Job Summary:

The primary focus of this position is to coordinate the management of divisional fleet vehicles and equipment. Assists local managers in root cause analysis investigation for major component failures, develops preventative best practices and widely communicates findings to help reduce failure frequency.

Example of Duties:
  • Develops and implements improved maintenance processes and practices including, record keeping, maintenance and management reporting.
  • Works closely with management and local service contractors to ensure cost effective maintenance of the fleet to achieve reliability goals.
  • Manages regional maintenance including scheduling and prioritizing major repair and rebuild work for units in the Region.
  • Performs field inspections of vehicles and equipment.
  • Maintains inventory and placement of vehicle safety equipment.
  • Prepares new vehicles entering service and break down of vehicles being removed from service.
  • Maintains inventory and vehicle documentation including required decals, cab documents, DVIR books, stickers, placards, etc.
  • Orders, issues and tracks fleet fuel cards and maintenance cards.
  • Provides field/telephone troubleshooting and assessment of mechanical issues.
  • Collaborates with the local management team to review fleet inventory and requirements, facilitates the planned transfer of fleet and equipment between service units and across multiple applications and/or regions.
  • Assists with DOT compliance including periodic inspections.
  • Performs related work as assigned.
  • Other duties as assigned.
Required Skills/Abilities: (top 5-10)
  • Equipment maintenance /mechanical knowledge is highly desirable.
  • Team-oriented, ability to quickly develop strong relationships with site and business managers.
  • Strong interpersonal skills as well as the ability to maintain professionalism under pressure.
  • Exceptional multitasking and organizational skills with strong attention to detail.
  • Proficient with Microsoft Office Suite (Outlook, Excel, Word, etc.) and comfortable with basic MS Word documents and Excel formulas.
  • Coordinate the readiness and delivery of all new vehicles and equipment inventory.
  • Identify specific vehicle and equipment repair requirements.
  • Schedule priority and non-priority requirements and prepare forecasts.
  • Interface successfully with multiple departments, external vendors and/or customers.
  • Establish and maintain effective relationships with all internal staff and external vendors.
  • Travel up to 80% of their daily routine on job sites, in the yards or driving.
Experience/Education:
  • Two plus years of work experience in fleet coordination and/or management.
  • Construction industry experience is highly desired.
  • High School graduate or equivalent is required.
  • Bachelor's Degree or relevant technical degree is a plus.
Licenses/Certifications:
  • Possession of a valid California driver's license, Class C, with ability to maintain insurability under the company's insurance carrier.
  • Class A driver's license is desirable.

How will you CONTRIBUTE and GROW?

Assist the Regional Fleet Manager to oversee the operation of all fleet for the region and provide many essential functions to enhance a safe and efficient fleet operation by performing the following duties:

  • Answer, communicate, follow up, and direct phone calls and emails related to Fleet needs.

  • Analyze and maintain spreadsheets, reports, and fleet databases.

  • Work with location managers to ensure DOT compliance, maintain accurate contact information, and coordinate ELD/OBC related hardware.

  • Work with Fleet Manager and department in order to facilitate new activities and procedures related to IFTA paperwork and report processing. Assist in follow up with branches to improve the accuracy of the information going into SAP for IFTA processing.

  • Work with Fleet Manager and department in understanding Preventive Maintenance program and procedures. Assist in working with managers and vendors in order to provide properly completed paperwork to database for MSO compliance with Airgas and Federal standards. Assure readily available compliance documentation for management and governmental organizations.

  • Work with department to facilitate vehicle registration process and supply monthly mileage for Safecor reporting.

  • Assist Fleet Department in processing fixed asset changes per standard Airgas procedures, including sale and purchase of equipment, transfers, retirements, ownership changes, and all other updated information. Furnish database with all related changes and paperwork; audit for accuracy.

  • Support fleet department in evaluating and monitoring the database, fleet reports, vehicle costs and repairs, vendors, and operating expenses. Assist in the accurate reporting of all assets relative to their cost centers.

  • Understand location oracle coding related to each location's financials.

The Fleet Coordinator is responsible for ensuring that the Transdev managed fleet of vehicles (Roadside Assistance and AUX/Training) is available at the agreed SLA to meet the operations need. Key Responsibilities:

Required Education and Experience:
+ Associates degree (and /or equivalent job experience)
+ Previous FDS, SC, and/or Calibration Associate experience, or 3 years prior experience in fleet management, project coordination, or similar activities at a growing company is preferred.
+ Experience in vendor relationship management.
Required Knowledge Skills and Abilities (KSAs):
+ Proficient with Google Suite and ability to learn systems quickly.
+ Strong time management skills with superior attention to detail; including the ability to prioritize multiple assignments simultaneously

  • Liaise with external vendors, suppliers, and repair shops to schedule services, order parts, and manage maintenance activities. Obtain cost estimates for repairs and services and track expenses
  • Maintain accurate and up-to-date records of vehicle information, maintenance history, and expenses in fleet management software or databases. Monitor fuel levels, vehicle accessories, and other inventory items related to fleet operations. Replenish inventory as needed and ensure accurate tracking
  • Assist in ensuring that fleet operations comply with relevant regulations, safety guidelines, and company policies. Assist in investigating accidents, incidents, and violations as needed
  • Provide administrative assistance to the regional fleet manager or team, including scheduling meetings, preparing reports, and managing correspondence. Adhoc requests from the team including sorting and shipping mail. Assist in coordinating driver training programs, safety workshops, and other educational initiatives

Reporting to the Branch Manager, the Inside Sales Representative & Fleet Administrator plays a key role in bridging the sales and operations functions of the business. This position involves prospecting new customers, responding to customer inquiries, preparing quotations and contracts, and coordinating service delivery with both customers and vendors. This role is approximately 70% inside sales and 30% fleet administration (logistics coordination).

Duties & Responsibilities:

Inside Sales/Sales Coordination:

  • Provide support to the branch's sales team by preparing quotations, sales documents, and proposals.
  • Research, identify, contact and qualify potential customers, working closely with the Outside Sales team in driving business growth.
  • Proactively generate high-quality leads through cold calling, online bidding platforms, and site visits.
  • Recommend additional services or add-ons to rental contracts to enhance customer satisfaction while optimizing profitability.

  • Respond promptly to incoming customer inquiries and requests, ensuring excellent service.
  • Prepare and present reports detailing sales activities and revenue performance.
  • Maintain accurate and up-to-date customer information in the CRM system (Salesforce).
  • Follow up with customers post-sale/rental to ensure satisfaction, gather feedback, and resolve any issues, while identifying trends in customer satisfaction.

Fleet Administration/Logistics Coordination:
  • Serve as the primary point of contact for service calls and requests related to rented units, coordinating solutions with the Service Technician or external vendors as needed.
  • Coordinate and communicate with transportation vendors to arrange building deliveries and pickups.
  • Address customer disputes and inquiries promptly and professionally, ensuring a high level of service.
  • Source and set up vendors based on business needs, ensuring competitive rates and terms.
  • Verify required repairs, maintenance, and requested add-on services are completed before delivery to the customer.
  • Issue purchase orders for vendor services, maintenance, repairs, transportation, and other necessary services to meet customer needs.
  • Maintain transportation schedules and related calendars to accurately track unit movements and inventory.
  • Conduct fleet inspections and inventory counts periodically as required.
Qualifications:

Position Overview:
The Vehicle Fleet Coordinator - Safety is responsible for managing the lifecycle of engineering fleet vehicles with a specific focus on safety fleet operations.
