Key Accountabilities

  • Supervisory responsibilities over direct reports- Ongoing recruitment, hiring, training, and onboarding, and performance and financial management of part time and (if applicable) full time employees
  • Follow standard operating procedures, policies, and protocols for issue resolution
  • Manage local warehousing with POS and special event assets. Ensuring assets are available/operable for activations
  • Socialize success and opportunities via program recaps, utilizing data and insights for real-time measurement & evaluation, event strategies and project plans/volume phasing
  • Manage cross agency and in-market communications. Serving as a local contact for clients and key partners
  • Approve and submit payroll and expenses for PTE and FTE employees (where applicable)
  • Process payments for invoices from vendor partners
  • Preparing, managing, and adhering to local market budgets
  • Manage activation schedule, event deliverables, run of show, and staffing/asset needs:
    • Staff specialists/Brand Ambassadors for sampling and special events through company staffing application

    • Audit events to ensure executional excellence and compliance with state sampling laws and local regulations
  • This job may require on call and/or working some nights and weekends when event activations are being executed.
  • This job requires travel within the assigned territories (cadence varies upon size of territory)
  • This is a hybrid role that involves working remotely for 3-4 days per week. Additionally, it requires in-person event attendance and working one day per week, or as needed, at our warehouse to oversee and manage asset and POS kitting and deployment.

Additional Information

  • Serve a communications liaison for stakeholders, including but not limited to the event management team, Arlo executive leadership, and the government client teams
  • Oversee negotiations with vendors
  • Manage contract and event budgets, including performing detailed tracking of vendor estimates, government approvals, and coordinating with Finance and Contracts departments to reconcile and ensure accurate reporting
  • Solve complex, tactical assignments to ensure client satisfaction
  • Create the applicable project management deliverables necessary to manage and oversee the terms of the contract and manage the team
  • Manage contract risks and event risks, develop processes and monitor to ensure high quality design and execute administrative processes and tasks on the contract, including but not limited to detailed tracking of deliverables and milestones and conducting inventory of event materials

Minimum Qualifications Including Certificates:

  • Bachelors degree in marketing, communications, or related field
  • Experience managing large scale in-person government events (350-800 participants)
  • DoD experience
  • Experience developing marketing strategy and materials for events
  • Experience leading teams in dynamic, fast-paced environments
  • Client service skills and ability to influence
  • Quality control, attention to detail

Associate Manager, Event Management

Job Location: This is a hybrid remote/in-office role. You must reside in or near NYC.

Reporting to the Senior Manager, Event Management, as an individual contributor you will be focused on the daily management of nightlife and retail consumer engagement programs in market.

Responsibilities include:

  • Support all aspects of activity in-market (event management/production/audits) and reports to the Market Manager.
  • Recruit and manage top quality Educators and Influencers for event execution in market.
  • Train staff on brands, programs, consumer engagement, and execution excellence.
  • Manage staff pools to ensure primary teams support the volume and needs.
  • Manage point-of-sale coordination and warehouse management for all local event activities.
  • Ensure coordination, kitting, and use of POS.
  • Maintain and review event data in all relevant activation platforms.
  • Ensure all event reporting is entered into the online database.
  • Manage staff payroll and expense processes and personal travel and entertainment expenses.
  • Have a firm understanding of local state alcohol laws and regulations relative to state sampling laws and promotional activity.
  • Implementation of controls, process, policy, and compliance is important.

Person Specification:

  • 3 years minimum experience in field/promotional marketing
  • Comfortable working with the event marketing and promotions of wine and spirits products.
  • Experience sourcing candidates to guarantee a match to the position/organization.
  • Proficient in the Microsoft Suite and Mac OS.
  • Only candidates located in or near Albany, NY will be considered due to onsite requirements.

The salary range for this position is $51,000-$83,000 annually. Placement within the salary range is based on a variety of factors, including relevant experience, and other factors permitted by law.
