We are a growing commercial real estate firm seeking a highly organized, detail-oriented, and results-driven professional to oversee key operational, financial, and administrative functions. While Salesforce administration (Rethink CRM) will be a central focus, this role will also be responsible for managing company KPIs, developing and implementing standard operating procedures (SOPs), overseeing accounts receivable/payable, financial forecasting, budgeting, and ensuring smooth employee onboarding.
Key Responsibilities
Salesforce Administration & Optimization
- Serve as the primary Salesforce administrator, ensuring system functionality, data integrity, and user support.
- Work closely with Rethink CRM support to customize workflows, features, and reporting to align with business goals.
- Automate deal invoicing processes, including creation, sending, and tracking of invoices across multiple entities.
- Maintain and update invoice records to track unbilled revenue and commissions.
- Build and manage dashboards, analytics, and reports to support leadership and finance teams.
Financial Management & Forecasting
- Oversee accounts receivable/payable processes for multiple entities.
- Manage payroll using ADP, ensuring compliance with applicable regulations.
- Assist with reconciliations, expense tracking, and financial reporting.
- Lead financial forecasting and budgeting in coordination with leadership.
KPI Tracking & SOP Development
- Identify, track, and report on key performance indicators across the brokerage enterprise.
- Develop, document, and maintain SOPs using tools like SweetProcess to ensure operational consistency.
- Leverage EOS (Entrepreneurial Operating System) tools—such as Scorecards, Rocks, and Level 10 Meetings—to align company processes with strategic goals.
Employee Onboarding & Administration
- Manage employee onboarding processes, including collecting and processing new hire paperwork.
- Coordinate enrollment in insurance, benefits, and other employee programs.
- Maintain accurate employee records in compliance with company and legal requirements.
Preferred Qualifications
- Advanced Salesforce skills, including CPQ, deal management, and invoice automation.
- Experience with QuickBooks Desktop and QuickBooks Online.
- Familiarity with ADP payroll systems.
- Knowledge of EOS methodologies and SweetProcess for SOP documentation.
- Strong organizational, analytical, and communication skills.

- Develop and maintain supporting documentation and schedules for financial reporting purposes.
- Draft detailed footnotes for financial statements, reflecting changes in accounting standards and regulations.
- Coordinate with auditors and respond to inquiries during audit processes.
- Monitor updates to accounting and reporting standards, implementing necessary changes within the organization.
- Perform complex reconciliations of accounts to ensure data integrity.
- Manage workflows and deadlines related to financial reporting and audit cycles.
- Utilize Microsoft Excel and other tools to support reporting and analysis tasks. Requirements - A minimum of 5 years of experience in accounting or financial reporting.
- Proficiency in financial analysis, modeling, and variance analysis.
- Strong knowledge of US GAAP and IFRS standards.
- Experience with data mining techniques and ad hoc financial analysis.
- Advanced skills in Microsoft Excel and other Microsoft Office applications.
- Ability to perform complex reconciliations and handle detailed financial data.

Responsibilities
Primary responsibilities include (but not limited to):
- Prepares and reviews quarterly/annual financial filings in accordance with GAAP for all reporting entities of the Company
- Prepares and reviews the FERC’s quarterly/annual forms filings (e.g., Form 2 and Form 3Q)
- Prepares and reviews information included in the quarterly financial filings
- Prepares monthly internal financial reports, including the closing of the general ledger for all reporting entities of the Company with limited supervision
- Compiles data necessary to prepare journal entries for month-end close
- Prepares the FERC’s and Company’s quarterly/annual forms filings (e.g., Form 2 and Form 3Q)
- Prepares, reviews, and files the Form 5500 for the Company’s benefit plans and assists in obtaining information to file the IRS annual Form 990
- Functions as a subject matter expert for accounting policies/procedures/practices of the Company
- Prepares and/or reviews account analyses for all reporting entities of the Company
- Prepares and/or reviews quarterly debt compliance calculations
- Prepares ad-hoc reports as needed
- Assists in the research of FERC/GAAP/SEC accounting principles as required
- Assists in implementing procedures for changes in GAAP or FERC requirements
- Implements process improvements as needed
- Other duties as assigned
Qualifications
Minimum:
- Bachelor’s degree in accounting or related field
- 6+ years of experience
- Extensive knowledge of Generally Accepted Accounting Principles
- Proficiency in Microsoft applications (e.g., Word, Excel)
- Strong attention to detail, critical thinking and analytical skills
- Strong written and verbal communication skills
- Ability to work in a team environment
- Strong interpersonal skills
- Ability to prioritize tasks and meet deadlines
Preferred:
- CPA License
