The Hearing Care Coordinator (HCC) works closely with the clinical staff to ensure patients are provided with quality care and service.   • Place outbound calls to current and former patients for the purpose of scheduling follow-up hearing tests and consultations and weekly evaluations for the clinic
  • Collect patient intake forms and maintain patient files/notes
  • Schedule/Confirm patient appointments
  • Complete benefit checks and authorization for each patients' insurance
  • Provide first level support to patients, answer questions, check patients in/out, and collect and process payments
  • Process repairs under the direct supervision of a licensed Hearing Care Professional
  • Prepare bank deposits and submit daily reports to finance
  • General sales knowledge for accessories and any patient support
  • Process patient orders, receive all orders and verify pick up, input information into system
  • Clean and maintain equipment and instruments
  • Submit equipment and facility requests
  • General office duties, including cleaning
  • Manage inventory, order/monitor stock, and submit supply orders as needed
  • Assist with event planning and logistics for at least 1 community outreach event per month

Education:

  • High School Diploma or equivalent
  • Associates degree, preferred

Industry/Product Knowledge Required:

  • Prior experience/knowledge with hearing aids is a plus

Skills/Abilities:

  • Professional verbal and written communication
  • Strong relationship building skills with patients, physicians, clinical staff
  • Experience with Microsoft Office and Outlook
  • Knowledge of HIPAA regulations
  • EMR/EHR experience a plus

Work Experience:

  • 2+ years in a health care environment is preferred
  • Previous customer service experience is required

This per diem position often serves as the first point of contact for patients before their appointments. It requires exceptional customer service skills and meticulous attention to detail. The Patient Care Coordinator ensures accurate and efficient pre-registration of patients, updating demographic and insurance information in advance of their service dates.

This is a per diem position, available Monday through Friday, during our business hours of 7:00am-5:30pm EST. Our office is located at 43 Whiting Hill Road Brewer, ME 04412.

We offer 3-6 weeks of paid training, held from 8:00am to 4:30pm EST, Monday to Friday. Training will be conducted onsite.

Key Responsibilities:

  • Provide exceptional customer service to patients, providers, and other departments, both over the phone and in person.
  • Accurately collect and verify patient demographic and insurance information, making necessary updates.
  • Engage with other departments to assist with patient inquiries or needs.
  • Facilitate conversations with patients to provide benefit information, and collect copays or other liabilities prior to services.
  • Monitor department service levels, abandonment rates, and individual contributions to overall metrics.
  • Meet or exceed departmental productivity and audit goals while adhering to all policies and procedures.
  • Escalate unresolved issues to department leadership to ensure smooth pre-registration and financial clearance.
  • Verify insurance coverage and benefits, updating patient encounters accordingly.
  • Perform additional duties as requested.

Required Qualifications:

  • High School Diploma/GED (or higher).
  • At least 6 months of experience in an office, customer service, phone support, or call center environment.
  • Basic proficiency with computer and Windows PC applications, with an ability to learn new software.
  • Availability to work on a per diem basis from 7:00am - 5:30pm, Monday - Friday.
  • Commitment to receive the influenza vaccination for the current flu season.
  • Must be at least 18 years old.

Preferred Qualifications:

  • 1+ years of registration experience in a hospital or medical setting.
  • Understanding of medical terminology.
  • Familiarity with insurance policies and patient care processes.
  • Previous experience with Northern Light Health.

The hourly wage for this role ranges from $16.00 to $28.85 based on full-time employment, considering factors such as local labor markets, education, experience, and certifications. In addition to your salary, we offer a comprehensive benefits package, including incentive and recognition programs, equity stock purchase options, and 401k contributions. All benefits are subject to eligibility requirements.
