We are seeking a detail-oriented and organized Medical Scheduler to join our healthcare team. The ideal candidate will be responsible for managing patient appointments, ensuring efficient scheduling processes, and maintaining accurate patient records. This role is crucial in providing excellent customer service while supporting the overall operations of our clinic.
Hours are 8am to 430pm with a 1-hour lunch Monday-Friday
Pay up to $22.50/hr

Medical Scheduler Responsibilities
- Schedule and confirm patient appointments in a timely manner using computerized systems.
- Scheduling procedures, triage and referral appointments.
- Manage appointment calendars to optimize clinic workflow and minimize patient wait times.
- Collect and verify patient information, including insurance details and medical history.
- Communicate effectively with patients regarding their appointments, including reminders and follow-ups.
- Maintain organized records of patient interactions and scheduling changes.

+ Will consider any applicants that have experience with scheduling in a medical environment.
+ Will also consider any candidates with scheduling call center experience.

Key Responsibilities:
+ Obtains and documents patient insurance information as needed; tracks reason for telephone call, including referral, new patient, insurance, or other reason.
+ Schedules all patient appointments; schedules other patient appointments on occasion, according to agreed upon procedures and time allotments using the ideal schedule template; schedules patients within two to four days of their initial call when possible; educates patients about the value of their appointment times to minimize cancellations; reschedules patients that fail to show for their appointments no sooner than within a two-week time frame
+ Calls to confirm appointments and amounts owed one week prior to scheduled surgery appointment; calls to confirm other patient appointments as needed; completes patient chart reviews for surgery appointments one week before appointment to ensure patient charts are complete and accurate.
+ Calls patients with appointments to advise them when the practice is running late or early; informs clinical teams if patients are running late; tracks patients who call to cancel or fail to show up.

We are seeking a detail-oriented and highly organized Medical Scheduler to coordinate surgical procedures and ensure seamless communication between patients, physicians, and surgical teams. The ideal candidate will have experience in medical scheduling, strong interpersonal skills, and the ability to manage multiple priorities in a fast-paced healthcare environment.
Key Responsibilities:
+ Schedule surgical procedures accurately and efficiently, coordinating with surgeons, anesthesiologists, and operating room staff.
+ Verify patient demographics, insurance coverage, and pre-authorization requirements prior to scheduling.
+ Communicate surgical instructions and pre-operative requirements to patients and ensure understanding.
+ Maintain and update surgery schedules in the electronic health record (EHR) and scheduling systems.
+ Collaborate with clinical teams to ensure proper documentation and readiness for procedures.
+ Respond to inquiries from patients, providers, and staff regarding scheduling, cancellations, and rescheduling.
+ Ensure compliance with HIPAA and organizational policies related to patient confidentiality and data handling.
Qualifications:
+ High School Diploma or equivalent required; Associate's degree or medical office training preferred.
+ 2+ years of experience in medical scheduling or healthcare administration, preferably in a surgical setting.
+ Proficiency in EHR systems and scheduling software.
+ Strong communication, organizational, and multitasking skills.
+ Knowledge of medical terminology and insurance processes.
+ Ability to work independently and collaboratively in a team environment

Pay and Benefits
The pay range for this position is $21.00 - $23.00/hr.

Job Description
MUST HAVE: 1-3 years of medical scheduling experience, medical receptionist experience, OR Medical Call Center experience or something related to call center!
Description
Will be scheduling appointments for Pain Management, Primary Care, Womens Health and Ortho clinics throughout the Baltimore/DC area
SHIFT- Monday to Friday 8:00 AM to 5:00 PM
This is NOT patient facing, small call center high cubes
Will be using IDX, openscape, medconnect, sharepoint systems
Will be taking 50-70 calls per day
Completes call processing in an efficient manner. Remains aware of call volumes and works as part of the team to handle the peak call volumes.
Cross sells the multiple locations and physicians available with sub-specialty per protocol.
Demonstrates ability to use Centricity Business, Centricity EMR and other Contact Center applications as required to assist with the callers needs.
Displays characteristics of inquiry, empathy, courtesy and respect during communication with customers.
Ensures complete communication (closes the loop and follow up) between key customer groups, including internal and external customers, in an appropriate and timely manner.
Facilitates new patient registration and updates current registration.
Maintains protocol knowledge base and skill set for scheduling across multiple subspecialties or locations and meets established goals for scheduling accuracy.
Participates in multidisciplinary quality and service improvement teams as appropriate. Participates in meetings, serves on committees and represents the department and hospital/facility in community outreach efforts as appropriate.
Participates in physician practice meetings as required, including training with physician secretaries, regular staff meetings, and/ or other training classes as directed.
Proactively reads emails daily and reviews other written sources to keep up to date on all communications / changes within the protocols and the Contact Center.
Responds to telephone inquiries from patients, physicians, employees and other callers regarding appointments, referrals, provider messages
Utilizes physician protocols to schedule appointments for subspecialties or locations and meets established Contact Center performance goals.
Additional Skills & Qualifications
High school graduation or equivalent; Associates degree preferred. Must have 2+ years working in a healthcare/scheduling type role (can come from patient access/call centers/scheduling centers/Patient Service Coordinators) OR he is also open to recent
