Experiential Learning Coordinator

The University of Virginia Career Center engages and supports students in the discovery and pursuit of meaningful lives. The Experiential Learning Coordinator is a member of the Internship Placement Program and Employer Relations teams in the Career Center. The program aims to provide a tailored and supported experiential learning opportunity for students as they explore their career goals, interests, values, and talents. The coordinator will work specifically with the Coleman Foundation Fellowship in Pediatric and Family Medicine for undergraduate students at UVA including the formation and management of programs to support the fellowship cohort. Reporting to the IPP Associate Director, the Coordinator has primary responsibility of creating, implementing and managing the new Coleman Foundation Fellowship in Pediatric and Family Medicine for undergraduate students at UVA. The Coordinator will participate in all aspects of programming and logistics related to the engagement of internship partners and successful recruitment and placement of UVA students in the program. Additionally, the Coordinator supports directed employer outreach for the program.

Major Functions and Responsibilities:

  • Supports all aspects of the intern recruitment and placement process for the program including, but not limited to, creation and distribution of recruitment materials; planning and facilitating information sessions; managing application submissions and deadlines; scheduling and conducting interviews; and advising and supporting applicants throughout the process.

Employer Outreach and Account Management:

  • Serves as the primary program contact and oversees all aspects of the account management process for a cohort of active employers and their interns, including, but not limited to, planning and conducting orientations, initiating internship site check-ins, managing internship requests, and distributing internship evaluations.
  • Proactively identifies and professionally resolves issues or concerns with interns and employers in their account to minimize negative outcomes.
  • Facilitates new employer on-boarding and assists in crafting new internship descriptions to align with program guidelines.
  • Collaborates with Career Center staff and affiliates to engage prospective employers with appropriate resources to establish new program partnerships.
  • Participates in Employer Relations meetings to discuss recruiting issues, develop policies, and keep abreast of current employment trends.

Program Operations, Outreach, Event Planning, Other:

  • Provides course support for IPP internship reflection seminar including, but not limited to, registration and enrollment, instructional prep for faculty, and attending monthly faculty meetings.
  • Partners with marketing team to design all IPP marketing materials including website, event signage, nametags, and communications to students and employers.
  • Manages and updates IPP resources, handouts, and webpages accessed by students and internship partners.
  • Participates in outreach activities including information sessions, fairs, Career Center programs, etc. as a representative of IPP.
  • Supports Career Center general advising and programming as needed.
  • Serves as the point of contact and facilitates a comprehensive project management plan for assigned events.
  • Actively participates in office-wide team meetings, projects and other office functions as needed.
  • Maintains the confidentiality of student personal and academic data, the unauthorized and indiscriminate release of which is constrained by either legislative guidelines or ethical standards; exercises good judgment in the release of information of any student information to employers, especially regarding special student populations legally protected against discrimination or unfair treatment.

Occasional in-person, on-site work will be required for team retreats, meetings, presentations, etc. The position is grant funded for four years at an annual salary of $53,000.

**JOB PURPOSE:**
The Director for Employer Relations and Experiential Learning (ER&EL) provides the research and planning, strategy, outreach, financial review and reporting, and area management to lead the Employer Relations and Outcomes (ERO) team of Stanford Career Education (aka, CareerEd). In managing the ERO team, the ER&EL Director oversees the online systems, employer relationships, and team members to ensure that employment opportunities, employer relations, and related services such as scheduling appointments are provided via the current online platform, Handshake.
As a member of the CareerEd leadership team, the ER&EL Director consults frequently with the Assistant Vice Provost and Executive Director for Stanford Career Education to ensure that resource management, decision making, and staff management align with the department, division, and Stanford priorities, vision, and established practices. The ER&EL Director provides ongoing data collection, analysis, and reporting as a basis for assessing compliance, planning, and reporting with areas such as Institutional Research and Decision Support, the Office of Development, Stanford Alumni Association, and the Vice Provost for Student Affairs.
In managing and administering the program called The Rising Bird Fellows program, the ER&EL Director ensures the accessibility, student planning, data collection, and ongoing reporting of metrics that demonstrate the efficacy of the program and align with best practices related to donor relations.
**CORE DUTIES:**
+ VResearch and Planning
+ Leads annual and ongoing planning for the ERO team's employer engagement via core functions such as career fairs, coffee chats, information sessions, and employer engagement events that include the Career Coaching and Education team of CareerEd.
+ Develops and proposes annual operating budgets for the ERO team, ensuring compliance with department, unit, division, and Stanford policies and practices.
+ Provides the core themes and messaging that communicate the ERO team's work with employers.
+ Aligns management of ERO with that of the department, , and the major areas of the department including Administration and Leadership, and Career Coaching and Education.
+ Financial Review and Reporting
+ Researches and proposes the annual revenue targets for ERO for those revenue-producing events such as career fairs and Circles of Influence. are set and met on an annual basis.
+ Generates ongoing revenue reports for career fairs, Circles of Influence, and other revenue-generating activities.
+ May provide consultation and recommendations for the ERO team regarding the use of revenue accounts.
+ Researches and requests an annual budget to provide awards to students participating in the Rising Bird Fellows program.
+ Recommends student award amounts for Rising Bird Fellows based on research done in consultation with campus partners, such as Financial Aid and First-Generation and/or Low Income Student Success Center, to ensure that awards are coordinated and communicated in a way that allows students to make informed decisions.
+ Generates outcomes reports for the Rising Bird Fellows, aligning with best practices from the Office of Development, VPSA, and other entities in consultation with the Assistant Vice Provost and Executive Director for Stanford Career Education.
+ Management
+ Manage the administration and evaluation of programs and employer relations/engagement.
+ Oversees the interpretation, implementation, and compliance with policies and regulations, especially as they relate to Handshake and the application system for the Rising Bird Fellows program.
+ Recommend actions and/or resolve complex issues that often span organizational boundaries.
+ Supervise ERO team members in the development and implementation of programs, services, and resources.
+ Manages Stanford's online student-employer platform, currently Handshake. Integrates data collection, data accuracy, and reporting for relevant department, division, and Stanford efforts and initiatives.
+ Leads the annual and ongoing planning for employer engagement related to ERO events and services. Collaborates with other areas of CareerEd to coordinate employer outreach for events.
+ Manages ERO marketing in consultation with CareerEd, VPSA, and University MarCom areas.
+ Oversees the ongoing management of the ERO budget in consultation with the CareerEd budget and finance staff and as needed with VPSA budget and finance.
+ Supervises staff, ensuring compliance with relevant human resources policies and practices as defined by areas such as VPSA Human Resources and University Human Resources.
+ Oversees the collection, analysis, and marketing of student outcomes data, working with areas such as Institutional Research and Decision Support, the Schools, and areas such as VPUE and VPGE.
+ Collaborates with the ERO team, the Vice Provost for Student Affairs, and areas such as legal counsel to review, respond, and track student and employer concerns, ensuring compliance, reducing risk, and where appropriate, reporting.
+ Collaborates with areas such as the Office of Student Engagement to manage employer engagement, event planning, and outreach to student organizations.
+ Outreach
+ Consult with the Assistant Vice Provost and Executive Director for Stanford Career Education to ensure alignment of ERO outreach efforts with those of CareerEd, VPSA and affiliates such as the Office Of Development.
+ Represent Stanford Career Education's ERO team to employers, community partners, and the Stanford campus, ensuring employer engagement with Stanford and with events such as career fairs, on-campus interviews, and coffee chats/information sessions.
+ Leads the ERO team on working with contacts for the Ivy+ schools, the Atlantic Coast Conference (SeaCNet) schools, and professional associations including NACE, MPACE, and NASPA.
+ Lead the ERO team in identifying, implementing, updating, and reporting on employer relations initiatives.
+ Lead the center's employer sponsor program, currently called the Circles of Influence, ensuring that revenue targets are set, met, and that ongoing, responsive, and informed communication occurs with CI members.
+ Plan, implement and report on the annual employer engagement agreement with Stanford Research Park. Provide an annual outcomes summary report and presentation to the SRP.
+ Strategy
+ Identify and implement practices that increase Stanford student (and recent alumni) access to internships, jobs, research, networking, and contacts with alumni via Handshake and related platforms and experiences.
+ Actively contribute to the CareerEd Leaders team by providing the ERO perspective and expanding the potential and actual abilities to strengthen the center as a valued campus resource for students, recent alumni, employers, and advisors and faculty in the Schools at Stanford.

**MINIMUM REQUIREMENTS**
**Education and Experience:**
Bachelor's degree and eight years of relevant experience, or a combination of education and relevant experience. Experience in higher education setting and a career center preferred.

We are seeking an Experiential Learning & Study Abroad Program Coordinator. Reporting primarily to the Director of Experiential Learning in the Dietrich College Dean's Office, with secondary reporting to the Head of the Department of Languages, Cultures & Applied Linguistics (LCAL), this position will provide programmatic support for both the Experiential Learning Program and LCAL.
This is a **fixed term position set for a 3-year duration** with the possibility of extension beyond that initial term.
**Core Responsibilities Include:**
+ Coordinate the Community Engagement Fellowship program, which engages undergraduate students in a series of coursework and experiences designed to develop the skills and knowledge needed to promote community-centered social change.
+ Develop study abroad programs in alignment with the new International Educational Arrangements Guidelines and shepherd the contract review/renewal process for ongoing programs
+ Meet with students in an advisory capacity to support their experiential learning goals, including helping them to understand options available and resources for securing these opportunities
+ Promote and communicate opportunities for experiential learning within Dietrich College, particularly community-engaged learning and study abroad programs
+ Establish mutually beneficial relationships with community partners to better understand their needs and facilitate opportunities for students to meaningfully contribute to their efforts
+ Coordinate with the Office of International Education (OIE) and LCAL Study Abroad faculty to conduct student pre-departure orientation programs for LCAL programs and facilitate faculty training/pre-departure workshops
+ Collaborate with LCAL staff to ensure the smooth distribution of scholarships and resolve billing issues for LCAL study abroad programs
+ Serve as the primary point of contact at home for emergent issues with students while they are abroad with an LCAL program; liaise and communicate frequently with program directors and OIE while programs are in progress
+ Assist with assessing student engagement and learning through all applicable programs
+ Assist with college-wide events that promote student involvement in study abroad and experiential learning opportunities including but not limited to Dietrich College Orientation, Family Weekend events, April Yield and others that will be newly established
