Responsibilities:
- Verifies that all equipment requested for events is set in the exact manner as described on the set-up report this will involve setting up tables and chairs and audio-visual equipment in accordance with reservation requests;
- Operate and maintain a working knowledge of all audio-visual (A/V) systems in Mason Square event venues;
- Verifies that Audio-Visual equipment is tested and fully operational before events begin;
- Provide general A/V support for meetings, conferences, and events;
- Responds to and troubleshoot minor technical issues and provide user support during an event when required;
- Delivers timely and effective support to event clients, responding promptly to all requests;
- Ensures accurate and on time fulfilment of table and equipment delivery requests;
- Completes regular building checks to retrieve and return event signage and equipment to storage;
- Maintains order in all storerooms and ensure that aisles and mechanical equipment areas are kept clear of equipment;
- Ensures proper storage of Plaza furniture and Umbrellas in advance of inclement weather;
- Assists management with event operations and execution requirements while ensuring compliance with Mason square venue polices; and
- Identifies maintenance discrepancies and/or damages within event space and reports them to the Operations Manager.
Required Qualifications:
- Must be a high school graduate;
- Possess outstanding interpersonal skills and the ability to work effectively and efficiently with a diverse audience, including current university faculty and staff, alumni, donors, students, and the community;
- Must be able to work a flexible schedule, including evenings and weekends;
- Must be able to safely and independently move items up to 50 pounds;
- Must have excellent verbal, and interpersonal communication skills;
- Possesses a strong customer service, time management and organizational skillset with high attention to detail; and
- Understanding of audio/visual equipment used to support events and multimedia applications, visual/audio hardware configuration, conference A/V set-ups, streaming platforms, and knowledge of electronics used to support events, and a willingness to learn new skills.

What You’ll Do:
The Role:
The primary role of the Event Assistant is to promote membership and engage and excite visitors, program participants, and private lessees at Powisset Farm in Dover, MA. The position is part-time, year-round, often on weekends, evenings and holidays. The Event Assistant is responsible for assisting with on-site execution of public programs and private events in the farm kitchen/classroom or outdoors. Tasks may range from event set up (moving tables and chairs), greeting/checking-in participants upon arrival, assisting with cooking classes (material set up, washing dishes, cleaning), selling memberships and providing membership information to festival attendees, and more. At all events and programs, the Event Assistant will educate and encourage visitors to support The Trustees through a variety of outlets.
Specifically, you’ll:
- Assist Engagement Manager with event set up such as moving tables & chairs, decorating, providing Trustees marketing and educational material.
- Assist chef instructors with cooking classes, which could entail setting-up cooking stations, washing dishes, food prep, and cleaning.
- Assist with private events and liaise with private lessees on site.
- Educate visitors about The Trustees mission and value of membership; sell memberships on site using Siriusware software.
- Greet and/or check-in visitors upon arrival and orient them to the property; provide exceptional customer service by answering questions, problem solving and directing visitors, as needed.
- Social media posts before, during and after events.
- Be familiar with and enforce property rules and regulations.
- Keep event areas organized, clean, and orderly to deliver a positive visitor experience.
- Perform opening and closing procedures during each shift and perform cash or credit sales transactions. Use basic computer skills and have the ability to learn new systems, including processing credit card transactions and logging hours.
- Communicate regularly with staff to report safety concerns, incidents, maintenance needs and program assessment.
This is a part-time, nonexempt position working up to 19 hours per week reporting directly to the Public Programs Coordinator for Charles River Valley
