POSITION PURPOSE / EXPECTATIONS

The Maintenance Coordinator plays a critical role in ensuring store operations remain uninterrupted by managing all aspects of urgent and unplanned maintenance needs. This position is primarily responsible for intaking, triaging, and resolving reactive maintenance tickets, coordinating with vendors, and ensuring timely and cost-effective issue resolution.

While the primary focus is Reactive Maintenance, this role will also support Preventative Maintenance (PM) programs and long-term asset tracking on an as-needed basis. The ideal candidate is highly organized, responsive under pressure, and capable of balancing short-term issue resolution with longer-term infrastructure planning.

The ideal candidate is detail-oriented, cost-conscious, and motivated to drive operational ROI by improving internal workflows and supporting scalable systems. This role has growth potential for individuals who can demonstrate meaningful contributions in areas like process innovation, cost reduction, and maintenance program optimization.

The Maintenance Coordinator, Operations & General Services, will be responsible for:

  • Reactive Maintenance Coordination
  • Manage incoming maintenance tickets via internal platforms.
  • Triage requests by urgency, store impact, and service category.
  • Dispatch work orders to approved vendors and monitor for SLA adherence.
  • Follow up on outstanding or delayed tickets; escalate when necessary.
  • Maintain real-time documentation of ticket progress and resolution status.
  • Log and report on repeat issue locations for potential capital improvements.
  • Ensure all maintenance records are current, and invoices are processed on time.
  • Create store-facing tools: troubleshooting guides, how-to resources.
  • Vendor Management Communication
  • Serve as day-to-day contact for reactive service vendors (e.g., HVAC, gates, plumbing).
  • Ensure vendors meet performance and response time expectations.
  • Schedule and confirm service visits; follow up on incomplete work.
  • Support vendor training and onboarding with updated store protocols.
  • Reporting & Documentation
  • Maintain weekly reports on open and closed tickets, repeat issues, and high-cost incidents.
  • Track vendor performance metrics and share insights with leadership.
  • Ensure all maintenance-related documentation is accurate and audit-ready.
  • Monitor R&M Budget Tracker for reactive ticket costs.
  • Secondary Responsibilities (Preventative Support)
  • Assist with scheduling and vendor communication for PM services (HVAC, signage, gates).
  • Confirm if recent PM work was completed in stores experiencing issues.
  • Provide support with PM calendar tracking and compliance reporting.
  • Review PM vendor proposals or combined repair + PM service requests.
  • Track assets impacted by frequent reactive issues for lifecycle analysis.


QUALIFICATIONS

  • 2–4 years of experience in facilities maintenance coordination, vendor management, or operations support.
  • Proficient in Work Order Management platforms (e.g., Worksmith, Fresh Service).
  • Strong organizational skills and attention to detail.
  • Ability to work independently, multitask, and prioritize under pressure.
  • Proactive communicator, capable of escalating issues appropriately.
  • Experience in invoice reconciliation and maintenance reporting.
  • Retail or multi-location coordination experience preferred.

- Perform process analyses and reviews in areas such as Inventory, maintenance profitability, warranty campaigns, cycle counts, RO reviews and other areas. Investigate and recommend solutions and/or guidance to issues posing a risk to the drivers of profitability.
- Use systems such as ServiceNet or AS400 to understand the operational dynamics for problem solving and process improvement.

**Key responsibilities for this role include:**
+ Supporting all Maintenance programs, regular and special activities/projects at site safely

The Maintenance Coordinator is responsible for the day-to-day operations of Facilities Management functions in the community and around the community grounds. Responsible for maintaining a safe, clean, and comfortable environment for the residents. This is accomplished by having a working knowledge of building systems, such as plumbing, Heating Ventilation Air Conditioning (HVAC), electrical and mechanical, equipment repair, and related code requirements. **RESPONSIBILITIES & QUALIFICATIONS**
**Essential Duties**

**Community Operations**
+ Respond to all building emergencies.
+ Review, reads, notate, and initial Daily Log and Maintenance Log to document and learn about pertinent information and any resident's physical and behavioral changes and respond in a timely manner to requests and concerns from residents, family members, and team members.
+ Maintain all painted surfaces and flooring throughout the community.
+ Prepare the room(s) for new residents and assist with move-ins and move-outs.
+ Inspect the building façade periodically for damage and needed repairs.
+ Maintain the grounds by collecting trash, sweeping the dumpster areas, and cleaning first impression areas.
+ Perform all tasks outlined in the Facility Management Maintenance Manual.
**Safety and Risk Management**
+ Partner with leadership team to ensure community is in compliance with national/provincial regulations pertaining to occupational health and safety requirements and promoting Risk Management programs and policies.
+ Ensure the following procedures and practices are enforced as needed: Personal Protective Equipment (PPE), fire extinguishers, Safety Data Sheets (SDS), and Lockout Tagout procedures.
+ Ensure any cords, carts, equipment, and other hazards are always kept out of the way.
+ Maintain equipment and supplies to avoid waste and damage to areas and equipment and to prevent accidents.
+ Comply with all infection control techniques, procedures, and policies.
**Mechanical Systems**
+ Maintain the HVAC system to ensure proper air quality and comfortable temperatures throughout the community.
+ Test, schedule inspections, and maintain proper documentation on the fire protection systems.
+ Conduct fire and disaster drills following the appropriate policy and procedure guidelines.
+ Test low voltage systems as required.
+ Maintain the interior and exterior lighting.
+ Maintain the plumbing system which includes monitoring and adjusting the resident accessible domestic hot water system to ensure code compliance.
+ Maintain the alarm systems for the community.
+ Perform preventative maintenance tasks as assigned.
**Administration**
+ Maintain an accurate vendor/contractor telephone list with contact names and emergency telephone numbers.
+ Order equipment and supplies in compliance with Purchasing Department standards.
+ Ensure Building Management Platform logbooks are in compliance per federal, state/provincial, and Sunrise standards (temperature log, fire extinguisher log, cleaning log, bio-hazard removal log).
+ Partner with Government/Agency authorized personnel
**Team Member Training**
+ Train team members on the following:
+ Location and operation of all utility shut-off devices
+ Emergency response protocols
+ Housekeeping procedures
+ Laundry procedures
+ Safe chemical handling and usage
**Financial Management**
+ Assist in the presentation and value of Sunrise's products and services for our residents, families, team members, and targeted referral sources.
+ Assist the executive director in completing the annual community budget.
+ Understand and manage the department budget to include labor/labour and other expenses and its impact on the community's bottom line.
+ Review monthly financial statements and implement plans of action around deficiencies.
+ Process and submit monthly expenses and budget data through APIM timely per Sunrise policies and internal business controls.
+ Coordinate with the community team to achieve maximum staff economies and cross training when applicable.
+ Understand the internal cost associated with all Sunrise resident care programs.
**Training Leadership and Team Member Development**
+ Manage the department, including but not limited to: recruiting, hiring, training, coaching, and disciplining.
+ Partner in the delivery and participation in Sunrise University Training and self-study programs during the required timeframe.
+ Develop a working knowledge of state/provincial regulations and ensure compliance through supervising and coaching team members.
+ Achieve the Team Member Engagement goals and actively lead in the Engagement Improvement Planning sessions.
+ Complete team member staffing and scheduling according to operational and budgetary guidelines.
+ Conduct daily review of timekeeping practices and payroll reports to ensure all hours worked are recorded and appropriately paid.
+ Conduct timely performance appraisals with meaningful conversations.
+ Hold team accountable and corrects actions when necessary and documents.
+ Attend regular meetings; Stand Up, Cross Over, Weekly Leadership, Town Hall, Quality Assurance Process Improvement, and others as directed by the Executive Director.
+ Keep abreast of professional developments in the field by reading, attending conferences and training sessions.
+ Maintain compliance in assigned required training and all training required by state/province or other regulating authorities as applicable to this role to ensure that Sunrise standards are always met.

**Inventory Productivity:**
- Full oversight of inventory productivity at the branch(es) for timely service support while mitigating risk of inventory loss.
- Maintain optimal inventory levels through ordering parts according to sourcing procedure ensuring suppliers deliver purchases defect-free and on-time through partnering with Centralized Parts Ordering on a daily basis.
- Receive and store parts in an organized and easily accessible manner. Ensure that updates to PartsNet occur timely, complete frequent inventory cycle counts and ensure parts are available when needed.
- Manage the new & used battery inventory and ensure that tires are on hand in the right quantity and specifications in an organized manner.
- Ensure warranty items are shipped and are received on time, as well as follow-up on returns and warranty-grams in partnership with the warranty department.
- Partner with Customer Service Coordinator to ensure repairs are being scheduled as parts are available
- Vendor support and accountability & ensuring payments are being processed correctly
**Process Analytics:**
- Perform process analyses and reviews in areas such as Inventory, maintenance profitability, warranty campaigns, cycle counts, RO reviews and other areas. Investigate and recommend solutions and/or guidance to issues posing a risk to the drivers of profitability.
- Use systems such as ServiceNet or AS400 to understand the operational dynamics for problem solving and process improvement.
**Other Responsibilities:**
-Support the branch financial manager by providing guidance and information that contributes to branch performance and profitability.
-Projects and tasks assigned by Branch Financial Manager and District Financial Manager

+ Work directly and indirectly with other departments within Sysco.

+ Assign backhaul pickups throughout the day.
