We are conducting a search for a proficient Legal Assistant to support a team of Immigration Attorneys. The ideal candidate will have at least 3-4 years of experience as a Legal Assistant with a strong background in immigration law preferred.

This role requires adeptness in legal secretarial duties, office practices, and exceptional organizational skills such as scheduling hearings, preparing legal documents and correspondence, docketing cases and maintaining court dockets and diaries, and providing information and direction to others.

What You'll Do:

  • Four years of progressively responsible and related, legal administrative experience, including demonstrated proficiency in discovery, confidentiality compliance, and independent case management in a similar setting as a District Attorney's Office, or
  • Equivalent combination of experience and training

Preferred Requirements:

  • Valid Wisconsin Notary public certification
  • Bachelor's degree in Criminal Justice or related field
  • Bilingual in English and Spanish

Other Requirements - Certificates/Licensures (not required)

  • Must pass a criminal background check and be eligible for and maintain E-Time certification through law enforcement fingerprinting background clearance.
  • May be required to sign a confidentiality agreement or oath of office.

Wage & Benefits

Legal Assistant: $21.91 - $3.16 per hour depending on qualifications.

Full range extends to 28.17 per hour

Legal Support Specialist: 24.12- 25.51 per hour depending on qualifications.

Full range extends to 31.03 per hour.

The Opportunity

The Legal Support Assistant performs a variety of secretarial and/or administrative duties for assigned attorneys working in a fast paced Corporate practice. This position interacts with colleagues in a team setting and upholds the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters.

The Day-To-Day

On any given day, you will:

  • Input, revise and finalize correspondence, audit letters, memoranda and other legal documents
  • Draft routine correspondence, memoranda and other documents
  • Proofread documents and check for appropriate formatting, spelling, and grammar
  • Verify all attachments, exhibits and enclosures are included with transmittal letters/memos
  • Complete client/matter forms, request conflicts of interest checks, open new files and maintain all client and general files
  • Conduct periodic review for possible storage of old files and prepares files to be closed
  • Prepare documents and packages for mail, messenger, and overnight delivery
  • Coordinate and follow through on requests and projects with other support departments (e.g. word processing, receptionists, file/document clerks, office services)
  • Screen telephone calls, listen to voicemail and recorded messages
  • Prepare expense reports and processes vendor invoices in Chrome River
  • Schedule appointments and make arrangements for meetings, conferences and travel
  • Maintain calendar, client contact information, and deadline reminder systems
  • Create and maintain closing files/organize closing binders
You Have
  • Bachelor's degree (or equivalent experience)
  • 5 years of law firm of professional services secretarial experience required
  • Typing speed/accuracy: 70 wpm with accuracy
  • Proficiency in Microsoft Programs (Word, Outlook, Excel)
  • Excellent grammatical and spelling skills
  • Ability to act independently and make decisions within scope of the position's responsibilities.
  • Excellent troubleshooting, problem resolution, and follow through skills in order to oversee and complete assignments/tasks from inception to completion.
  • Familiarity with Carpe Diem, Chrome River, IRM, document management systems or similar technology preferred.
