Summary
The Project Implementation Specialist is responsible for the setup of projects. The Project Implementation Specialist may develop or amend the Operational Specification Documents (OSD) to define client expectations and liaise with other departments to ensure setup processes are correct and efficient for each department as well as to service client needs. The Project Implementation Specialist may create or amend customized requisitions, kit build and database configuration. This position will not require client interaction unless tasked with completing the OSD and Laboratory Manuals. Project Implementation Specialist may work with Associate Project Implementation Specialist, Senior Project Implementation Specialists, or Project Implementation Leads for daily tasks to complete the setup of a project. The following duties are normal for this position; however, they are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Responsibilities
• Creates or assists with the development or amending of Operational Specification Documents to define client requirements
• Interfaces with all internal functional departments to complete or assist with database setup and to communicate study needs to service client expectations
• Secondary project contact with Sponsors and Contract Research Organizations to ensure appropriate communication channels are maintained and reporting schedules adhered to
• Mentors and trains new team members
• Creates or assists with the development or amendment of customized requisitions to fit client requirements
• Creates or assists with the development or amendment of customized kit builds to fit client requirements
• Creates or assists with the development or amendment of additional customized database items to fit client requirements
• Completes or assists in uploading finalized documents to SharePoint
• Liaise with colleagues to ensure setup related tasks required have been performed
• Attends as Subject Matter Expert for Project Implementation and provides necessary information to the Project Manager for all internal and external calls
• Provides status updates to Project Management and Project Implementation Management on current state of setups
• Submits OSD to Proposals team to ensure all changes have been applied to client budgets when responsible for OSD creation
• Completes submissions to internal teams for responsible documents
• Translates client requirements into actions for problem solving, issue resolution, or to provide requested information; often requires a creative approach to serving client needs while adhering to internal process and standards.
• Ability to comprehend project specific budgets.
• Works closely with Managers and Sr. Managers to assist in implementations, and train/develop towards advancement to Senior Project Implementation Specialist or Project Implementation Lead position
• As assigned, may assist with implementation of low, medium and high complexity projects
• Performs other related duties and tasks as necessary or as assigned
Education and Qualifications
Bachelor's degree (B.A./B.S.) from four-year college or university; and three years central laboratory experience or related clinical experience, including at least 2 years experience in study setup or project management. Or an Associates degree (A.S) and 5-6 years central laboratory or related clinical experience, including at least 3 years experience setup related experience and/or project management experience. Must be experienced in customer service and possess excellent organization and interpersonal, communication and problem solving skills. An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above. Clinical Research, Central Lab, and/or Project Management experience outside of LabConnect will be considered. Excellent organization, communication, multitasking skills. Advancement within Project Implementation would be dependent on individual performance within this role.

- Document Management: Migrate from physical storage to centralized digital repositories with metadata tagging.

About the Role
Canon USA is currently seeking a Senior Project Implementation Specialist (Sr Specialist, Proj Implement). The Senior Project Implementation Specialist will lead and manage complex multi-function device implementation projects within a managed print services environment, while also contributing to the development and delivery of new project management and support services focused on digital transformation. This includes assisting with workflow analyses, observations, and recommendations to optimize business processes. Your Impact
KEY RESPONSIBILITIES
- Project Planning & Execution
- With limited supervision, develop and manage comprehensive project plans for device implementations and digital transformation initiatives.
- Coordinate internal and external resources to ensure project milestones are met on time and within scope.
- As needed, manage on-site implementation resources, logistics, and associated activities at customer locations.
- Monitor project progress and adjust plans as needed to accommodate changes in scope, schedule, or resources.
- Proactively and collaboratively identify project risks and develop mitigation strategies.
- Resolve project issues in a timely manner, escalating when necessary to ensure project continuity.
- Ensure all deliverables meet quality standards and comply with organizational policies and client requirements.
- Conduct post-project reviews and Lessons Learned sessions to drive continuous improvement.
- Utilize project management tools and software to track progress, manage tasks, and report on performance.
- Contribute to the development and refinement of project management tools, templates, and methodologies.
- Stakeholder Engagement & Communication
- Serve as the primary point of contact for project stakeholders - including clients, vendors, and/or internal teams.
- Coordinate and facilitate regular status meetings and provide clear, concise updates to stakeholders at all levels, including C-Level executive leadership.
- Manage expectations and ensure alignment between project goals and stakeholder needs.
- Collaborate with Canon business units and functional teams to identify opportunities to improve existing processes and/or implement new processes and technologies.
- Collaborate with other Project Management Team members to share knowledge and support team goals.
- Mentor less experienced team members and contribute to a culture of learning and professional growth.
- Collect and apply feedback from internal and external clients to continuously improve processes and personal performance.
- Cultivate and maintain strong relationships with internal and external stakeholders, including C-level executives.

- Support on-site and remote assessments of current-state workflows, including interviews, observations, and data collection.
- Help identify inefficiencies, bottlenecks, and opportunities for automation or digitization.
- With limited supervision, develop and present recommendations for workflow improvements, including technology solutions and/or process redesigns.
- Examples include:
- Paper-to-digital automation: Replace manual forms with electronic forms and automated approval workflows.
- Print Optimization: Implement secure print release and/or rules-based printing to reduce costs and improve security.
- Document Management: Migrate from physical storage to centralized digital repositories with metadata tagging.
- Device Onboarding: Standardize deployment and training processes for new devices and associated solutions.
About You: The Skills & Expertise You Bring
- Bachelor's degree in business, Information Systems, or related field (or equivalent experience)
- 5+ years of experience in project management, preferably in document management or managed print services
- Experience managing or supporting digital transformation projects
- Familiarity with Daptiv (or similar project management software) preferred
- Strong understanding of print workflows and paper-to-digital automation
- Willingness and ability to travel up to 30% nationwide

Individual must possess a clean valid state driver's license in order to obtain the position

This position requires driving, therefore a valid driver's license and acceptable driving record are necessary. Additionally, because this position requires driving for company business as an essential function of the job, must remain in compliance with company safety guidelines and policies

CERTIFICATION(S) & LICENSE(S)
- Project+ or equivalent project management certification.
- Project Management Professional (PMP) certification preferred but not required.
- Six Sigma or similar process improvement training is a plus.
- Daptiv software training is a plus.

About the Role
Canon USA is currently seeking a Senior Project Implementation Specialist (Sr Specialist, Proj Implement). The Senior Project Implementation Specialist will lead and manage complex multi-function device implementation projects within a managed print services environment, while also contributing to the development and delivery of new project management and support services focused on digital transformation. This includes assisting with workflow analyses, observations, and recommendations to optimize business processes. The ideal candidate will bring a blend of traditional project management expertise, a forward-thinking approach to digital transformation initiatives, and the ability to work both independently and as a member of a team. Typically reports to a Senior Manager or Director and may mentor or supervise one or two less experienced professional staff.
This role bridges traditional project implementation with forward-looking digital transformation support. It requires a balance of tactical project execution and strategic service development, with a strong emphasis on customer engagement, process improvement, and cross-functional collaboration.
The position can be based out of Melville, NY, Chicago, IL, Los Angeles, CA, Denver, CO, Miami, FL, Dallas, TX, Seattle, WA, Philadelphia, PA.
This position is full time and offers a hybrid work schedule requiring you to be in the office Monday, Tuesday and Wednesday and an option to work from home the remainder of the week (unless a specific business need arises requiring in office attendance on other days). KEY RESPONSIBILITIES

Project Planning & Execution

With limited supervision, develop and manage comprehensive project plans for device implementations and digital transformation initiatives.

Coordinate internal and external resources to ensure project milestones are met on time and within scope.

As needed, manage on-site implementation resources, logistics, and associated activities at customer locations.

Monitor project progress and adjust plans as needed to accommodate changes in scope, schedule, or resources.

Proactively and collaboratively identify project risks and develop mitigation strategies.

Resolve project issues in a timely manner, escalating when necessary to ensure project continuity.

Ensure all deliverables meet quality standards and comply with organizational policies and client requirements.

Conduct post-project reviews and Lessons Learned sessions to drive continuous improvement.

Utilize project management tools and software to track progress, manage tasks, and report on performance.

Contribute to the development and refinement of project management tools, templates, and methodologies.

Stakeholder Engagement & Communication

Serve as the primary point of contact for project stakeholders - including clients, vendors, and/or internal teams.

Coordinate and facilitate regular status meetings and provide clear, concise updates to stakeholders at all levels, including C-Level executive leadership.

Manage expectations and ensure alignment between project goals and stakeholder needs.

Collaborate with Canon business units and functional teams to identify opportunities to improve existing processes and/or implement new processes and technologies.

Collaborate with other Project Management Team members to share knowledge and support team goals.

Mentor less experienced team members and contribute to a culture of learning and professional growth.

Collect and apply feedback from internal and external clients to continuously improve processes and personal performance.

Cultivate and maintain strong relationships with internal and external stakeholders, including C-level executives.

Workflow Analysis & Digital Transformation

Support on-site and remote assessments of current-state workflows, including interviews, observations, and data collection.

Help identify inefficiencies, bottlenecks, and opportunities for automation or digitization.

With limited supervision, develop and present recommendations for workflow improvements, including technology solutions and/or process redesigns.

Examples include:

Paper-to-digital automation: Replace manual forms with electronic forms and automated approval workflows.
-
Print Optimization: Implement secure print release and/or rules-based printing to reduce costs and improve security.
-
Document Management: Migrate from physical storage to centralized digital repositories with metadata tagging.

Device Onboarding: Standardize deployment and training processes for new devices and associated solutions.
About You: The Skills & Expertise You Bring

Bachelor's degree in business, Information Systems, or related field (or equivalent experience)
-
5+ years of experience in project management, preferably in document management or managed print services

Experience managing or supporting digital transformation projects

Familiarity with Daptiv (or similar project management software) preferred
-
Strong understanding of print workflows and paper-to-digital automation
-
Willingness and ability to travel up to 30% nationwide
Individual must possess a clean valid state driver's license in order to obtain the position
This position requires driving, therefore a valid driver's license and acceptable driving record are necessary. Additionally, because this position requires driving for company business as an essential function of the job, must remain in compliance with company safety guidelines and policies

CERTIFICATION(S) & LICENSE(S)

Project+ or equivalent project management certification.

Project Management Professional (PMP) certification preferred but not required.

Six Sigma or similar process improvement training is a plus.
