%):**
+ Interaction with customers to facilitate the processing of all bank documents ("Legal Documents") submitted with business transactions and maintain compliance with all bank policies and procedures and work in a professional manner.
+ Facilitate accurate record keeping, approval of all documentation and ensure the appropriate dissemination of documents internally.
+ Fulfill customer requests for bank forms required to conduct their business.
+ Handle customer requests which include having accounts opened, making title changes and address changes and closing accounts accurately and deftly.
+ Talk with the client to brief on the legal documents and support the relationship manager to ensure the completeness of the various forms.
**Inter-department coordination to address the client request and inquiries and contribute to department management through participation in trainings, projects and maintaining comprehensive data (20%):**
+ Maintain full understanding of the Bank's internal policies and procedures relevant to transaction banking products, acquire knowledge and keep abreast of overall banking operation and products.
+ Work with other JCB teams and other departments to follow up with the client to address any issues and complete requests.
+ Participate in departmental and JCB cross unit projects.
+ Update and maintain a variety of databases; retrieve data to produce reports, conduct analyses, and respond to client and management inquiries.
+ Participate in Optimization activity to improve accuracy and efficiency of operations and prepare and update operation manuals and procedures, if any.
+ Perform duties as assigned by Department Head including, such as:
+ Assist with State, Federal, and internal audits.
+ Investigate and provide solutions for past due and pending items.
**Qualification:**
+ A Bachelor's degree or equivalent work experience is required.
+ Prior experience in corporate banking, financial services or finance/treasurer department in corporations is preferred.
+ In-depth knowledge of corporate banking procedures and products
+ Excellent communication skills with attention to details and problem-solving capacity is required.
+ Be able to communicate effectively and build positive working relationships with various internal partners.
+ **English/Japanese language proficiency is required.**
+ Knowledge of basic PC applications (MS Word, Excel and PowerPoint).
The typical base pay range for this role is between $66K - $85K depending on job-related knowledge, skills, experience and location. This role may also be eligible for certain discretionary performance-based bonus and/or incentive compensation.
