The Legal Practice Assistant (LPA) provides administrative support for attorneys and other timekeepers in the Consumer Financial Services Practice Group by performing a wide variety of administrative tasks and delivering a high level of customer service. The LPA will anticipate, plan and proactively meet the business needs of the attorneys and execute assignments demonstrating a general knowledge of the assigned timekeepers' practice areas and clients to ensure extraordinary client satisfaction.

Essential Duties and Responsibilities:

  • Perform specialized administrative tasks with strong technical skills and firm procedure knowledge.
  • Understand department goals to anticipate and address team needs.
  • Enter timekeeper's time and costs in the billing system.
  • Coordinate large volume client billing, following specific instructions and revisions.
  • Support new clients and business development by managing new matters and conflict checks.
  • Process expense reimbursements and invoices promptly.
  • Serve as a knowledge resource on practice group requirements and firm policies; share knowledge to improve processes.
  • Handle client billing tasks, including invoice distribution and review.
  • Coordinate workflow support with administrative departments.

Position Summary

Our San Antonio, TX office is looking for a Practice Assistant to join our growing firm. On a day-to-day basis, works under the direction of attorneys and paralegals to whom the Practice Assistant is assigned. Under general supervision, supports the delivery of quality legal services to clients by providing secretarial and administrative assistance to attorneys, performing complex and specialized secretarial and clerical tasks, and working collaboratively and cooperatively with others in a team-oriented environment. This position supports multiple attorneys as primary assignments and also provides back-up secretarial assistance to other attorneys as assigned. May also provide back-up to receptionist as necessary, depending on size of office.

Essential Functions

  • Preparing Documents: Using word processing and document management software, the Practice Assistant 2 prepares and processes correspondence and memoranda as well as complex legal documents according to the requirements set by each practice group. Independently composes and drafts routine cover letters and documents. Proofreads documents and checks for appropriate formatting, spelling and grammar. Prepares revisions and redlines documents as directed. Prepares documents for e-filing as required.
  • Processes Mail: Reviews and routes incoming mail and fax communications. Prepares and processes outgoing mail and faxes, arranging for specialized mail or messenger services as required. Ensures that all attachments, exhibits and enclosures are included.
  • Maintains Calendar: Maintains and updates the calendars for assigned attorneys, including meetings, appointments, due dates, and client-related activities.
  • Maintains Files: Maintains paper and electronic files in compliance with internal policies. Performs routine filing and retrieves files as needed. Maintains chronological files and administrative files for assigned attorneys.
  • Timekeeping: Prepares time entries for assigned attorneys and submits in a timely manner. Prepares expense reimbursement and disbursement requests. Prepares billing letters and coordinates client billing matters with the Billing Department in Greenville.
  • General Administrative Support: Prepares and processes new matter documents. Receives and screens phone calls and takes message as required. Receives and directs clients and visitors. Coordinates travel arrangements, prepares itineraries, and prepares travel expense reports. Schedules meetings and arranges for conference rooms and meals. Communicates effectively and professionally with clients and with others in the Firm. Is proactive in anticipating the business needs of the assigned attorneys; plans ahead and meets deadlines.
    • The Practice Assistant may be responsible for additional administrative assistance and may, on occasion:
      • Assist with mentoring new office staff
      • Assist with piloting new software
Requirements
  • 4+ years of experience as a practice assistant or legal secretary
  • Knowledge of legal terminology, legal documents and legal processes
  • Accurate typing of at least 70 words per minute
  • Strong computer proficiency in the use of MS Office, document management, time entry, e-filing and database software
  • Excellent communication skills, written and verbal
  • Understanding of correct grammar, spelling and punctuation
  • Strong proofreading skills

Duties and Responsibilities:

  • Draft, format, and proofread written materials, forms, and other documents in MS Word with vigilant attention to detail, grammar, and editing
  • Data maintenance, data / electronic document management, and reporting, in compliance with firm policies using document management software and spreadsheets, such as NetDocs or iManage and MS Excel
  • Organized, timely, and accurate filing of documents on a regular basis
  • Manage, monitor, and proactively follow up on both docketed and non-docketed deadlines (firm has docketing dept.)

Cozen O'Connor has an excellent opportunity for a Legal Practice Assistant in our West Conshohocken Office Family Law Department. A background in Family Law/Matrimonial Law work is preferred. The ideal candidate should have experience in a same or similar role with litigation in a firm setting and be an enthusiastic self-starter who can multitask under time constraints with exceptional attention to detail, take initiative, think strategically and independently, and interact with all levels of the Firm. The position requires excellent communication, organizational and computer skills.

Responsibilities

  • Maintain attorney's calendar; follow-up as needed and confirm various meetings throughout the workday
  • Manage attorney phone calls, including receiving/screening calls and setting up conference calls
  • Type, transcribe and revise all communications and legal documents including memoranda, correspondence, legal documents, charts and tables using various word processing software
  • Participate in weekly meetings and manage the agenda and minutes
  • Proofread all work for both content and context
  • In conjunction with Finance, process invoices, bills and net recovery distributions
  • Prepare and submit conflict checks and New Matter Intake Forms
  • Open, organize, prepare and maintain client and office files both in electronic and paper filing systems
  • Use the Firm's docketing program. Enter all required scheduling and dates in the program
  • Electronically file documents with the courts
  • Fill out, revise and/or update information for Status Reports
  • Coordinate CLE training classes
  • Process attorneys' weekly time summaries and expense reports and meet the weekly deadline for reporting such items to ensure that attorney records are processed in a timely manner
  • Monitor emails for both self and attorneys being supported
  • Coordinate, schedule and docket/calendar meetings, court reporters, conference calls and client tasks
  • Maintain client contact lists for marketing events
  • Assist in preparation for trials, hearings, and conferences, including document organization and coordination.
Qualifications
  • Must have at least 3 years' legal and/or executive secretarial experience with a preference for 5+
  • Experience performing a same or similar role in a Family Law/Matrimonial Law practice is highly preferred
  • Extensive and thorough working knowledge of software applications as tools to complete assigned tasks, including, but not limited to iManage/DeskSite/Worksite, Word, PowerPoint, Excel, InTapp, Big Hand, Docket Enterprise, DTE, ChromeRiver preferred
  • Proficient in advanced levels of Microsoft Outlook, Teams, Excel and Word and the use and application of Styles, Redlining, Adobe Pro and PDF Docs4. If not proficient, must be able to operate the Firm's software applications on an advanced level within a reasonable period of time
  • Typing skills of 60+ w.p.m.
  • Detail-oriented with strong organizational skills and the ability to multitask. Strong Project management skills are required
  • Outstanding written and verbal communications. Must be able to interact with clients, attorneys, and staff professionally
  • Experience with efiling in both state and federal courts
  • Assignments may change from time to time, and flexibility is essential. Legal Practice Assistants are expected to extend support and service to primary attorneys and any attorney within the Litigation practice and the office.
  • Required to be in office at least 3 days per week
  • High School Diploma or its equivalent required
