Under the supervision of a pathologist and other supervision, and in accordance with Company policies, procedures, and guidelines. In this role, you will:

  • Perform routine laboratory test procedures outlined in the laboratory standard operating procedures manuals. Adheres to quality assurance and quality control procedures in performing all testing.
  • Correlate clinical information and/or previous lab results and report discrepancies to the Medical Technologist, senior, or supervisors. Consult with superiors or a pathologist when no preset criteria for decision-making are available before taking action.
  • Collect and direct all the essential job duties of a medical technologist and senior and assume direct supervisory duties over personnel and all resources within the lab and/or specific section.
  • Maintains and operates lab equipment; able to detect malfunctions as they occur by reviewing instrument results. Troubleshoots the problem with technologist assistance
  • Ensures appropriate lab supplies are always on hand in their assigned area or department
  • May be rotated to other lab locations or shifts as necessary
  • Trains or instructs laboratory personnel in the performance of lab tests and procedures where assigned
  • Participates in developmental work on new tests
  • Participates in established TQM activities, QC testing of lab reagents and equipment maintenance. Follows protocol for running and documenting control values. Collects, evaluates, and reports quality management data to monitor and improve laboratory performance
  • Attends and participates in continuing education programs to monitor proficiency, expand current knowledge, and enhance professional excellence. Willingly shares knowledge and provides clinical orientation to other members of the staff.
  • Oversees Job Competency/Skills Check program
  • Maintains open communication with supervisors, pathologists, and fellow employees to ensure optimal department operation. Communicates pertinent information to other members of the health care team in a clinically relevant time frame to enhance the lab's contribution to patient care
  • Delivers age-appropriate care for the patient population. Maintains strict confidentiality in all situations and with all documentation
  • Maintains and assists with continual compliance as required by standards of accrediting or regulatory agencies
  • Coordinates and schedules the activities of assigned personnel to optimize productivity and minimize unbudgeted hours. Provides direction and makes decisions concerning clinical lab situations
  • Maintains consistent service and productivity in an unpredictable workload environment
  • Monitors personnel performance and documents performance through periodic appraisals as directed by company guidelines
  • Establishes procedures and maintains a laboratory department or unit under the direction of the lab manager in compliance with accreditation and other regulatory standards
  • May perform the most challenging and advanced tests, examinations, or analysis in one or more specialized fields
  • Monitors training and evaluation of MLT/ MT new employees/students along with the appropriate education coordinator and HR staff
  • Establishes and writes laboratory procedures using computer software for method validation as required
  • Adheres to safety, confidentiality, compliance, and legal requirements
  • Must have reliable and consistent attendance and comply with company guidelines on attendance
  • Performs all other duties as assigned
  • Work in a fast-paced laboratory environment with biological and chemical hazards
  • Champion safety, compliance, and quality control

All you need is:

  • Bachelor's Degree in medical technology or related science from an accredited program
  • Current certification or registration as a Medical Technologist such as ASCP, NCA, HEW, AMT, or equivalent
  • Valid and current State of Hawaii license as a Medical Technologist
  • Minimum (4) years of clinical laboratory experience in a hospital/commercial lab setting. The Medical Director may use discretion in assigning a supervisory position to an individual with less than (4) years of experience.
  • For hospital settings, additional requirements may apply and change without notice, including, but not limited to, criminal background checks, health clearance, and hospital compliance training.
  • Strong reading, writing, and analytical skills
  • Strong computer skills (Word and Excel) and knowledge of lab information systems are required.
  • Ability to operate general laboratory equipment, including but not limited to telephones, automated analyzers, centrifuges, microscopes, manual and automated pipettes, and audible alarms

Responsibilities

Summary:
The Medical Records Supervisor performs specialized functions that require detail-oriented skills in quantitative analysis and is responsible for maintaining comprehensive and periodic reviews and audits of active and discharged charts, identifying technical errors and potential legal and clinical issues and addressing each instance accordingly.

Primary Duties and Responsibilities:

  • The Medical Records Supervisor plans, coordinates and assists in all aspects of the medical record management according to state, federal and local agency requirements. Checks for completion of all forms filed in the medical record.
  • Establishes protocol and process to revise chart order as necessary.
  • The Medical Records Supervisor assists facility staff or outside auditors or reviewers upon request.
  • Keeps management fully informed of activities, pertinent issues, upcoming events and potential problems.
  • The Medical Records Supervisor provides input and feedback to individuals of the multidisciplinary team regarding documentation deficiencies in a patient's chart.
  • Participates in quality improvement activities.
  • The Medical Records Supervisor arranges for retention, storage, distribution, processing and destruction of medical records within the facility.
  • Ensures that all medical records are coded, classified and filed accurately and in a timely basis.

Qualifications

Minimum Requirements:

  • High School Diploma or equivalent.
  • Three (3) years of experience in Health Information Management of which one year must have been in a supervisor capacity and records auditing.
  • Must possess experience with correctional accreditations with HIPAA regulations. Electronic Medical Records experience is preferred.
  • Ability to work with computers and the software applications typically used by the department.

  • Audits, trains & supervises coding department staff for the purpose of maximizing reimbursement, ensuring quality coding and maintaining an acceptable turnaround time in the completion of unit function

  • Develops and motivates a competent, well-trained staff, capable of meeting established goals and promotes efforts to recruit and retain qualified personnel

  • Completes and submits probationary and annual employee performance evaluations

  • Responds to requests from hospital departments, physicians, patients, families, etc. that ensure customer service excellence

  • Must have excellent written and verbal communication skills, including the ability to present ideas and concepts effectively across organizational levels as will be working with physicians, Chief Financial Officers, and hospital department management

  • Knowledge of information privacy laws, medical record access, and release of information is needed

  • Assists the Coding Manager with oversight of processes and initiatives designed to continuously improve DNFB and Coding Revenue Cycle performance and/or efficiency. Including but not limited to staffing, reports, daily assignments and coding support

  • Leads by example; promotes teamwork by fostering a positive, transparent and focused working environment which achieves maximum results

  • Other duties as needed and assigned by Optum leadership, including but not limited to leading and conducting special projects. Develop project work plans, facilitate resource allocation, execute project tasks and obtains assistance from other intra and inter-departmental resources as required

Required Qualifications:

  • High School Diploma/GED (or higher)

  • Professional coder certification with credentialing from AHIMA and/or AAPC (CCS, RHIA, RHIT) to be maintained annually

  • 3+ years of coding experience working with ICD-10-CM/PCS, DRG and CPT Codes

  • 1+ years of experience with leadership/management of people

  • Intermediate level of proficiency with the electronic health record, computer assisted coding software and encoder

  • Ability to be flexible including working across multiple time zones as required by the business

Preferred Qualifications:

  • 2+ years of leadership experience

  • Ability to multitask

  • Proficiency in Microsoft office - Excel, Word, SmartSheets

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). Join our team as a Medical Coding Supervisor , where you'll play a key role in ensuring high-quality coding practices, supporting provider education, and leading a dedicated team that drives the success of our revenue cycle operations.

The Medical Coding Supervisor oversees the operations and personnel within the Medical Coding department. Key responsibilities include reviewing provider-assigned codes for accuracy and compliance, auditing insurance claims, and addressing coding-related denials. This role provides coding education to providers, supports documentation standards, and may assist with related research initiatives. The supervisor manages team functions such as hiring, onboarding, training, performance evaluation, and ensuring adequate staffing. Additional duties include developing departmental policies, leading staff meetings, addressing inquiries or complaints, and representing the department in organizational meetings. This position reports to the Revenue Cycle Manager and operates under general supervision.

Job Specific Minimum Qualifications

  1. High school graduation or equivalent is required.
  2. Graduation from an accredited Medical Coding Specialist Program or equivalent combination of education and/or relevant work experience is required.
  3. Minimum of two (2) to three (3) years of medical coding experience is required.
  4. Knowledge of insurance processing is preferred.
  5. Current CPC credential through AAPC or equivalent is required.
  6. Knowledge of CPT/HCPCS (supplies and pharmaceuticals), ICD-10-CM, E/M (evaluation and management), medical records and documentation is required.
  7. At least (2) years of supervisory or team lead experience in a healthcare environment. Knowledge of the principles and practices of accounting/fiscal management, business operations and human resource management. Demonstrated leadership experience in an insurance or healthcare environment is highly desirable.
  8. Ability to lead and participate in the training and supervision of other staff is required.
  9. Knowledge of medical terminology, basic anatomy, physiology, and disease process is required.
  10. Knowledge of Medicare and Medicaid and other payer-specific rules and regulations is required.
  11. Minimum of one (1) year of experience interacting with practitioners regarding coding requirements is preferred.
  12. Knowledge of or ability to learn various computer programs such as MS Office Suite, word processing, database, calendar and email is required. Knowledge of or ability to learn and effectively use systems including electronic medical record and electronic coding systems is required. Experience with EPIC is highly desirable.
  13. Excellent oral and written communication skills are required. Excellent customer service skills and the ability to work with a diverse patient population is required.
  14. Ability to work harmoniously and cooperatively with all staff and the public is required.
  15. Ability to ensure that the daily work of the department is completed.
  16. Ability to identify coding needs and code accurately is required.
  17. Ability to concentrate and maintain accuracy in spite of frequent interruptions is required.
