Summary

The Onboarding Specialist will be responsible for creating a positive and seamless experience for new hires. This role ensures that employees are well-integrated into Stellar Energy’s culture, operations, and safety practices from day one. Partnering closely with HR, Talent Acquisition, Manufacturing Leadership, and Training teams, the Onboarding Specialist will coordinate all pre-boarding and onboarding activities, ensuring compliance with company policies and regulatory requirements while supporting employee engagement and retention.


Required Education and Experience.

  • Bachelor’s degree in human resources, Business Administration, or related field preferred; equivalent experience considered.
  • 2+ years of experience in HR, talent acquisition, or onboarding, ideally within a manufacturing or industrial environment.
  • Knowledge of HR compliance, safety regulations, and labor laws.
  • Proficiency in MS Office Suite and HRIS systems; experience with applicant tracking or onboarding software, preferably ADP Workforce Now.

Preferred Education and Experience

  • HR certification (PHR, SHRM-CP, or equivalent)


Essential Functions

  • Coordinate and facilitate the end-to-end onboarding process for new hires, from pre-hire communication through the first 90 days of employment.

  2. Prepare e-mail templates for new hires.
  3. Addresses new hires' queries regarding their employment agreements or contracts and payroll.
  4. Ensure new hires have technical assistance to set up their hardware and software.

The Role

Onboarding Specialists manage the final stages of the sales funnel, working with US merchants to drive the deal through to activation and accelerate the onboarding process. Onboarding Specialists use deep product and industry knowledge to project-manage the onboarding stage of the sales process.   • Must ensure to conduct and complete I-9 Employment Eligibility Verification within three days from new hires start date. • Maintains open communication to different hiring managers and provides regular updates on the onboarding status for all new hires.
  • This position reports to the On-boarding Manager and will work side-by-side with members of the recruitment team. • Processes and distributes new employee identification cards.
  • Attend and assists the team with New Hire Orientation: may involve reserving room, preparing materials, and following up with obtaining any required documents from new hires.
  • Utilize the New Hire Checklist to verify all employee documents are received and completed accurately, background check clearances are obtained and uploaded, and data enter verifications of professional license, education, and PPD.

Description
A health and human services organization is seeking a Human Resources professional to assist with onboarding and new hire orientation.
The HR Representative is responsible for coordinating and administering the onboarding function of Human Resources for the assigned region. In addition, monthly, quarterly, and annual compliance requirements as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:
- Responsible for managing the new hire process to include drug screens, background checks, motor vehicle reports, new hire communications and tracking, ensures completion of new employee onboarding documents and facilitates new hire orientation.
- Updates and utilizes the company HRIS to process new hires, status changes and terminations by following established HRIS guidelines.
- Complete pre-adverse process and keeps talent acquisition team updated when a new hire fails to meet pre-employment requirements.
- Provide input and support towards the development and implementation of new HR initiatives, programs, and processes.
- Initiate and conduct audits for HR compliance to include annual Criminal Background checks, Motor Vehicle Requests (MVRs) and ensure documentation is secured in HRIS. Provides reporting to HR leadership and appropriate committees.
- Ensure that DFPS, SAM, ABCs and CPS portal submissions are completed on hire and when employees terminate from Arrow.
- HR liaison for employment verifications and to external parties for current and former employees
- Occasional travel may be required.
- Perform all duties within contract, state and federal regulations, company policy, and regulatory agency standards.
- May be required to drive vehicles, be insurable with our auto insurance provider, and complete company vehicle training.
Requirements - Proven experience in human resources administration, including onboarding and employee relations.
- Proficiency in utilizing HRIS systems for managing employee data and processes.
- Strong knowledge of compliance requirements and related procedures.
- Ability to handle sensitive information with a high degree of confidentiality and professionalism.
- Excellent organizational skills and attention to detail to manage multiple tasks effectively.
- Solid communication skills to foster positive interactions with employees and external partners.
- Willingness to travel occasionally and meet requirements for driving company vehicles.
