Job Description

Job Title: Logistics Assistant

Applicants must have an Active Top Secret/SCI US Government clearance. Note: US Citizenship is required to maintain a Top Secret/SCI clearance. The scope of Logistics Assistant work is to execute a range of general logistical support functions that are essential to the orderly and efficient accomplishment of the work of a group, office, program or project, and/or its management team. The assigned work unit may require the contractor to serve in a customer-facing position with customer service being paramount to the success of the work unit. Duties/Tasks and Responsibilities Depending on the functions and business areas supported, duties may include the following:

Order supplies, maintain inventory, issue equipment, provide basic trouble-shooting and arrange for equipment repairs. Oversee and account for inventory.

Open, sort and distribute incoming mail, newspapers, faxes or other documents. Track and monitor status of incoming and outgoing cable traffic.

With guidance, review work against checklists process/program documentation for accuracy and completeness.

With guidance, adhere to Sponsor and/or Intelligence Community (IC) regulations, policies, and procedures to ensure all activities are in compliance. Seek guidance on acceptable deviations and adapt activities as appropriate.

Assist with planning, scheduling, organizing meetings, conferences and off-sites; may participate in meetings and events and serve as a recorder if needed.

Draft routine documents from templates for Sponsor review; assimilate basic information into final products.

Under direct supervision, assist with office move activities.

Fill in to other parts of team as needed to assist with office activities.

Maintain and archive office files and/or databases using pre-existing protocols. Maintain and organize existing relevant reference materials and working files for easy retrieval.

Under direct supervision, initiate and monitor check-in/out procedures for personnel, including submitting access requests for user accounts.

Create and submit travel, training and POV vouchers.

Pass and receive clearances; prepare visitor requests and access lists serve as vault custodian.

Prepare summary and/or status reports for government review.

Conduct basic research, retrieve and coordinate routine data and information from multiple sources.

Anticipate and respond to customers' needs in a manner that generates customer satisfaction.

Share lessons learned to aid in guidance to resolve customer inquiries.

Greet and/or escort all office visitors if serving in a front-facing, customer-service type of environment.

Other duties as assigned.

Knowledge, Skills, and Abilitie Required:

Ability to obtain knowledge of Sponsor and IC regulations, policies, procedures, and unique Sponsor authorities. Strong customer service skills sufficient to support customer relations and respond to customers' questions and/or concerns.

Basic knowledge of Microsoft Office Suite applications (Power Point, Word, Outlook, Excel)

Communication skills that are clear and concise for both oral and written.

Flexibility and commitment to learning and supporting all aspects of the teams of assignment.

Planning and organizational skills to systematically organize, track, and complete work activities.

Interpersonal skills to collaborate on work activities, gather task information and requirements from customers.

Time management skills to meet and adapt to changing requirements and priorities.

Interpersonal skills to establish, maintain, and leverage contacts and professional relationships to network and liaise across the Sponsor and/or IC.

Demonstrated judgement in being discreet and maintain confidentiality.

Work Environment Work is typically performed in an office environment, requiring the use of computer terminals and standard office equipment to accomplish work objectives. The position may require lifting or carrying equipment averaging 50 lbs. Depending upon assignment, shift work and/or occasional local (e.g., within the WMA) and domestic travel may be required.

Qualifications Experience: Six to twelve (6-12) months of prior administrative support or comparable experience. Applicable vocational education may be substituted for work experience. Active Top Secret/SCI US Government Clearance. Education: Required: High School Diploma or GED.

  • Provides customer service to internal and external customers regarding logistics and mail procedures
  • Meters outgoing postal mail, performs mass mailings, and charges most economical postage
  • Transports and delivers mail, express overnight packages, and bulk parcels within the National Capital Region
  • Operates platform truck to pick up and deliver materials and equipment to various locations and work sites
  • Collects unclassified materials for destruction from designated offices throughout the EOP complex

Qualifications MINIMUM QUALIFICATION REQUIREMENTS: All applicants must meet the qualification requirements outlined below to be considered minimally qualified for this position. TIME-IN-GRADE REQUIREMENTS: Applicants possess one full year (52 weeks) of specialized experience at or equivalent to the next lower grade level or pay band in Federal service or equivalent experience in the private or public sector. SPECIALIZED EXPERIENCE : Applicants must have a minimum of one year of specialized experience at a level of difficulty and responsibility comparable to the next lower grade or comparable pay band in the Federal service or equivalent experience in the private sector. You may qualify at the GS-07 level, if you fulfill one of the following qualification requirements: A. One year of specialized experience equivalent to the GS-6 grade level in the Federal service or equivalent experience in the private sector that demonstrates the following: 1) transporting and delivering mail, overnight packages, and bulk parcels; and 2) providing customer service to internal and external customers regarding logistics and express mail procedures. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. The scope of Logistics Assistant work is to execute a range of general logistical support functions that are essential to the orderly and efficient accomplishment of the work of a group, office, program or project, and/or its management team. The assigned work unit may require the contractor to serve in a customer-facing position with customer service being paramount to the success of the work unit.
**Duties/Tasks and Responsibilities**
Depending on the functions and business areas supported, duties may include the following:
+ Order supplies, maintain inventory, issue equipment, provide basic trouble-shooting and arrange for equipment repairs. Oversee and account for inventory.

**Work Environment**

Summary of Position

Supports the execution of Maple Con LA 2025 through day-to-day coordination of event logistics, merchandise operations, and vendor communications. This temporary role is responsible for tracking production timelines, managing supporting documentation, and assisting with planning and on-site execution. The position requires attention to detail, the ability to manage multiple tasks simultaneously, and strong communication skills across departments and vendors.

We are currently working in the office 2-3x a week in a hybrid work model.

Job Responsibilities

  • Track master merch list (40+ SKUs); manage samples, approvals, and inventory
  • Coordinate with 25+ vendors (merch, printing, fabrication, rentals)
  • Monitor production timelines; ensure assets and items are delivered on time
  • Assist in managing ticketing logistics, registration details, and attendee comms
  • Organize and maintain event documents: quotes, invoices, timelines, trackers
  • Support general event planning tasks (e.g. signage, giveaways, print assets)
  • Coordinate venue logistics with agency and internal teams
  • Track and prep assets for warehouse and on-site distribution
  • Assist with post-event wrap-up (inventory logging, document tracking)
Work Experience
  • 1-2 years in event coordination, vendor management, or merchandising
  • Experience in logistics, shipping, or production workflows
  • Prior exposure to creative asset delivery processes
  • Familiarity with event retail or inventory handling a plus
Education, Professional Training, Technical Training or Certification
  • High school diploma or equivalent required
  • Some college or vocational coursework preferred
  • Familiarity with project trackers (e.g., Excel, Smartsheet)
  • Experience with Google Workspace or Microsoft Office Suite
Knowledge/Skills
  • Strong attention to detail and organizational skills
  • Ability to manage multiple vendor communications in parallel
  • Comfort reviewing design files and tracking feedback
  • Basic understanding of merchandise production and event planning

Description

SUMMARY: The Concessions Logistics Assistant's responsibilities include checking in hourly employees and non-profit group volunteers on event days, ensuring all know where to go and are in proper uniform, staying in constant communication with Concessions Leadership to make shifts as needed. Additionally, this position will assist with product distribution from Warehouse to Concessions locations as Concessions staff calls down to the warehouse for restocks, managing inventory Dashboard for up-to-date inventory levels across the operation, and efficient dispatch of warehouse staff from event level to operation with product.

DUTIES AND RESPONSIBILITIES
  1. Represent Food and Beverage at Check-In at all events, ensuring a smooth and efficient process to get staff and volunteers in the building.
  2. Keep track of major shortages in Concessions locations and communicating with leadership to help react early and be prepared for event opening.
  3. Serve as a point person for Concessions staff to call in Warehouse for product and technician needs as they arise during events. Take calls on landline phones, input transfers into inventory management system, and dispatch warehouse crew with product to be delivered upstairs in conjunction with the Warehouse Supervisor
  4. Take phone calls from Concessions staff looking to close out for the night, comparing inventory usage to POS sales to assign recounts as necessary.
  5. Special Projects and assignments as business dictates

  • Quick to learn business operations, functions, and processes

  • Must be able to handle multiple projects simultaneously and prioritize appropriately
  • Proven experience supporting business leaders with tasks and prioritize tasks for business need level
  • Strong analysis skills, excellent verbal and written communication skills to be used to interact proficiently with all levels of management and staff.
  • Strong attention to detail and accuracy
  • Must demonstrate discipline, self-reliance, dependability, and good judgment
