Job Summary: The Mail Operations Expediter is responsible for picking materials from inventory and supplying them to operators in order to maintain efficient production. They are responsible for pulling materials based on the job ticket instructions and delivering them to the appropriate workstation for use in mailings.


Shift: Monday-Friday 12:30pm-9:00pm


Responsibilities:

  • Ensure the Mail Operator has everything they need in sufficient quantities to run the job at the time it is ready in production
  • Gather all non-standard materials for jobs
  • Responsible for limiting the quantity of product to as close as possible to the requirements to reduce go-backs
  • Ensure all leftover materials are accounted for and returned to the appropriate shelf locations as needed once the job is complete
  • Process and assist with inserting postage on Priority mail, First class, and Standard mail and on Indicia envelopes. Postage should be posted according to proper size, weight, and other postal requirements.
  • Gather completed job tickets and deposit in the appropriate locations
  • Meter mail from Bindery Department
  • Count spoiled postage envelopes
  • Assist in scanning small manual jobs to complete the job in our system
  • Assist on trimming the tray tag tickets
  • Inserts/envelopes are to be properly stocked to prevent warping and curling
  • Report low inventory to Insert Team
  • Work with Warehouse on restocking shelves with overstock
  • Clear out cardboard from work areas to the appropriate bins, pallets, etc.
  • Provide backup to Warehouse on supplying envelopes/USPS supplies
  • Other duties as assigned.

Qualifications:

  • High school diploma
  • Ability to stand for extended periods of time and to frequently lift and move heavy materials(about 40-45 pounds)
  • Ability to handle multiple tasks in a fast-paced environment
  • Ability to process, comprehend and follow detailed instructions
  • Outstanding attention to detail and ability to inspect files for problem areas
  • Ability to take initiative, be self-motivated and work independently
  • Knowledge of Windows and Microsoft Office skills a plus
  • Must be able to pass drug screen, E-Verify, and background check

 · Check Building Mail Room twice a day; Conduct mail runs throughout six service centers, routing documents and packages to the correct department or person at these times: 8:30a; 12:00p; 2:00p; 4:00p; Receive, sort and process mail, packages and supplies efficiently and promptly
 · Receive packages from shipping firms throughout day and process/prepare outbound mail using Postage Metering System and outbound packages using shipping program. This could include packaging, sealing, and printing labels.
 · Keep shipping materials and branded stationery stocked in mail room and all service centers. Process requests for supplies received via email from firmwide locations for branded stationery, etc.
 · Possess a working knowledge of, and remain current on, all postage and shipping rates and processing regulations and requirements
 · Manage Lockbox mailing for Accounting, including scanning checks to appropriate personnel
 · Scan mail for various departments and email per protocols including 1099s for year-end Accounting process and Certificates of Insurance for Risk Management
 · Knowledge of certified mail protocols; May assist with certified mail
 · Visually inspect all outbound mail to ensure proper postage and envelope/package sealing is in place
 · Follow mailroom security procedures and all company procedures; Maintain all records and compliance on security and confidentiality of client materials
 · Maintains a facility that is very clean and organized and meets tour quality standards at all times
 · Work with Lellyett & Rogers for courier needs for supplies, deliveries, work orders, etc. in a timely manner
 · Assist Purchasing with orders and tracking of deliveries
 · Troubleshoot package tracking and shipping issues for internal clients.

Must Haves:

Summary/Objective:

The Project Manager, Operations is a key member of the Operations department in the Direct Mail division, responsible for supporting client relationships through planning and executing all aspects of direct mail projects. The Project Manager ensures that all aspects of projects are fulfilled correctly and on time for Amsive's direct mail clients with a medium degree of complexity.

Essential Functions:
  • Manage all aspects of direct mail projects for assigned clients, including intake, documentation, timelines, work instructions, quoting and inventory ordering, quality control and invoicing.
  • Work closely with internal departments such as: production scheduling, estimating/purchasing, data services, creative and others
  • Be an advocate for the client within Operations working to ensure the quality and accuracy of work completed.
  • Support Senior Project Manager in handling more complex clients.
  • Maintain documentation of customer requirements and keep detailed, accurate records of changes to client processes.
  • Verify and proactively communicate project status to clients
  • Create project plans, specifications, and job instructions for all necessary departments
  • Achieve a strong knowledge of:
    • Amsive's enterprise resource planning software
    • Direct mail production and art specifications
    • USPS policies and procedures
    • Internal processes
    • Client programs and requirements
  • Create production samples for in-house and client use
  • Monitor inventory and postage levels for assigned clients, to avoid project delays
  • Provide reporting as needed
  • Build and maintain relationships with assigned clients and internal stakeholders
  • Execute change management process as needed to ensure quality and capture associated costs
  • Mitigate client issues effectively following escalation procedures on any issues that may arise
  • Assist Sales team with Statement of Work documentation, as needed
Skills, Experience and Qualifications:
  • At least 2 years' experience as a Project Manager or Project Coordinator in industry.
  • Bachelor's Degree or equivalent mix of education paired with relevant experience in similar role.
  • Relevant industry experience preferred.
  • Able to be a team player through relationships, cross-training and back up other teams' members as needed.
  • Ability to learn and understand the USPS regulations for the Print, Direct Mail, Direct Marketing, Advertising and Business Services related industry.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office application software.
Supervisory Responsibilities: Not responsible for supervising other employees.

Work Environment: This job routinely functions in a standard office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands:
  • Must be able to be able to stand on feet for at least 8 hours/day
  • Must be able to lift up to 50 pounds
  • Personal Protection Equipment (PPE) : Certain PPE may be required while performing specific job functions.

Security Clearance: Amsive is a Federal Contractor, and this position may require government security clearance for certain projects.

Summary

The Operations Supervisor is responsible for all downtown mail services operations. As the team leader, they ensure the receipt, processing, and distribution of USPS domestic and international items, inter-departmental material, and private carrier items received in Mail Service at HSC. They oversee the processing and submission of all outgoing USPS mail and private carrier items. They also ensure staff development in proper mailing and shipping procedures and provide guidance to faculty, staff, and students. Maintaining operational metrics as directed by the department head is also part of their role.

Required Knowledge, Skills, And Abilities

  • Working knowledge of Excel and Word.
  • Strong interpersonal skills for effective personnel management and customer service.
  • Ability to work well with and direct others as part of a team.
  • Valid LA driver license required.
  • Ability to stand for long periods and lift/move items up to 50 lbs.
  • Meet Tulane University Motor Vehicle Policy criteria to become authorized as a driver.
  • Minimum of three years mail or shipping industry experience, including at least one year of supervisory experience.

Required Education and/or Experience

  • High School Diploma or equivalent and three years of mail/shipping industry experience, including one year of supervisory experience.

Preferred Qualifications

  • Knowledge of USPS domestic and international services, private carriers' services, and requirements.
  • Certifications such as CMM from IPMA, CMDSM from MASA, or EMCM from USPS are preferred.
  • Experience with package tracking and shipping software is preferred.
