- Safety/Risk Management/WC - Lead Safety Committee. Process employee incident reports; interface with safety consultants from Club Safe, NYSIF, OSHA, and Friedlander; work with security to maintain safety supplies; process OSHA logs; maintain SDS master binder; ensure completion of Corrective Action Form (CAF); support/provide safety corrective action/training.
- Manage the annual pension audits and filing of 5500 for all plans. Ensure the accurate and timely preparation and submission of the annual Form 5500/8955/5558 for employee benefit plans, including health insurance and retirement plans, in compliance with ERISA and IRS requirements.
- Support the development and facilitation of HR benefits training and employee orientation.
- Handle daily inquiries from employees about the Club's insurance and retirement benefits.
- Vendor Management : Coordinate with benefits providers, brokers, and insurance carriers to ensure smooth delivery of services and identify improvements to plans.
- Ensure the company's benefits programs comply with federal and state regulations such as ERISA, COBRA, ACA, and HIPAA.
- Process and maintain Workers' Compensation program.
- Work with insurance carriers and benefits brokers to solve employee disputes concerning benefits.
- Stay up-to-date on all state and federal regulations.

The Borough of Manhattan Community College seeks an HR Benefits Coordinator to assist with the employee benefit administration. The HR Benefits Coordinator conducts thorough research and analysis on processing activities for both full-time and part-time staff. This includes areas such as health and welfare fund benefits, retirement system plans, wellness programs, workers' compensation claims, COBRA notifications, and leave administration. As part of the team, they will analyze eligibility for various provisions based upon title series, written policies, existing collective bargaining agreements, and established procedures and/or precedents. The ideal candidate will be a capable HR representative for employees, colleagues, and internal and external stakeholders to triage actions successfully from beginning to end, ensuring accurate and timely coordination, follow-up and completion. The position reports to the HR Benefits Manager, or their designee.

- Track, communicate and administer employee benefits programs, and processes enrollment applications and changes for qualified individuals.

As a Benefits and Leave Administrator , this role assists the Human Resources Department by managing and administering employee benefits and leave programs, ensuring compliance with applicable laws and regulations, and offering support to employees concerning their benefits.
The successful candidate will report directly to the VP of Payroll & Benefits. The position location is flexible.
Alaska, California, Colorado, Delaware, Hawaii, Idaho, Maine, Montana, Nevada, New Hampshire, New York, North Dakota, Rhode Island, South Dakota, Vermont, Washington, Wyoming , Illinois; residents are not eligible.
ResponsibilitiesCoordinate the open enrollment periods, including scheduling, communication, and vendor set up in system with plan changes
- Assist with developing and distributing materials that communicate benefit options, changes, and important dates to employees, ensuring they are well-informed about their benefits
- Provide continuous support to employees with their benefits-related questions and issues, assisting with claims and resolving any coverage problems
- Manage the Wellness Program communications and Champions group
- Vendor Management: Coordinate with benefits providers and vendors to ensure smooth operations and resolve any issues related to benefits.
- Administers Workers' Compensation process (reporting incidents/accidents, post-accident drug testing)
- Manage benefits monthly eligibility files for Wellness, Telehealth, Voluntary plans
- Monitors the Safety requirement for the entire organization to make sure compliant for (TB & Hep B Tracking)
- Conduct the annual OSHA 300 Reporting for the entire organization
- Engages as a trusted partner and subject matter expert with employees and managers requests for family medical (FMLA) and State-specific leave, requests for reasonable accommodation (ADA)
- Serves as main point of contact for leave of absence issues related to FMLA, ADA and State-specific related leaves with Third Party Vendor
- Responsible for ensuring all communications regarding approvals, denials, return to work and other important information to team members, managers and Human Resources management are delivered.
- Provides leave of absence guidance and direction to employees and Managers
- Manage Benefits invoices processes for approval
- Always maintains a high degree of confidentiality due to access to sensitive information.
- Maintains regular, predictable, consistent attendance and is flexible to meet the needs of the department.
- Follows all Medicare, Medicaid, HIPAA, and Private Insurance regulations and requirements.
- Abides by all regulations, policies, procedures and standards.
- High school diploma or (GED) equivalent with two or more years of experience in benefits administration and FMLA and Leave experience or equivalent combination of education and experience.
- Proficient with various Microsoft Office software such as Outlook, Word, Excel, Vizio and PowerPoint
- Demonstrated ability to read and interpret documents such as governmental regulations and procedure manuals.
- Strong communication and organizational skills are essential.
- Ability to make decisions in accordance with laws, regulations, and established policies.
- Ability to deal tactfully and courteously with employees at all levels.
- Strong attention to detail
- Previous experience with ADP or other enterprise HRIS systems required

Essential Job Functions:
- Determines associate eligibility for benefit plans based on job type, status, and hours worked.
- Conducts benefit orientations and training sessions, including presenting, scheduling, and preparing materials.
- Helps associates get the most from their benefit plans by explaining plans and features, answering questions, and offering resources on topics like 401(k) retirement savings and other plan options.
- Supports associates with benefit elections and changes, both in-person and through benefits software.
- Coordinates the flow of information among benefits software, insurance providers, and the COBRA administrator.
- Enters plan elections and updates into the HR/Payroll system to ensure timely and accurate payroll deductions.
- Reviews and reconciles monthly benefit invoices for accuracy and prompt payment.
- Works with carriers and brokers to resolve administrative or billing issues.
- Supports administration of the 401(k) retirement plan, initiating enrollments, contribution changes, and communicating plan features and updates to associates
- Determines eligibility for leaves of absence, sends FMLA notifications, and helps associates with disability insurance claims.
- Oversees workers' compensation claims, coordinating care between injured associates, insurance carriers, and medical providers to ensure timely evaluation, treatment, and follow-up. Maintains detailed records throughout the claim process.
- Helps coordinate associate benefits-related and wellness events and activities.
- Keeps benefit program files and other personnel records organized and up to date.
- Handles all associate information with care, maintaining strict confidentiality and discretion.
- Creates and updates monthly and annual participation reports.
- Maintains adequate levels of all benefit related forms and packages.
- Prepares information for annual benefit surveys.
- Assists associates with the resolution of insurance claims issues, using broker and carrier resources.
- Assists with all HR employment functions, including greeting and assisting job applicants, completing pre- and post-employment forms and updating associate database.
- Maintains knowledge of employment laws, issues, and trends by attending workshops, seminars, and conferences.
- Attends and participates in Safety meetings.
- May perform other assignments and duties, as area needs require.
Skills & Knowledge:
- Knowledge and understanding of Human Resources and associate benefits functions, typically demonstrated by one year of experience or equivalent education.
- Proficiency in use of PC computers/windows environment, and experience with word processing, data management and spreadsheet software programs.
- Must demonstrate discretion and thorough understanding of HR confidentiality issues.
- Must demonstrate sound judgment and strong interpersonal skills and written communications.
- Bachelor's degree in Human Resources, Business or similar degree preferred.
