Insight Global is looking for a sharp Executive Assistant to join their client in Downtown Chicago. This role will support the VP of Auto Insurance with their day-to-day needs as well as other executive staff members/senior leadership (about 10 people across functions). The ideal candidate should be highly organized, self-motivated professional capable of managing their workload in a fast-paced corporate environment.
Responsibilities:
* Manages complex schedules, calendar, make travel arrangements (airline, car service, rental car, hotel, etc.), order office supplies/equipment, prepare expense reports, reserve, and prepare facilities and catering.
* Assist with employee communication
* Support the employee engagement team
* Anticipate the needs and use discretion when setting priorities to keep the leadership team updated and aware of meetings, agendas, travel, upcoming events, incoming emails, and letters.
* Act as a liaison between the leader and employees, clients, and all external contacts, by utilizing good judgment in determining when to act independently and when to refer matters for further attention.
* Plan and manage leadership meetings and conferences as requested
* Prepares, edits, and formats correspondence, communications, presentations, and other documents, including those of a confidential nature
* Ensure executives' time is leveraged most effectively and ensure alignment across direct reports.
* Manages meetings, understand context, capture major takeaways and drive follow-up actions.

**Minimum Qualifications:**
+ Minimum 4 years' experience as an Executive Assistant to a Senior Executive and team of a mid-sized or large organization
+ Strong interpersonal skills with ability to work well with all levels of internal management and staff, as well as outside clients and vendors
+ Exercise independent judgment in the resolution of administrative problems
+ Demonstrated knowledge of project administration/ coordination and reporting for division projects
+ Ability to multi-task to manage/prioritize multiple projects simultaneously
+ Strong proficiency in Microsoft Office, specifically Outlook, Word, Excel & PowerPoint.
+ Strong collaboration, detail oriented, accurate, organized and able to work independently in a self-directed environment

The compensation range for this role is (based on the corporate location in Lake Forest, Illinois):
$31.49 - $45.49 per hour
The final salary offer will be determined based on factors such as location, qualifications, experience, skill set, and other relevant factors. This position may also be eligible for bonus. We are seeking an Executive Assistant to support our growing logistics business. This position will provide support to multiple regional executives and their teams. Role & Responsibilities:
+ Provide comprehensive administrative support to regional executives and their teams, including calendar management, travel arrangements, expense reporting, and meeting coordination. Will require interaction with both internal and external executives, assistants, and team members to coordinate a variety of meetings with attention to different time zones
+ Prepare and edit correspondence, reports, presentations, and other documents
+ Organize and coordinate internal and external meetings, including agenda preparation, logistics, and hospitality services (catering, guest registration, etc.)
+ Manage the day-to-day operations of the office to ensure a smooth and efficient work environment
+ Oversee office supplies procurement, inventory, and vendor relationships
+ Coordinate facility maintenance, office safety procedures, and equipment needs
+ Support onboarding and offboarding processes in collaboration with HR and IT
+ Plan regional events, meetings, volunteer events, and team-building activities. This includes collaborative efforts with Brookfield Cares, ESG team, and Marketing team
+ Balance conflicting priorities to manage workflow, ensure the completion of essential projects, and meet critical deadlines
+ Promptly respond to requests with courtesy and accuracy
+ Assist Marketing Team with regional marketing efforts, such as event planning and on-site coordination, swag inventory, organizing marketing materials, and processing approved sponsorship/donation requests
+ Collaboration with local, regional, and national administrative/office management staff
+ Assist in troubleshooting basic IT deskside support issues as needed

Your Qualifications:
+ H.S. diploma required, College degree preferred
+ 3 - 5 years of experience supporting multiple senior leaders and managing office responsibilities

**In this role, a typical day will look like:**

+ **Information Gathering:** Compile and prepare data, reports, and presentation materials to support strategic discussions and decision-making.

+ **Event Planning:** Lead logistics for corporate events-ranging from intimate team gatherings to large-scale international functions-both on-site and off-site.
**The essential requirements of the job include:**
+ 5+ years of experience providing support to senior executives. Bachelor's degree preferred but not required.
+ Advanced computer skills across Windows and Microsoft Office Suite, including Teams, Outlook (email and calendar management), Excel, Word, and PowerPoint. Experience using Apple devices (Macs and iPhones) is a plus.
+ Proven organization skills with the ability to deliver accurate, high-quality work on time.
+ Exceptional attention to detail and precision in execution.
