The Opportunity
As a Legal Support Assistant, you will provide a variety of secretarial and administrative duties for assigned attorneys across Real Estate and Litigation practices. You will be responsible for interacting with colleagues in a team setting and upholding the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters.
The Day-To-Day
- On any given day, you will be working with firm leadership, partners, and business colleagues on a variety of requests and projects. You will:
- Draft, input, revise and finalize, routine correspondence, memoranda and other legal documents.
- Draft addendums to real estate contracts; schedule and coordinate real estate closings with attorneys, lenders and title company and brokers.
- Create and maintain closing files / organize closing binders; coordinate filings for corporate documents with clients.
- Verify all attachments, exhibits and enclosures are included with transmittal letters/memos.
- Proofread documents and check for appropriate formatting, spelling and grammar.
- Maintain good public relations with clients.
- Review all incoming mail, distribute to teams as needed and upload to the DMS.
- Prepare documents and packages for mail, messenger and overnight delivery.
- Prepare expense reports, manage vendor invoices, mailings, and request checks as needed.
- Enter attorney time and send time entry reminders.
- Process client billing and assist with review and edit of bills as necessary.
- Schedule appointment and make arrangements for meetings, conferences and travel.
- Complete client/matter intake forms; request conflicts of interest checks; open new files and prepare files to be closed.
- Coordinate and follow through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services).
- Provide overflow and absence coverage assistance as well as secretarial support for Secretarial Team Members' attorneys.
- Download, upload and search for documents on client websites.
- Complete other duties and projects as assigned.

- Provide reception coverage greeting clients and visitors.

**The Opportunity:**

The Document Management Analyst (DMA I) role works closely with the Department of Justice, Health Care Fraud Division attorneys in a fast-paced setting and assist in the investigation and prosecution of various matters to enforce the laws of the United States, up to and including support assistance for witness interviews, deposition preparation, and in-courtroom trial support. You will learn in a hands-on, immersive environment, which demands a commitment to both individual tasks and the overall mission of the Section.

**Responsibilities:**
_Required:_
+ In addition to performing functions of Document Management Technician, as described below, performs moderately complex litigation support tasks, including, for example, detailed review and analysis of case materials in a broad range of subject matters, such as financial records, health care materials, and other litigation files; detailed indexing of case files; drafting procedures for accomplishing litigation support assignments; document acquisition related tasks; and conducting database searches.
+ Proofreads and edits deliverable products.
+ Sometimes serves as "team leader" for larger group of Document Management Technicians and clerical support staff.
+ Often works with minimal supervision. Reports to Task Supervisor or Project Supervisor.
**Qualifications:**
_Required:_
+ One year of experience on major litigation support projects or undergraduate degree.
+ Certain assignments may require experience or substantial undergraduate coursework in, for example, finance/accounting, health care, or substantial experience in the legal environment or in information technology.
+ Demonstrated ability to work independently in a team environment.
+ Must have excellent writing skills and oral communication capabilities.
+ Requires hands-on familiarity with the Government's office and network environment, including but not limited to, data processing environments, including office automation networks, PC-based databases and other applications, internet and server-based databases and other applications, such as Oracle, Relativity or other document review platform, Trial Director, etc.
+ Should be a knowledgeable user of the Government's office and network environment, including but not limited to, word processing, spreadsheet, imaging, and hardware systems.

+ Ability to perform quality control analysis and report any issues with data
+ Ability to work in a deadline-driven, fast-paced environment
+ Excellent attention to detail and ability to perform tasks accurately and quickly
