Job Description
We are looking for a dedicated Legal Support specialist to join our team in Houston, Texas. This Contract to permanent position focuses on assisting the intake department with client onboarding, sales strategies, and operational oversight. The ideal candidate will play a key role in improving processes, mentoring team members, and ensuring an exceptional experience for prospective clients. Bilingual (Spanish) required.
Responsibilities:
- Assist the Intake Manager in managing department operations, including scheduling, workload distribution, and monitoring daily performance.
- Mentor and support team members to enhance their sales techniques and client service skills.
- Utilize consultative sales strategies to qualify and convert prospective leads into signed cases, demonstrating attention to detail and empathy.
- Collaborate with the Intake Manager to track and analyze sales metrics such as conversion rates and response times.
- Partner with the marketing team to streamline lead follow-up and ensure accurate tracking of prospective clients.
- Identify and implement process improvements to increase departmental efficiency and improve client experiences.
- Maintain precise documentation of leads, calls, and conversions using intake software.
- Prepare regular performance reports for the Intake Manager and firm leadership.
- Act as a role model and escalation point for intake staff, promoting high standards of professionalism and client care.
Requirements
- Bilingual (Spanish) required.
- At least 3-5 years of experience in a sales-driven environment, such as inside sales, business development, or client intake.
- Proven ability to meet or exceed sales and conversion targets.
- Strong communication and negotiation skills, with a detail-oriented and empathetic approach.
- Experience mentoring or supporting team members and collaborating with management.
- Highly organized with excellent attention to detail and follow-through.
- Proficient in Microsoft Office Suite; experience with legal intake software is preferred.
- Ability to perform effectively in a fast-paced, high-pressure setting while maintaining a focus on client care.

This contract role invites a motivated professional to support pre-litigation activities through drafting, research, and document review while keeping the process streamlined and efficient.
Responsibilities:
+ Assist attorneys in drafting demand letters, correspondence, and documentation needed for pre-litigation strategies.
+ Review, organize, and manage legal files, including client records and evidence, ensuring all materials are readily accessible.
+ Conduct factual research and gather relevant information, including reviewing police reports, medical records, and related documents.
+ Coordinate communication between clients, opposing parties, witnesses, experts, and legal teams to facilitate case progress.
+ Calendar and track pre-litigation deadlines to ensure timely submission of materials.
+ Support settlement negotiations by organizing and maintaining evidence, records, and communication documentation.

Requirements
Qualifications:
+ Minimum of 2-3 years of experience in a pre-litigation legal support role or closely related position.
+ Knowledge of legal processes related to pre-litigation matters, including personal injury, business disputes, or similar areas of law.
+ Strong organizational abilities, with the aptitude to manage multiple tasks and meet deadlines.
+ Excellent communication skills - both written and verbal - with a professional demeanor when liaising with clients and external parties.
+ Attention to detail and accuracy in managing documentation, drafting, and correspondence.
+ Familiarity with case management software and relevant legal research tools preferred.
+ Paralegal certificate or equivalent education/training required; Associate's or Bachelor's degree preferred.

+ Responsible for legal support activities related to legal operations, litigation, discovery or settlements
+ Responsible for robust and detailed reconciliations related to legal settlement expense account from the legal systems to the financial general ledgers

- Organize and maintain case files, legal documents, and contract databases

- Review bidding documents in the procurement process
- Support the legal team in process improvement and strategic planning related to construction law and contract
Qualification
- A proactive mindset with a desire for career growth in contract management and construction business sector
- The ability to quickly understand and adapt to unfamiliar fields and cultures
- Very strong verbal & written communication skills
- Ability to manage many competing tasks and to quickly triage by priority with minimal external input
- Minimum 2 years of experience in legal support, particularly within the construction or infrastructure sectors
- Familiarity with Texas construction laws and dispute resolution processes is highly preferred
- Strong organizational skills with attention to detail
Preferred Qualification :
- Paralegal Certification or Certified Litigation Support Professional (CLSP)

- AAA (American Arbitration Association) arbitration experience
