Position Summary:
The Medical Office Support Specialist plays a vital role in ensuring the smooth and efficient operation of the clinical office. This position provides both administrative and clinical support to healthcare providers, patients, and external partners. The specialist is responsible for coordinating patient care, managing documentation, assisting with medication processes, and serving as a liaison between patients, providers, pharmacies, laboratories, and other care teams. This role requires excellent organizational, communication, and multitasking skills, along with a compassionate and patient-focused approach.
Essential Job Functions:
- Clinical and Patient Care Support
- Take and record patient vital signs accurately.
- Perform and coordinate Genesight and drug screen swabs, including orders and pickups.
- Write and process lab and EKG orders as requested by providers.
- Search database for labs, visit notes, and historical patient data.
- Coordinate telehealth visits using Microsoft Teams when necessary.
- Patient Scheduling and Coordination
- Schedule new patient appointments and follow-up visits
- Work with schools and caregivers to facilitate Vanderbilt forms and other school-related communications.
- Manage internal referrals for TCM, BHO, PHP, and IOP services.
- Call in medication refills to pharmacies and confirm receipt.
- Submit prior authorization requests for medications.
- Obtain and maintain current medication consent forms and controlled substance agreements.
- Complete school medication administration forms as needed.
Documentation and Forms Management
- Collect, scan, and upload all relevant forms including labs, PHQs, medical records, and school behavior reports.
- Complete and submit:
- FMLA forms
- Letters of Recommendation (e.g., IEPs, accommodations)
- Letters of Medical Necessity (for schools, courts, etc.)
- Treatment plans and discharge summaries
- FMLA forms
- Send no-show notifications and document appropriately.
- Request and track external medical records.
- Send referrals for outside testing as directed.
- Order and manage lab supplies and other clinical materials.
Communication and Team Collaboration
- Provide updates on patient progress to TCMs and other care coordinators.
- Maintain ongoing communication with schools, caregivers, and external partners to ensure continuity of care and appropriate documentation.
- Attend required trainings as assigned
- Perform other duties as assigned by VP of Outpatient services .
