Job Description
The Specimen Tech I (SPTI) or Lab Associate is responsible for general support functions within the Specimen Processing Department. Functions performed may include but are not limited to A-station, presort, pickup and delivery of processed specimens to the laboratory, imaging/microfilming, centrifugation and aliquoting. All functions must be performed with confidence, accuracy and in a timely manner. Job is complex and requires that employee have good organization skills and is able to learn and understand specimen types related to test(s) ordered by client. The SPT I must have to the ability learn and understand the compliance regulations related to test ordering which may change on a daily basis. The SPT I will be exposed to many different demands made by the customer. Majority of SPT I work, on the nightshift, but based on staffing needs weekends, holidays, on call and overtime is a requirement. Department is a production environment, with emphasis on productivity/quality standards and departmental completion times.
JOB RESPONSIBILITIES:
1. Responsible for all responsibilities of the Specimen Preparation Assistant.
2. Demonstrates an ability to learn the job duties assigned to the SPT I, and develops an understanding of how all the functions in Specimen Processing fit together.
3. Identifies problems with specimen types, missing information etc. and assigns the appropriate TIQ, and in some cases resolves them.
4. Demonstrates an understanding of the compliance policies related to test ordering, which requires developing ability to research test ordering information on translation tables, computer system, and the directory of services.
5. Meets standards for production and accuracy within 6 months.
6. Understands the complex relationship between test(s) ordered and specimen received.
7. Completes all required written documentation, legibly and within the assigned timeframe
8. Reports to work on time, and follows attendance guidelines.
9. Learns additional functions within Specimen Processing to allow timely progression to the next level.
10. Performs other duties as assigned

Under the supervision of a Team Lead, the Specimen Technician processes manual and electronic orders, aliquots samples, sorts and prepares samples for pick up by laboratory staff or delivers samples to the appropriate laboratory for assay set up. Must be able to perform and follow all processing procedures related to pre-analytical processes. However, position is not limited to these functions. Accurately enter data into the computer system manually or electronically.

The Laboratory Support Assistant is responsible for performing a variety of functions that ultimately create an exceptional patient experience by fulfilling their laboratory needs.
Responsibilities include but are not limited to:
- Lab Safety: Demonstrates knowledge of safe and proper techniques required for specimen acquisition, processing, delivery and storage.
- Hospital Policies: Adheres to all hospital, and regulatory policies and procedures governing clinical laboratory
- Customer Service: Works with providers/patients to resolve basic issues such as assist with order codes/missed tests/add-on tests.
- Team Work: Works with coworkers with the common goal of the exceptional patient experience.
- Problem Solving: Addresses issues or situations that require immediate or additional attention (e.g. adverse reactions to phlebotomy) and informs the supervisor or other appropriate leadership of such situations.
- Reagent and Supply Management: Maintains inventory of laboratory supplies.
- Phlebotomy: Obtains blood specimen by performing venipuncture, finger sticks, and heel sticks maintaining the order of draw and the knowledge of specimen requirements for laboratory testing and diagnostic procedures in all areas and for all patient populations, including newborn, pediatric, adolescent, adult and geriatric patients, on a rotational basis in accordance with established protocols and procedures.
- Specimen Processing: Processes specimens for testing (i.e. centrifuge, distribute and storage etc.) and transfer specimens to reference laboratory.
- Pathology Assistant: Assist Pathologist- set up bench with specimens obtained from ER/Special Procedures, order tests for reference lab send out. Follow up on results. Attend occasional procedures.
- Specimen Acceptability: Follow policies and procedures to procure the best specimen for testing.
- Training: Assists in training new staff
- Maintenance: QC point of care equipment, check room temperatures/humidity control/refrigerator temperatures daily.
- Quality Assurance: Participates in internal/external quality assurance, performance improvement activities and programs, departmental and team/committee meetings, and facility-wide training.
- Registration: Obtain patient information/insurance to create visit for billing services.
- Documentation/Clerical: Maintains laboratory records in accordance with established procedures and protocols and performs additional clerical work.

Knowledge, Skills & Abilities:
- Basic theoretical and operational job knowledge in phlebotomy and specimen accessioning

The Teaching Laboratory Support assists in preparing and developing laboratory exercises for undergraduate biology courses. Throughout each quarter, they will follow various lab protocols, order supplies for planned laboratory exercises, prepare materials for labs, and set up equipment weekly/daily for use in laboratory exercises. They will also assist a team of Teaching Laboratory Support staff as needed, in courses other than those specifically assigned.
Responsibilities:
- Follows detailed instructions for setting up and taking down equipment in student labs. Maintains and updates electronic copies of these instructions.
- Prepares solutions and culture media, and performs biochemical analysis using standard biochemical techniques.
- Maintains inventories of equipment and supplies. Works with other teaching lab support personnel to keep common prep spaces organized and neat.
- Assists lab directors in the development of new exercises for student labs in biochemistry, cell biology, microbiology, genetics, ecology, and developmental biology.
- Maintains living biological materials depending on the course needs, such as C.elegans, Drosophila, etc., including tissue culture of mammalian cell lines.

DEPARTMENT SUMMARY: The laboratory departments provide many services to our multi-hospital organization and outreach community including: blood collection, processing, testing, and reporting of results, spanning all disciplines of laboratory medicine.
POSITION OVERVIEW: The Laboratory Support Services Assistant at St. Charles Health System provides support services for St. Charles Health System Laboratories. This position provides excellent customer service by: answering all incoming calls, providing information about specimen requirements, ordering tests, handling courier dispatch and monitoring standing and pending outpatient lab orders. The Assistant will assure clean lab claims are processed. This position does not directly manage any other caregivers, however may be asked to review and provide feedback on the work of other caregivers.
ESSENTIAL FUNCTIONS AND DUTIES:
Assists with the maintenance of chargeable codes and with identifying charging rules in the Laboratory Information Systems (LIS). Assists with new and revised test change requests.
Assists and coordinates with information services and the charge master team on all laboratory specific charge codes, pricing and charge master maintenance.
Supports the supervisor with updates to procedures, training and competencies.
Performs laboratory office functions (i.e., fax, telephone, distribute reports, data entry, etc.).
Provides voice to voice client services. Communicates priority results to providers, clients and patients assuring excellent patient care. Uses correct resources to find test information.
Assures proper documentation of tests billed from LIS for all patient types according to hospital policies. Monitors, prepares and maintains bills to SCHS laboratory clients and helps reconcile monthly invoices for services provided.
Reviews monthly reference lab invoices and submits for payment in a timely manner. Identifies issues and completes resolutions for discrepancies with charges or payments. Notifies lab management when appropriate.
Prioritize duties and performs accurate and timely completion of follow up tasks, and add-on tests according to urgency of need and type of tests ordered. Navigates through multiple complex computer systems to meet testing requirements and verify specimen integrity.
Properly dispatches and communicates with Laboratory couriers for all stat and routine requests.
Uses all systems and approved websites necessary to perform charge capture audits, specimen registrations, pre-billing edits, resolution for lab denials and simple visit coding. Troubleshoots identified issues. Makes corrections timely and according to policies assuring clean lab claims are submitted. Notifies patient financials and supervisor for unresolved issues when necessary to assure correct and timely billing.
Monitors, resolves and completes follow up tasks and work queues for result reporting errors, order issues and discrepancies, registration and charge exception issues. Documents and makes corrections according to procedures, notifies supervisor and IT when appropriate for unresolved system issues.
Manages data entry and resolution of lab errors. Maintains Access database. Creates and maintains files and graphs to monitor caregiver monthly performance with key indicators, reports findings in a timely manner to lab management according to procedure.
Understands and accurately quotes lab tests prices. Refers all requests for updated price lists to supervisor.

The Clinical Lab Support Tech (CLST)/Microbiology is primarily responsible for assisting the MTs and MLTs in the accessioning, receiving, setting up of cultures, and processing of specimens for testing. The CLST/Micro will also be responsible for checking in and distributing stock and any other inventory control duties assigned. The CLST will also answer the telephone and any other non-technical duties deemed necessary by the supervisor.

* Assists laboratory technical staff in the performance of non-technical duties such as, setting up cultures, receiving specimens into the computer system, tracking specimens, answering the telephone, monitoring uncollected specimens, trouble-shooting problems with specimens, checking in and distribution of supplies, and any other inventory control functions assigned.
* Communicate with laboratory employees, hospital employees, and doctor's offices concerning specimen requirements.

Pay Transparency Verbiage :
Total Rewards: We understand compensation is an important factor as you consider the next step in your career . This position is eligible for annual bonus compensation with a target payout of 5% of the base salary. Job Summary: Responsible for the overall supervision of pre-analytical and customer service aspects of the laboratory. Supervises laboratory staff performing phlebotomy, patient registration and specimen processing.
Minimum Education: Baccalaureate degree from an accredited college or university preferred.
Licensure, Registration and/or Certification: None.
Work Experience: 1 year laboratory-related experience.
Knowledge, Skills and Abilities: Demonstrated skills in interpersonal relations, delegation and planning. Demonstrated ability to work efficiently, independently and to coordinate activities of others. Effective communication skills and leadership qualities. Experience with word processing, spreadsheet, and database computer application.
Essential Functions and Responsibilities: Assumes responsibilities for the daily operation of the pre-analytical areas of the laboratory. Assures quality and accuracy throughout the pre-analytical systems of the laboratory (specimen collection, processing, transport and patient registration). Oversees point of care testing performed by lab support employees. Develops customer service standards and trains/monitors staff to deliver excellent customer service. Handles customer complaints, investigates and solves complex problems. Supervises personnel and staffing assignments in the department. Interviews prospective employees and makes recommendations on hiring. Evaluates employee performance in a constructive manner, disciplines fairly and recommends compensation to the laboratory manager or director. Writes, reviews, and updates procedure manuals; maintains the department in conformance with regulatory demands. Plans for the present and future needs of the department with regard to equipment, staff and supplies.
Decision Making: Independent judgment in making decisions from many diversified alternatives that are subject to general review in final stages only.
