Project Assistant
Job Summary
Responsible for job scheduling, quality control, creating reports, document control, client satisfaction activities and other project management administrative support functions in an assigned division or function. This position facilitates an organized workflow with customers and project team members on assigned projects.
Essential Functions

1. Executes project management administrative support functions to push projects forward despite obstacles for on-time and on-budget completion.
2. Takes steps to ensure timely completion of bids, documents, and other project tasks to facilitate high level of customer satisfaction.
3. Assists with the planning and scheduling of all assigned projects, to optimize efficiencies of labor costs.
4. Coordinates and communicates scheduling of field and service technicians with vendors, utility companies and customers.
5. Ensures accurate and timely tracking information is entered and maintained in appropriate systems related to estimate data, field data and work requests, and communicates appropriately with project management and other staff members.
6. Functions as a primary point of contact for customers requiring service. Ensures product orders are processed appropriately and that work is completed, projects are closed and ready to be billed.
7. Ensures all tools, equipment and information is confirmed and all parties are coordinated in preparation for job starts.
8. Schedules, monitors, and manages equipment calibration and ensures appropriate equipment is moved from one job site to another on schedule.
9. Maintains professional and technical knowledge by establishing solid networks and communicating well with co-workers, customers, project managers, foremen, sub-contractors, vendors, office staff and field personnel.
10. Learns from Project Manager and develops skills to read, interpret, and understand electrical contracts, plans, drawings, and specifications.
Required Education, Experience and Skills
· High School Diploma or equivalent.
· Construction project experience.
· Minimum 2-5 years of experience coordinating project work or similar role.
· Experience providing and coordinating support activities in a fast-paced work environment and organizing large amounts of data into understandable formats.
· Strong organizational skills, scheduling abilities and detailed orientation.

Job Summary
The Project Assistant will be responsible for supporting the project management team by ensuring that all team members have the information and resources necessary to complete their tasks efficiently and by maintaining clear and organized documentation. This role involves project setup, documentation management, project closeout, and providing clerical/administrative support as requested to ensure projects are completed on time, within scope, and within budget. Key Responsibilities
Project Planning and Preconstruction:
· Create and process owner contracts utilizing electronic project management systems
· Upload and update vendors in electronic project management system ensuring all necessary paperwork is completed and up to date
· Create and process subcontractor contracts, verifying contracts are fully executed, securing proper paperwork and verifying subcontractors are in good standing with vendor compliance prior to starting work or billing; electronically filing and distributing contracts as necessary
· Process budget transfers under the direction of project management team
· Electronically setup new projects ensuring all necessary information and fields are complete
Project Execution and Resource Coordination:
· Manage electronic project documents: contracts, change orders, invoices, email communications, and distribution of documents to the appropriate subcontractors and team members
· Support scheduling and management of on-site rental tools and equipment
· Provide clerical/administrative support for project management team as requested
· Work collaboratively and build effective relationships with subcontractor team, site operations team, project management team, and some directly managed vendors.
Project Closeout and Client Billing:
· Secure and compile electronic turnover documents; ensuring all documentation requested is received from subcontractors/suppliers for each ongoing project assigned
· Compile electronic close-out documents and prepare turnover packages
· Process invoices for miscellaneous projects and owners
Communication and Collaboration:
· Facilitate clear and effective communication among all project participants
· Maintain professionalism and respect for clients and subcontractors under all circumstances
· Continuously support organizational process improvement initiatives
Qualifications
· 2+ years of experience in administrative role preferred
· High school diploma or GED is required

**SUMMARY**
The Project Assistant position at Contra Costa Electric, Inc., reports directly to the Project Assistant Team Lead, located in Martinez, CA, with daily interface with the Project Management and Field Teams. The Project Assistant is an integral part of the construction process and helps meaningfully contribute administrative support to the project team, resulting in exceptionally executed projects and customer satisfaction.
Responsibilities include document control, cost control, general clerical duties and related activities.
**ESSENTIAL DUTIES AND RESPONSIBILITIES**
Project Cost Accounting:
+ Submit daily records of field personnel badge activities for the project site.
+ Coordinate with foreman on site to ensure all project personnel are properly accounted for.
+ Audit all hours across CCE systems and Client Systems (TRACK) to ensure customer and internal systems match.
+ Properly allocate labor, equipment, meals, and material for all activities on site.
+ Enter hours for indirect project support to ensure complete activities are documented for both field and office personnel.
+ Perform weekly audits of customer data to ensure alignment with internal accounting and payroll records.
+ Utilize internal accounting systems to create labor, equipment and material invoices for client submission.
+ Manage new hires, labor rate changes and classification changes as they pertain to project billing.
+ Ensure all company owned equipment is accounted for in Client (TRACK) and CCE billing systems.
+ Ensure all material is properly billed in CCE billing system and clients Contractor Supplied Material system (CSM, TRACK).
+ Assist accounting department in identifying and processing payments from customer.
Personnel Management:
+ Submit badge requests for all new personnel.
+ Manage employee records in customer database and internal personnel files.
+ Ensure field personnel certifications are current and maintain up to date records.
+ Maintain job site organization chart for all personnel.
+ Produce manpower reports for the client as required.
Site Administration:
+ Maintain stock of site office supplies.
+ Maintain records of tools and material invoices received from the field.
+ Compile packing slips for all deliveries and submit to accounting for reconciliation.
+ Work closely with the site superintendent to assist with various project tracking activities as needed.
+ Assist with creating and printing miscellaneous labels for field personnel
General:

+ Work independently with little or no supervision after having been shown how to accomplish assignments.

**PREFERRED EDUCATION AND EXPERIENCE**
+ Minimum 1-3 years related experience providing support for construction projects preferred.
+ High school diploma or GED required.
+ Associate degree in related field may be substituted for experience.
**COMPUTER SKILLS**
+ Must demonstrate proficiency in Microsoft Office applications, (i.e. Outlook, Word and Excel)
+ Candidates must have experience with refinery contractor labor tracking and billing systems, such as **Track** ( **or equivalent gate log monitoring systems),** to ensure accurate workforce management, compliance, and invoicing.
+ Knowledge of project cost accounting software a plus.
**LANGUAGE SKILLS**
Must have the demonstrated ability to effectively communicate in English, cooperate, and collaborate with multiple levels of customers, employees, unions, government agencies, vendors and suppliers, and other contractor organizations.
