The Battle Creek VA Medical Center is recruiting for an Advanced Medical Support Assistant (AMSA) to function within Business Operations Service (BOS) at the Battle Creek VAMC. This position provides clerical administrative support in the coordination, care, and treatment provided to patients throughout the Medical Center. The work includes functions such as serving as an initial point of contact for the units, clinics, patient, call centers, to include, but not limited to, scheduling patient appointments, tracking, reviewing, and responding to electronic orders, consults, and other elements in the electronic medical record and medical systems. The work requires a practical knowledge of computerized data entry, information processing systems and software related to patient care, the healthcare system's organization and services, basic rules and regulations governing visitors and patient treatment, knowledge of standard procedures, utilizing medical records, and medical terminology. The Advanced MSA provides specialized and expert administrative patient support while working collaboratively in an interdisciplinary coordinated care delivery model. Work involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or care in the community resources. Recommends changes to existing clinic procedures based on current administrative guidelines. Expertise in utilizing numerous advanced patient systems in support of multiple clinics involved in an interdisciplinary coordinated care delivery model. Coordinates with the patient care team to review clinic appointment availability (utilization) to ensure that clinic schedules are closely monitored to effectively support the needs of the clinics, and makes adjustments as necessary. MSAs at this level develop and/or maintain effective and efficient communication with the patient, interdisciplinary coordinated care delivery model teams , VA medical centers, and other agencies (e.g., assist with communications during the inpatient to outpatient discharge; communicate with non-VA medical facilities; prepare correspondence to notify patients of normal lab results; manage a system for follow-up care such as consults, tests, etc.).Other assignments at this level include, but are not limited to: processes incoming patient secure messaging through MyHealthyVet and coordinates with care team as appropriate; participates in team huddles and team meetings to manage, plan, problem solve, and follow-up with patient care by sharing information and collaborating with the interdisciplinary team; setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; identifies incomplete encounters and communicates findings to providers as needed; assists the team to reinforce the plan of care and self-help solutions; enters appropriate information into the electronic record; monitors pre-appointment information and/or requirements to assure readiness for patient visit/procedure; manages patient systems to verify and validate accuracy and resolve issues; evaluates patient information and clinic schedule lists to determine whether the patient requires an immediate appointment; informs team members about shared patients (i.e., those who receive their care at multiple VA centers or those who receive care in the community) Work Schedule: Monday - Friday 8:00AM - 4:30PM Telework: Not Available Virtual: This is not a virtual position. - Works collaboratively with Registered Nurse Care Coordinators, Program Analyst, and other VA Staff and Community Care providers.
- Receives, handles, and transfer calls appropriately with regard to telephone inquires from numerous sources including patients, other VA staff, and community providers concerning items including but not limited to; authorization terms, appointment status and billing/claims status.
- Prepares correspondence to be sent to community care providers that includes details about the terms of the authorization, the appointment date and time, and all pertinent clinical data as instructed by the RN.

ResponsibilitiesEssential Job Functions:
- Assist doctor in a prompt and courteous manner.
- Completes chart prep on scheduled patients prior to every visit.
- Verifies and maintains current and accurate clinical records, charts and medical history through electronic medical records during patient visits.

- Accurately posts charges to the appropriate provider in a timely fashion.
- Works in a medical office capacity provided by the facility.
- Responsible for all care and cleaning of medical equipment at the end of every visit.
- Maintains medical supplies inventory by auditing stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies.
- Manage resources by preparing supplies with minimum waste or need for duplication.
- Ensure all medical equipment is working properly by completing preventive maintenance requirements and following manufacturer's instructions.
- Responsible for clean-up of service area used facility upon departure of visit.
- Able to multitask, be detail oriented and demonstrate exceptional customer service skills.
- Strong knowledge of medical terminology.
- Ensure a positive experience for our patients.
- Communicate effectively with all patients, family members, providers, faculty, and staff.

Minimum Qualifications:
- High School education or GED.
- Must have own reliable transportation, good driving record and car insurance.
- Must have completed and passed a two-step Tuberculosis (TB) Skin Test.
- Good computer skills required.
- Must have excellent communication skills.
- Must be able to follow directions and listen to needs of patients and doctors.
Physical Demands:
Requires full range of body motion including manual and finger dexterity and hand-eye coordination. Requires standing, walking, pushing and stooping on a periodic basis. Lifting requirements vary depending upon specialty division hired for (Audiology and Vision: less than 50 pounds, Podiatry: minimal lifting). Must be able to push patients in wheelchair. Requires corrected vision and hearing to a normal range. At times, requires working under stressful conditions or working irregular hours. At times, requires some exposure to communicable diseases or body fluids.
