Position Summary
This position assists the Maintenance Director with general maintenance of the Community, including all common areas, apartments, grounds, equipment, and mechanical systems.
Essential Functions
General Maintenance
- Assist Maintenance Director with building maintenance and mechanical work including carpentry, electrical, plumbing, interior and exterior painting, masonry, drywall repair, small appliance repair, minor equipment repair, and troubleshooting; floor cover cleaning (shampooing, buffing, stripping waxing, etc.).
- Regularly walk the community to identify areas that need repair or maintenance and follow-up.
Compliance
- Assist Maintenance Director with maintaining logs to track information regarding maintenance of the building and grounds, including, but not limited to: hot water temperature, emergency generator(s), MSDS sheets, fire extinguisher(s), fire drills, and emergency call systems.

The Maintenance Coordinator is responsible for managing work orders and purchase orders, coordinating maintenance requests, overseeing repair projects, and handling invoicing and vendor communications. This role ensures that maintenance activities are completed efficiently and effectively, maintaining high standards of service for residents.
Hybrid Schedule: Work from home: Monday and Friday. In office (33610): Tuesday, Wednesday, Thursday.

- Review and approve all invoices submitted for Purchase Orders within approval levels
- Manage vendor relations and performance with our Vendor Specialists to ensure customer satisfaction

- Submit Works Orders to vendors and update vendor work order memos according to standard workflow
- Coordinate with Vendor and residents for all scheduled and non-scheduled maintenance requests
- Coordinate and oversee all repairs and maintenance projects on occupied homes through to completion
- Maintain records and monitor maintenance status daily
- Proactively communicate with resident and vendors through to the completion of work
- Maintain an acceptable level of open work orders within their market
- Create PO's along with proper GL Codes and make sure all vendor Purchase Orders are approved and completed properly in order for AP to process vendor payments efficiently
- Excellent written and verbal communication abilities
- Strong typing skills
- Proven ability to multi-task
- Problem-solving experience is a plus

Job Description
As our Maintenance Coordinator , you will proactively eliminate potential delays by strategically planning and coordinating maintenance resources, parts, materials, and equipment access. Reporting to the Maintenance Supervisor, you will oversee all planned maintenance activities at our site.

What will you do?
- Prioritize safety in every job plan development.
- Manage both long and short-range planning initiatives.
- Maintain detailed bill of materials (BOM) for all assets under your responsibility.
- Consistently visit work sites as part of your daily routine.
- Scope and document work decisions using the Work Planning Checklist.
- Evaluate the required planning level for new work orders and PMs generated from CMMS.
- Assign and organize work phases to minimize downtime.
- Order materials necessary for planned tasks.
- Set aside stock items exclusive for planned activities.
- Prepare planned work for the Weekly Work Schedule.
- Act as the CMMS master data steward.
- Estimate labor hours and schedule manpower effectively.
- Calculate costs related to labor, materials, and contract services for upcoming work.
- Share Work Planning Package details with the Maintenance Supervisor.
- Review feedback from completed work with maintenance teams to enhance future planning.
- Coordinate all scheduled maintenance and minor construction projects within designated areas.
- Identify opportunities for standard work routines and task lists.
- Support supply chain coordination with Materials Management and Procurement.
- Participate in Weekly Scheduling Meetings.
- Analyze completed work feedback and take appropriate follow-up actions.
- Plan activities related to shutdowns efficiently.

What can you contribute?
- At least two (2) years of experience in industrial maintenance and repair
- Two (2) years of experience in planning and scheduling maintenance tasks; a combination of education and specialized experience may be acceptable.
