SUMMARY

Key Responsibilities:

  • Monitor and maintain the HR email inbox and HR team channels.
  • Process I-9 verifications in compliance with federal requirements.
  • Process and track employee status changes alongside the Payroll & Benefits Specialist.
  • Support HRBPs with employee engagement and events.
  • Approve travel requests in Concur and troubleshooting accounts.
  • Coordinate training sessions across all locations.
  • Schedule lunch and learn events, including catering and room reservations.
  • Create employment-related letters, including status change and exit letter.
  • Schedule and coordinate exit interviews with respective HRBPs.
  • Process employment verifications and maintaining employee files for accurate recordkeeping.
  • Send and approve onboarding packets and verify required documentation.
  • Send platform invitations and ensure all employees badge photos are uploaded for easy identification throughout platforms.
  • Provide relocation information and support account setup/login troubleshooting.
  • Track and distribute employee recognition and perks (i.e. baby boxes).
  • Support HR special projects and ad hoc requests.

Qualifications:

  • 2+ years of experience in a Human Resource coordinator or administrative role
  • Background in startups or aerospace preferred - they don't have ton of "processes" so someone from a more structured banking/hospital/etc. background might not be the best fit
  • Expectational organizational and multitasking skills
  • Strong communication skills and attention to detail
  • Proficiency in Microsoft Office and HR systems (ADP Workforce Now)
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Collaborative attitude and ability to work independently in a contract capacity.

Responsibilities

Position Overview

The HR Coordinator assists the department by providing daily management of the Human Resources function. They will perform confidential and administrative services for the Human Resource Department. The HR Coordinator will be a primary resource for employees with any HR related concerns or inquiries.

Additional Duties

  • Maintains and updates employee files: HR, Employee Health, Agency and Contract Services with accurate and complete information and maintains the HR grid and required tracking
  • Prepares and maintains employee new hire packets and ensures accurate and timely completion of the new hire process and paperwork
  • Maintains postings, files, and procedures that are in compliance with federal and state statutes
  • Opens and distributes all incoming mail. Screens all incoming correspondence, and, in the absence of the HR Manager/Director refers materials requiring immediate attention to the appropriate department
  • Accurate and timely bi-weekly payroll processing with the coordination and support of corporate payroll
  • Coordinates recruitment processes in compliance with the hospitals recruitment plans
  • Pro-actively addresses employee concerns and with the HR Manager or HR Director coordinates any necessary investigations
  • Processes and maintains all workers compensation claims in a timely manner and according with the companys Return to Work program
  • Processes all unemployment requests, FMLA and Leave of Absences in an accurate and timely manner
  • Ensures confidentiality and professionalism is maintained when dealing with sensitive and confidential information.
Qualifications

Minimum Qualifications

  • Bachelors Degree in Human Resources or related field, or a combination of education and experience required
  • Two or more years of experience in Human Resources with exposure to a board range of functions required
  • Competency in Microsoft Office suite, as well as computer applications relating to Human Resources Functions required

Preferred Experience

  • Previous HR experience in a health care facility with exposure to Joint Commission, and CMS preferred
  • Familiarity with benefit administration, basic HR functions, Payroll Administration, and state and federal employment laws
  • Must be detail-oriented with expertise in problem solving, observation, group dynamics, and interpersonal relations

In this role, you will provide critical administrative and project-based support to the HR department, helping ensure smooth operations and compliance with policies and procedures. You will also gain exposure to strategic initiatives that drive employee engagement, talent development, and organizational effectiveness.
This rotational program offers a blend of travel, remote, and in-office work, giving you diverse experiences across our HR function.
Key Responsibilities
+ Prepare HR-related reports (e.g., training budgets by department).
+ Develop regional campaigns to promote company programs (Compassion Fund Awareness, Wellness Day, Wellness Incentives).
+ Partner with HR Business Partners to support talent management, onboarding, and engagement initiatives.
+ Conduct research and benchmarking to support HR projects, process improvements, and policy updates.
+ Collaborate with Employee Relations to analyze workplace trends and develop training for field leaders.
+ Assist in planning and executing employee development programs and company events.
+ Present your work and recommendations to senior HR leaders at the conclusion of the internship.
+ Partner with Recruiters to understand the screening process and assist with recruitment activities.
+ Exposure to HR Operations, which includes Payroll, Benefits, and HRIS
Qualifications
+ Currently pursuing a Bachelor's or Master's degree in Human Resources, Business Administration, Organizational Psychology, or a related field.
+ Strong organizational skills and attention to detail.
+ Excellent written and verbal communication skills.
+ Proficient in Microsoft Office Suite; experience with HRIS or recruiting tools is a plus.
+ Ability to handle confidential information with professionalism.
+ Self-starter with a strong desire to learn and contribute.
+ Willingness and ability to travel

Full-Time in Office

As the Human Resources Associate, you will play a key role on a dynamic team by building and supporting an exceptional Dreamteam that's making Texas one of the top startup scenes in the country. You'll support the full recruitment lifecycle by ensuring a smooth and efficient hiring process. Beyond recruiting, you'll manage benefits administration, compliance tracking, and with exceptional organization maintain and update HRISs and employee records with the utmost confidentiality and attention to detail.

You'll work behind the scenes to maintain accurate records, streamline HR operations, and support employee engagement efforts, helping to create a well-organized and efficient workplace.

Requirements

What you will do.

  • Recruitment
    • Post open positions on our ATS and track candidates referred by CF partners and staff
    • Review applications, conduct screenings, and push through high potential candidates
    • Assist in scheduling candidate interviews and ensure all candidate measurement methods (ie. Scorecard, Disc Profile, Resume, Assignments) are included and shared with the hiring team
    • Communicate updates regularly with hiring managers and hiring teams
  • Benefits & HR Administration
    • Administering employee benefits such as health insurance, 401K, and leave policies.
    • Work with insurance brokers in benefit enrollment and termination
    • Update terminations in COBRA administrator portal
    • Update new hires and terminations in 401K administrator portal
    • Track FMLA and Parental Leave
  • HRIS Entry, Analysis, & Maintenance
    • Maintain employee general info, benefits, support orders, etc, in payroll system
    • Process employee info changes with insurance and 401K providers
    • Run needed payroll system reports (401K contributions, Payroll Reports, etc)
    • Assist employees in payroll system needs such as pulling end of year documentation, providing pay history data or check stubs etc.
    • Develop of and track receipt of signature documents such as Separation Agreements, Exit Letters, Offer Letters, Commission Agreements, etc.
    • Maintain HR Google Drive
  • Compliance and Operations
    • Ensure compliance with employment laws and regulations (e.g., FLSA, FMLA, EEO)
    • Ensure federal & state Workplace Posters are up to date
    • Maintain TWC and other state compliance portals with required reports and info
    • Perform annual ACA reporting audit
    • Assist with special projects as they come up
  • Employee Engagement and Company Culture
    • Assist Director with planning semi-annual DREAMCON planning
    • Assist Director in Training Facilitation
    • Assist Director with CF Cup & Culture Club
You'll know you're successful if.
  • All employee records including benefit enrollments, terminations, and payroll updates are timely and correct.
  • You maintain full compliance with federal and state labor laws, including workplace postings and TWC reporting.
  • 100% of high-potential candidates are reviewed and moved through the interview process including network and staff referrals.
  • Hiring managers within CF feel well supported and are always clear on timeline and expectations for the hire.
  • The Dreamteam is diverse, with increased POC, LGBTQ+, and women in leadership roles.
About you.
  • Bachelor's Degree OR High School Diploma in combination with 2+ years of experience in corporate, administrative, and/or Human Resources functions and systems.
  • Compliance is your jam, and you find solace in the administrative details.
  • Excellent interpersonal skills with proven ability to deliver high-quality customer service to all internal and external customers.
  • Working knowledge of legal requirements and government reporting regulations affecting Human Resources functions and compliance.
