SUMMARY OF RESPONSIBILITIES
The position of Medical Assistant is responsible for assisting the Provider with patient visits.
ESSENTIAL FUNCTIONS
The essential functions of the Medical Assistant position can be divided into the categories of Scribe duties and Circulator duties. During any particular patient visit, the Medical Assistant may be responsible for performing some or all of these functions, depending on the nature of the visit, the wishes of the Provider and the presence or absence of a second assistant during the patient visit.
The Scribe duties that may be assigned to the Medical Assistant include, but are not limited to, the following:
- Accompanying Provider into the patient examination room and accurately documenting the Provider’s encounter with the patient, including HIP, ROS, Physical Assessment, Education, Lab Orders, Radiology Orders, Assessment/Plan, Billing, and Meaningful Use. The position does not complete charting documentation for prescriptions.
- Ensuring that the Provider reviews and signs off on the patient’s chart.
- Regularly monitoring voicemails and promptly returning phone calls from patients.
- Regularly monitoring EMR messages and responding in a timely manner.
- Performs other related duties as assigned.
The Circulator duties that may be assigned to the Medical Assistant include, but are not limited to, the following:
- After each patient visit, updating Face Sheet Plan with all pertinent information including but not limited to UDS/PMP/Pill Count Consistent/Inconsistent, Repeat UDS, Procedures/Imaging/PT, and Medication Refills/Changes/Weaning Plan.
- Documenting Warnings/Violations/Inappropriate Behavior in “Alerts” or in the personal notes section of the Face Sheet.
- Updating Past Medical History ICD codes, reconciling current medication list, performing pill counts, and entering PQRS codes.
- Obtaining and recording patients’ vital signs in the medical health records software.
- Completing letter out referrals for orders.
- Sending messages for prior authorizations for back braces.
- Scheduling patients’ next appointments.
- Regularly monitoring voicemails and promptly returning phone calls to patients.
- Regularly monitors EMR messages and responds in a timely manner.
- Performs other related duties as assigned.
REQUIRED EDUCATION, EXPERIENCE, AND/OR CERTIFICATIONS
The position requires a BLS certification and current influenza vaccination. Two (2) years of prior clinic experience is preferred.

The incumbent may operate any or all of the following standard office equipment including but not limited to multi-line telephone system, postage mater, facsimile machines, calculator, photocopy machine, computer/printer, and coffee maker. The incumbent may operate medical equipment. The work environment characteristics and physical demands described here are representative of those an employee encounters while performing the essential functions of this job.

**JOB SUMMARY**
Responsible for registering and screening donors under the direction of the Center Manager. Operates within the scope of EU Guidance on Good Manufacturing Practice and FDA cGMP 21CFR.
**ESSENTIAL JOB FUNCTIONS**

**Core**
+ Facilitates donor flow throughout the plasma collection center with a sense of urgency, minimizing wait time by working carefully and efficiently.
+ Registers applicant donors.
+ Assists qualified donors in completing the screening process.
+ Assesses the self-administered health history, refers donors to medical staff when appropriate and performs health screening procedures such as blood pressure, pulse, weight, temperature.
+ Performs finger sticks to obtain a sample to obtain hematocrit and total protein levels.
+ Prepares equipment by performing PQ/calibrations and verifying required maintenance has been performed as outlined in the SOP.
+ Performs troubleshooting of equipment within scope of training.
+ Performs Haemonetics Autopheresis setup and programming with understanding of alarm signals during operation, shut down or in the event of power failure.
+ Responds and resolves equipment alarms.
+ Responds to donor issues related to collection.
+ Notifies management or medical personnel if an alarm or donor issue requires needle adjustments and/or resticks.
+ Prepares collection machines for the plasmapheresis procedure and plasma collection, including donor set-up, monitoring and disconnect in compliance with Standard Procedures and FDA guidelines, as needed.
+ Monitors the safety and care of the donor during the plasmapheresis process.
+ Maintains alertness and awareness to any reaction a donor may have during or after the plasmapheresis process and notifies appropriate medical staff.
+ Ensures accurate recording of donor data in the electronic donor information management system as outlined in the SOPs.
+ Records incidents that occur during the pheresis process, such as machine alerts and alarms, volume variances and donor adverse events.
+ Maintains a clean, orderly, and efficient work environment and ensures sufficient operating supplies are available as needed.
+ Records any required documentation accurately and in compliance with company SOPs.
+ Maintains data integrity and confidentiality of all personnel, donor, and plasma collection center information.
+ Monitors donors for possible issues with their donation, understands how to handle donor adverse events and collection exceptions.
+ Explains plasma collection center policies & rules to new donors about the donation process, proper nutrition, and any other information pertinent to the donor or donor safety.
+ Works with plasma collection center's staff to meet production goals.
+ Ensures all donor questions are answered timely, accurately, and professionally and alerts management of any issues or concerns.
+ Assists plasma collection center for audits.
+ Follows all SOPs and regulatory policies and procedures, including the employee handbook.
+ Remains current on SOPs changes.
+ Follows all Health Safety & Environmental and Occupational Safety and Health Administration (OSHA) policies and procedures.
+ Operates computer systems including National Donor Deferral Registry (NDDR) system and Cross Donation Check System (CDCS) within approved guidelines.
+ Understands and performs timely proper computer entry.
+ Documents comments on donor data including exceptions.
+ Answers the telephone in a courteous and friendly manner and provides information to caller(s) or transfers calls to appropriate personnel, as needed.

**Physical Requirements**
Work is primarily light in nature, with exerting up to 50lbs of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull or otherwise move objects. Use of fingers to type and / or enter numbers on keyboards, keypads, etc. along with grabbing object(s). Additionally includes, reaching, handling, talking, hearing, bending, stooping, and walking. Job DescriptionDescriptionUnder the leadership of the President , the Director of the Medical Communications Center (DMCC) is directly responsible for a department that coordinates over 50,000 transports annually with an annual incoming call volume of over 280,000 calls. The Medical Communications Center (MEDCOM) is open 24 hours/day, 365 days per year. The DMCC leads a team that consists of one supervisor and approximately 20-30 team members.
The Medical Communications Center (MCC) is the heartbeat of the company as it fields requests, challenges, and concerns for all customers both internal and external daily, from a multitude of sources and states. MEDCOM is responsible for intaking emergency and non-emergency calls, as well as providing PRO-QA instructions to direct 911 callers. It is critical that the MEDCOM team is ready and able 24/7, ensuring the timely dispatch of life saving resources, as well as urgent, and scheduled movement of patients. This includes accurate ETAs and resources are provided to all customers. The DMCC is responsible for customer service levels and serves as a liaison between our contracted facilities, customers, and our field operations leadership team. They are responsible for ensuring we meet our on-time performance goals and contractual requirements. The DMCC must demonstrate the ability to effectively prioritize non-emergent medical transport requests with an understanding of payer requirements, while simultaneously overseeing the timely and accurate receipt and management of emergency 911 calls in accordance with clinical urgency and system protocols.
The DMCC is critical in cultivating and building a team that works well all hours of the day, in a variety of scenarios, without direct constant oversight, even when scenarios are at times stressful. They are responsible for planning and prioritizing the daily workload, deploying the best resource available while also ensuring the safety of our field crews and maintaining compliance with federal, state, and local regulations. They are responsible for quality assurance and must maintain accuracy standards to ensure operations are executed smoothly and efficiently.
The position requires strong leadership, conflict-resolution skills, excellent communications skills, and considerable independent judgment, analysis, and evaluation. The DMCC must be capable of making important decisions in critical situations quickly and balance priorities effectively and quickly. They are expected to use initiative in coping with unusual situations and circumstances to resolve them.
The DMCC is responsible for overseeing day-to-day operations including scheduling, staffing, training, and providing management support in handling difficult or sensitive situations. The DMCC reviews constantly changing data and assists in planning for accomplishing the day’s workload and is responsible for maintaining customer service levels and ensuring all calls are answered timely and effectively. The DMCC must be knowledgeable of policies and procedures as well as EMS requirements and interventions to ensure calls are accurately dispatched, prioritized, and planned. The DMCC provides advice and counsel to employees and works closely with Operations Leadership to ensure field operations resources understand the needs to meet the daily call demands and or extraordinary requests. Duties also include routinely reviewing all CAD data and system reports to monitor customer service levels to include on-time percentages, On Time Reliability, Requested to Received Time, Out of Que Time, and other pertinent metrics. DMCC through their team ensures that CAD data is accurate and produces reliable reports. DMCC will produce both weekly reports for various customer meetings, as well as leadership meetings, analyze said reports and provide suggestions on action items to improve overall patient flow and customer service.
The Medical Communications Center must be always staffed and requires a leader that can ensure that level continuity and is available for recall in the event of emergencies, weather events, sentinel/critical events, or any situation they are needed. The Director of the Medical Communications Center provides second tier MOC call coverage for their center in the absence of a supervisor, or as a resource to the operational MOC.
Role and Responsibilities- Provide leadership and guidance to team members through communicating company initiatives, addressing, and resolving concerns, and providing all tools and resources needed to complete assignments in an efficient manner.
- Motivate, mentor, and coach your team to ensure customer service, safety, and compliance standards are met. Effectively address issues or concerns promptly and use critical thinking skills to remove barriers or obstacles to achieving company goals.
- Maintain the department’s payroll budget to ensure six weeks of scheduling is posted at all times. Review and resolve timecard discrepancies daily and submit timecards bi-weekly.
- Oversee the receipt, prioritization, and dispatching of both emergency and non-emergency calls. This involves selecting the most suitable unit based on service level, location, and availability, relaying essential information, and maintaining communication while tracking each unit until their assignment is complete.
- Understanding of dispatching best practices and contractual obligations.
- Monitor and correct calls for discrepancies in company, addresses, level of service, zone, and sub-zones fields.
- Monitor CAD grid for call volume and appropriate hierarchy and vehicle assignments.
- Supervises and directs the activities of assigned staff; coordinates, prioritizes and assigns tasks and projects; tracks and reviews work progress and activities; participates in the recruitment and selection of staff; undertakes disciplinary action as required; conducts performance evaluations; coordinates scheduling of staff to ensure proper operational coverage.
- Assists with the development of goals, objectives, policies and procedures; ensures compliance with and effectively implements policies and procedures; attends and conducts meetings and training sessions as required.
- Handles facility escalations, and finds timely resolution to facility concerns, through cooperative problem solving
- Provides necessary tools for subordinates’ success.
- Acts as a member of the Leadership team, to drive policy, procedures, and overall company direction.
- Works seamlessly with Operational Leadership to ensure the highest level of customer service.
- Assist in Critical Operational Needs for EMS Coverage as well as applicable Special Events
- Represent Medic One at community events as assigned

Qualifications and Education Requirements
- Graduation From High School or equivalent
- Minimum of three (3) years of prior management experience of similar scope
- 21 years or older at time of hire
- Valid driver’s license
- Ability to drive company vehicles with a clean driving record
- Must be available for recall in times of crisis or when needed
- Ability to pass a pre-employment drug test
- Ability to pass a pre-employment background and MVR check
- Ability to speak and write English
- PPD, or QuantiFERON gold

- Demonstrated ability to serve as a medical interpreter with ability to speak, read, and write in English and the foreign language and interpret/translate from the foreign language to English and vice-versa.

- Ability to work without close supervision and to exercise independent judgment.
- Ability to maintain working relationships with physicians, directors, co-workers, and other Associates.

Physical Demands

**Description**
1. Collects blood and urine specimens including instructions, education, handling, packing, storage, and shipping of specimens to local, nationwide, and international referral laboratories for testing and troubleshooting.
2. Maintains clean, well-stocked outpatient phlebotomy draw room, phlebotomy supply tray, other supplies and maintenance.
3. Provides aliquot procedures, central storage specimens and reagent retrieval procedures.
4. Provides clerical and call center duties including staffing of the call center, filing, document quality control and collection of surveillance data.
5. Educates and trains family and hospital personnel.
6. Performs other duties as assigned.
