About this Role

Logistics Coordinator plays a vital role in working with the delivery drivers on a day to day basis.

Responsibilities:

  • Daily coordinating driver assignments.
  • Responsible for warehouse regular maintenance including cleaning, safety inspections and minor repairing.
  • Coordinate driver assignments and adjust driver availability as needed.
  • Track returns and missing packages
  • Deliver orders (also as a backupdriver)
  • Be the point of contact.
  • Monitor drivers pick up time
  • Train new driver
  • Help implement loading and products handling SOP
  • Assist with administrative and contracting tasks as assigned
  • Ability to deliver packages on daily basis as needed

Qualifications

  • High School or equivalent experience
  • Minimum 1 - 3 years of experience managing drivers.
  • Minimum 1 years of experience using Excel, Google Suite and ability to handle large amounts of data, creating pivot tables, data visualization and make informed decisions
  • Ability to lift up to 50lbs
  • Ability to deliver packages frequently
  • Ability to stand for long hours
  • Ability to work one day on the weekends, flexible with schedule
  • Hours could be 6AM-2PM or 8AM- 5PM

Salary: $100,000-110,000

General Description:

The Logistics Coordinator (LC) reports to the Procurement Manager. The incumbent: initiates procurement actions through FedBid and utilizes the State Department procurement system ARIBA; conducts day-to-day tracking of all procurement requests under existing contracts; and is responsible for general logistical and administrative support to accomplish the primary mission of the Administrative and Logistics unit. The LC is also responsible for working in support of warehousing operations and personnel, training personnel in tracking operations and participating in the onsite management of inventory.


Major Duties:

Initiates procurement actions in the ARIBA system;

  • Uses FedBid to identify vendors and follows the Federal and State Department Acquisition Regulations;
  • Reviews quotes and proposed items to ensure quality and adherence to the procurement request;
  • Monitors all equipment coming into the DS/ATA warehouse;
  • Tracks equipment from initial entrance into ARIBA through shipment to OCONUS destination, ensuring projected training dates are met by timely delivery of all training course equipment;
  • Monitors the eWISE warehouse inventory system; receives notifications and updates SharePoint accordingly; sends notification of delivery to Training Delivery Coordinators (TDCs) and Program Managers (PMs); coordinates with warehouse personnel to maintain accountability of all materials and resolve all problems with shipments;
  • Maintains SharePoint Equipment Tracking Board for each course of equipment procured;
  • Develops and maintains completion reports for all requesting TDCs and PMs;
  • Informs the budget account specialist of the completion of all orders in order to facilitate the payment of vendors;
  • Resolves all discrepancies of equipment received within individual orders;
  • Compiles descriptive and functional reports of varying subject matter for submission to Procurement Manager;
  • Monitors vendor performance;
  • Visits the warehouse contract Program Manager on a weekly basis to provide current information in support of the tracking of training equipment;
  • Maintains vendor performance record to notate any issues with vendor equipment deliveries;
  • Develops and maintains living catalog section of commonly used weapons, gear, and parts for ATA users;
  • Advises Supply System Manager on the status of all equipment lines;
  • Processes invoices and relays them to Vendor Claims.


Professional Qualifications/Skills:

  • Bachelors degree or four years practical experience as a procurement and logistics specialist/coordinator with a government bureau or entity; experience with DS/ATA-type system preferred;
  • Minimum SECRET security clearance;
  • Must have comprehensive knowledge of the Departments Integrated Logistics Management System (ILMS);
  • Must be able to execute and coordinate several projects simultaneously and efficiently;
  • Must be able to exhibit compatibility with others in a closely coordinated team, contributing and articulating ideas and positive feedback in a constructive manner;
  • Must maintain high standards for quality of work and professional growth;
  • Must develop solid understanding of Department of State rules, regulations and procedures relating to acquisitions and logistics processes;
  • Extensive experience in Microsoft Office software.

**II. Essential Duties and Responsibilities**
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.
+ - Communicate with customers to monitor inventories and anticipate their production needs and to schedule all necessary equipment to move waste by-products.- Arrange and negotiate third-party freight costs, when needed, for timely servicing of all customers waste by-product pick-ups by using WM approved carriers.- Monitor and maintain shipment status via computer system.- Respond to customer complaints in a timely manner. Investigate and solve issues with shipments for both vendors and customers.- Initiate calls to customers to set up deliveries, advise shipment delays and/or information necessary to set up deliveries. Initiate traces with carriers and railroads for proof of deliveries when needed.- Review pricing with the Sales and Marketing groups.- Develop interactive relationships with vendors, customers and outside freight carriers.- Responsible for all necessary documentation for all shipments, which can include export documentation to overseas mills.- Initiate calls to customers to ensure timely and accurate invoicing. Record and prepare vendor payments in accordance with contracted terms. Ensure proper billing of freight and special charges. Issue debits and credits as necessary.- Resolve downgrades and rejects of waste material by dealing directly with the customer and the vendor. Gather and process the cost information by negotiating pricing with the customer and/or vendor to minimize the overall impact to the company and customer, with approval by account manager.- Work with other supervisors/managers to coordinate services and keep them informed as issues arise.- Project a knowledgeable, enthusiastic, positive attitude that encourages customer and employee confidence and reflects the professional image desired by WMRA.- Attend and contribute to periodic meetings to maintain favorable working relationships among employees and promote maximum morale, productivity and efficiency.- Provide timely feedback to direct supervisor regarding service failures, customer complaints or any other matters regarding his/her attention.- Provide timely and accurate information to incoming customer order status and product knowledge requests.- Works to meet or exceed service and operational goals established for the call center, including productivity, quality, and timeliness goals.- Collaborate with sales representatives to meet and exceed customers' service expectations, and develop solutions to ensure smooth material movement.- Perform other special projects and tasks as assigned.- May provide direction or support to less experienced Customer Service Representatives.

The Logistics Specialist will process in-stock components as well as receive and process inbound shipments and coordinate and execute daily equipment deliveries to Datacenters across the region. Also be able to drive up to 10 hours a day. You will also assist with ongoing requests to ensure that proper stock levels are maintained and distributed to all locations to support build and repair activities. Working with the Logistics Manager, they create plans to optimize the flow and delivery of parts through their lifecycle; tracking inventory locations and movement. They work closely with Datacenter Operations Technicians to fulfill parts and equipment deliveries quickly and accurately. They will also work with Procurement teams to ensure that inbound equipment orders are complete and delivered to appropriate Data Center Locations.

They are responsible for accurate data entry and resolving questions from peer organizations. Additionally, the Logistics Specialist will ensure that all information associated with the deliveries such as inventory tracking and Ticket updates are accurate to ensure equipment is ready for processing by end user.

The ideal Logistics Specialist will dive deep into and the inventory they distribute to better understand the tracking, control and accuracy surrounding the components. The Specialist will be involved in, if not responsible for or limited to, decision making involving route planning, vehicle maintenance, load planning, loading and unloading equipment daily equipment deliveries, ultimately helping us to deliver on our goals of high availability and low cost. They will also maintain up-to-date metrics dashboards and or excel spreadsheets and will create reports for internal and external customer and management as required.

Responsibilities can and will include driving long distances for long periods of time up to 10 hours a day in company vehicles such as box trucks and cargo vans, manual tasks, such as assembling, addressing, stamping and arranging for the shipment of merchandise and materials. They may also assist in daily scheduling of deliveries and pick-ups to and from production locations. In handling incoming shipments, they may have to unpack boxes and verify contents. Load and unload large equipment utilizing forklifts and or pallet jacks. The Logistics Specialist will be required to keep precise records of all commodities going in and out of company.

Logistics Specialists are expected to understand all aspects of Transportation, shipping and receiving as well as inventory control, adhere to strict safety standards, maintain very high quality, and be willing and able to work on powered equipment (i.e forklift or cherry picker).

+ Execute the cycle count process and assist management by overseeing all aspects of inventory control and audit functions, including monitoring daily activities, reconciling shipping and receiving discrepancies, and reviewing problematic transactions.

**Minimum Qualifications:**

The scope of Logistics Assistant work is to execute a range of general logistical support functions that are essential to the orderly and efficient accomplishment of the work of a group, office, program or project, and/or its management team. Duties/Tasks and Responsibilities

Depending on the functions and business areas supported, duties may include the following:
