Position Overview

Responsible for developing and managing the experiential and practicum learning requirements and opportunities for Parkinson School of Health Sciences and Public Health. Instrumental in the day-to-day operations of experiential and practicum placements; a key role in supporting the community and industry-based requirements and opportunities for Parkinson students, including undergraduate and graduates internships, service-learning experiences, supervised practice, practicum experiences and graduate capstone projects.

Community and Industry Relations

  • Provide leadership in the development and implementation of a viable internship/practicum program for the Parkinson School.
  • Initiate and secure internship, field experience, practicum and service-learning partnerships with Employers and Agencies in support of Parkinson student experiential requirements.
  • Collaborate with Program Directors on securing priority community and industry sites
  • Participate in LUC and community events (e.g., Job Fairs, Open Houses) that support the generation of experiential and clinical placements.
  • Conduct site visits with potential and established Partners to evaluate effectiveness of fit with Parkinson programs.
  • Participate in professional and community events in order to build relationships across Health Sciences organizations.
  • Manage long-term community and industry Partner relations.
  • Provide orientation and support to site preceptors.

Student Placements

  • Finalize available internship, field experience, clinical and service-learning opportunities each semester.
  • Collaborate with Program Directors on student placements at individual sites.
  • Coordinate service-learning partnerships in collaboration with Parkinson School Faculty.

Management of Operations

  • Liaison between site preceptors, students, and Parkinson programs.
  • Collaborate with Program Directors on development of program-specific marketing and communications related to community placements.
  • Collaborate with Program Directors on events/activities that support the placement process (i.e., Orientations, Match Meetings, Reveal Day Events).
  • Collaborate with relevant Parkinson School Faculty and Staff on the processing of Affiliation Agreements.
  • Consult with Students regarding experiential and clinical placement alternatives as requested.
  • Participate in internal Advisory Boards and workgroups as relates to community placements.
  • Manage and develop policies and procedures that promote the academic quality and integrity of experiential and practicum learning requirements.
  • Maintain Student, Preceptor, and Faculty SAKAI sites.
  • Update, maintain and distribute Student and Preceptor Handbooks for Parkinson School experiential learning and clinical programs.
  • Maintain social media communications relative to Parkinson experiential learning programs.

Management of Data

  • Collaborate with Program Directors on data needs relative to certification and accreditation readiness, self-study preparation and outcomes reports.
  • Maintain database and Excel spreadsheets with site contacts, placements, and outcomes.
  • Maintain database and Excel spreadsheets with Faculty information, clinical requirement compliance, including license, immunization and CPR documentation as required.
  • Track and communicate student compliance with Clinical Background Requirements and site specific requirements; collaborates with relevant Staff through use of Castlebranch system.

Minimum Education And/or Work Experience

Masters Degree in Higher Education, Business, Counseling, or related field and three-five years of progressive experience in Curricular, Career or Internship services at a University or related organization.

Position Purpose:

The Associate Director of Experiential Learning and Assessment provides leadership in advancing experiential learning across the curriculum and assessment of student learning. This role is responsible for identifying and evaluating existing experiential learning practices, collaborating with faculty to expand these opportunities, and ensuring equitable access for all students. Collaborating closely with members of the Career Development Center (CDC), the Faculty Professional Learning Center (FPLC), and faculty/staff across campus this position fosters connections to enhance experiential learning offerings, while also serving as a resource for faculty and staff on best pedagogical practices. Additionally, the associate director leads the development and implementation of a comprehensive experiential learning assessment strategy aligned with institutional goals, accreditation standards, and Project DRACO/Title III. This role is instrumental in tracking engagement, measuring student outcomes, and driving continuous improvement in experiential learning integration. This position reports to the Director of the Career Development Center.

Responsibilities and Results:

Integration, Strategic Leadership, and Reporting of Experiential Learning -55%
  • Gather and evaluate evidence of existing experiential learning initiatives, and work with faculty cohorts to promote these practices across various disciplines
  • Lead initiatives to increase the integration of experiential learning within the academic offerings
  • Partner with Faculty to embed experiential learning elements into course activities
  • Design and implement process for tracking experiential learning engagement
  • Help identify barriers to student participation in experiential learning opportunities to create equitable access to engagement
  • Develop frameworks to assist faculty in incorporating and evaluating experiential learning opportunities into their courses and programs
  • Promote faculty interest in and the development of experiential learning opportunities embedded in, or as a co-curricular accompaniment to, their courses
  • Serve as a resource for faculty and staff with questions about best practices in experiential learning
  • Facilitate the development and delivery of training programs focused on experiential learning and assessment methodologies in collaboration with the FPLC
  • Assist in reviewing funding requests for Title III Challenge Grants and provide expenditure recommendations
  • Collaborate with CDC staff to develop partnerships with employers to create and maintain ongoing experiential learning opportunities

    • Align experiential learning assessment with University Assessment Committee (UAC) reporting requirements.
  • In collaboration with campus and employer partners, develop and oversee a plan for assisting faculty in developing, revising, and implementing embedded student experiential learning into their assessment plans
  • In collaboration with the UAC, lead the assessment of student learning in co-curricular activities across campus
  • Ensure all assessment activities are conducted effectively and that results are utilized to enhance the student experience
Career Development Center Initiatives - 10%
  • Represent the Center for Experiential Learning and Career Development Center at departmental and campus events
  • Work collaboratively with the CDC on planning and implementation of CEL and CDC initiatives
  • Present workshops and seminars on experiential learning as needed

Minimum Qualifications:
  • Master's degree plus three - seven years of advanced professional experience in experiential learning coordination, assessment, or related fields or Bachelor's degree plus four years of advanced professional experience in experiential learning coordination, assessment, or related fields or an equivalent combination of post-secondary training, education and/or advanced professional experience.

JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Experiential Learning Coordinator supports the day-to-day operations of the experiential program, Introductory Pharmacy Practice Experiences (IPPE) and Advanced Pharmacy Practice Experiences (APPE), for the Doctor of Pharmacy (PharmD) program and the University of Tennessee Health Science Center College of Pharmacy. The position manages and serves as the primary contact for students and sites regarding onboarding and compliance for clinical practice sites for the experiential program. The position leads the International Program for the College of Pharmacy, including maintaining positive relationships with sites, facilitating student understanding of the international APPEs, supporting and problem-solving for the international program, and creating a schedule, managing, and assuring meaningful experiences for international visitors.

Responsibilities

  1. Oversees the administration of the College's Introductory Pharmacy Practice Experience (IPPE) Program.
  2. Obtains IPPE grades from CORE ELMS for approval by Experiential Program Coordinator and ensures IPPE grade entry into Banner.
  3. Documents student completion of IPPE program requirements for graduation.
  4. Recruits and enters preceptor availability for IPPEs (spring) and APPEs (fall).
  5. Constructs scheduling process for IPPEs and APPEs in CORE ELMS.
  6. Maintains and keeps all current documents housed on CORE ELMS site.
  7. Assists preceptors in the creation and maintenance of rotation syllabi and pertinent rotation information housed on CORE ELMS.
  8. Manages and prioritizes procedure for maintaining student compliance with onboarding requirements for experiential sites.
  9. Oversees administration of the College's international APPE program and the government/military/Indian Health Service/other special APPE programs.
  10. Develops, implements, and maintains timeline for scheduling and completion of international APPEs and government/military/Indian Health Service/other special APPEs, including student orientations and student compliance needs.
  11. Oversees and manages international student visits.
  12. Arranges International Preceptors Dinner at the American Society of Health-System Pharmacists (ASHP) Mid-Year Conference.
  13. Manages UTHSC COP and visiting students travel arrangements for International APPEs.
  14. Performs other related duties as assigned.


Qualifications

MINIMUM REQUIREMENTS:

EDUCATION: Bachelor's Degree. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of administrative support experience (preferably in a higher education environment); OR Master's Degree; OR a combination of related education and work experience to equal six (6) years. Must possess a valid Driver's License.

Job Description:

The Assistant Director will work to enhance the professional development, career advancement, vocational exploration, life design, experiential learning, and mentoring opportunities for students through campus engagement and experiential learning opportunities. This role will create, assist, and manage experiential learning opportunities through Career Engagement (e.g. internships, CABLE presentations, and others). This role will provide career, vocation, job, and internship counseling of students. This role will function as a member of the Career Engagement team, working closely with the Associate Director of Career Preparation/External Partnerships and Assistant Director of Career Operations/Student Employment to engage students on campus and impact student outcomes after graduation. This is a full-time, exempt-level position reporting to the Interim Dean of Student Engagement.

Essential functions include but are not limited to:

Campus Engagement/Programming
  1. Create and execute relevant on-campus career and vocational development opportunities such as workshops, presentations, internship/job/grad school fairs, or other engagement experiences; work with Associate Director on assessment and execution.
  2. Work with Associate Director to identify and schedule employer visits; manage event and constituents during visits.
  3. Create and execute a marketing plan to advertise Career Engagement programs and resources; supervise student workers.

  5. Participate in appropriate staff development opportunities; serve on campus, community, and professional association committees; appropriately keep supervisors abreast of matters sensitive in nature.
