Prominent Asian family office is seeking an Executive Administrative Assistant to support the ongoing needs of its real estate assets in the US. This person will be working onsite at one of the mixed-use properties in San Francisco three times per week, and the EA will be supporting the local Office Administrator as well as the CEO and COO when they visit the States.
+ Daily office logistics management: including but not limited to office supplies procurement, office equipment maintenance, office environment construction, etc.
+ Schedule: including but not limited to employee/guest travel reservations, meeting arrangements and coordination, etc.
+ Event and project support: organize and coordinate employee activities, including event planning, venue preparation, etc.
+ Maintain communication with the apartment manager to promote the normal operation of the apartment and implement various logistical tasks in the apartment, such as furniture maintenance and updates, cost statistics, etc.
+ Collect and process basic data and organize administrative budget reports
+ Other temporary matters assigned by leaders

Minutes shall include but are not limited to purpose and objective; names/organization of principal, key members, and other attendees; names of all individuals invited compared to those who attended; if a key member is unable to attend provide reason for absence; summarize meeting effectiveness in relation to mission objective; and summarize events/decisions.
- Assist with the submission and processing of military and civilian awards and decorations, quarterly and annual awards, and special trophies to include but not limited to monitoring status of military and civilian out-bound personnel and notifying the government of decoration package timelines, ordering plaques, updating recognition board, and assisting the government with All Calls. Notify the government of quarterly, annual, and special award timelines, and assist with preparing award packages. Quality check all packages to ensure compliance with regulations. Monitor award package processing until award is signed and presented to member. Assist the government with the awards board process to include but not limited to the voting round for submitted packages, consolidate votes, and present results to the Government.

RequirementsQualifications:
Minimum of 5 years of experience providing high-level executive or administrative support
High school diploma
Experience working in a nonprofit organization
Experience coordinating events and/or meeting logistics
Experience managing complex executive or board calendars with precision
Experience coordinating board communications, meetings, and materials
Excellent verbal and written communication skills
Demonstrated ability to handle confidential information with discretion
Proficiency in Microsoft Office Suite (Office 365), Google Workspace apps, and Salesforce (or other CRM)
Demonstrated ability to collect information and data from multiple sources to create meeting presentations and reports for stakeholders.
Experience with basic budgeting and expense reporting
Ability to work collaboratively across departments and with external stakeholders
Ability to work under pressure and meet tight deadlines
Strong commitment to the mission and values of the organization
Preferred
Associate’s or Bachelor’s degree in Business, Business Administration, Communications, or a related field

**Job Summary:
** As the Legal Executive Administrator, you will provide high-level, proactive support to both the Chief Legal Officer (CLO) and Chief Executive Officer (CEO). In this dynamic role, you'll ensure the seamless coordination of legal and executive workflows, assist with legal documentation and scheduling, and serve as a trusted liaison between leadership and both internal and external stakeholders
Key Responsibilities:
- Provide day-to-day administrative support to the CLO and CEO, including but not limited to scheduling, inbox organization, correspondence, and meeting coordination.
- Prepare, manage, and maintain legal documents—NDAs, contracts, board materials, and presentations—under direction.

Qualifications:
