This role will provide consistent and centralized support to the Talent Acquisition team by driving the onboarding process in an efficient and timely manner, while preserving a high-quality candidate experience and representing the SitusAMC brand. Essential Job Functions:

  • Monitor and conduct onboarding process with the support of IT, Training team, HR, and other departments to create an efficient workflow and follow up when needed

  • Continuously evaluate, develop, recommend, and implement updates to organizational & departmental policies and procedures to identify improvements

  • Create and own documentation of all standard operating procedures for Talent Acquisition and Onboarding teams; update as needed

  • Partner closely with clients at all levels to coordinate communication and onboarding processes while maintaining professionalism and good judgment

  • Create, manage, and provide end to end support of the Talent Acquisition process by opening requisitions, posting jobs, preparing offer letters, handling pre-employment background screens and drug tests

  • Review, analyze and/or interpret background check results while maintaining compliance with company, state, federal and client policies and contracts with minimal supervision. Escalate issues to Management when necessary

  • Will complete administrative tasks as needed such as data entry and integrity audits for confidential employee information, regarding Eligibility to Work (I-9), required documents, signatures, and employee data

  • Will be involved in short term and long term goal planning for the Talent Acquisition department

  • Provides training and guidance to team members on processes and procedures as updates occur

  • Other activities as may be assigned by your manager

Qualifications/ Requirements:

  • Bachelor's degree in related field, preferably Human Resources emphasis/major or equivalent combination of education and experience

  • Entry level professional with some exposure to Human Resources, preferably in Recruiting

  • Experience with scheduling and high-volume calendar management

  • Independent judgment is required to plan, prioritize, and organize diversified workload, recommends changes in programs and procedures related to areas of responsibility

  • Strong analytical ability, good judgment, and multidimensional thinker

  • Self-starter with strong ownership skills, willing to go above and beyond the job description, thrives in a fast-moving environment

  • Customer service approach is equally balanced with the ability to support an efficient process and work with stakeholders to meet deadlines while maintaining a high level of confidentiality

  • Highly organized with the ability to prioritize multiple functions and tasks while managing time efficiently

  • Demonstrated creative problem-solving skills

The annual full time base salary range for this role is

$55,000.00 - $75,000.00

Specific compensation is determined through interviews and a review of relevant education, experience, training, skills, geographic location and alignment with market data. Additionally, certain positions may be eligible to receive a discretionary bonus as determined by bonus program guidelines, position eligibility and SitusAMC Senior Management approval. SitusAMC offers PTO and paid holidays, the terms of which are set forth in the program policies. Summary

The Role

Onboarding Specialists manage the final stages of the sales funnel, working with US merchants to drive the deal through to activation and accelerate the onboarding process. Onboarding Specialists use deep product and industry knowledge to project-manage the onboarding stage of the sales process. The compensation offered to the candidate selected for the position will depend on several factors, including the candidate's educational background, skills and professional experience.

Job Overview:

This role initiates and manages the end-to-end process of new hire onboarding and/or internal mobility management with a focus on a positive customer experience and meeting clearance and orientation deadlines, while ensuring regulatory and RWJBH policy compliance.

These activities include welcoming the new hire and guiding them through the onboarding process, resolving any new hire inquiries, coordinating with other departments and vendor partners, ensuring all onboarding steps are completed correctly and initiating creation of the new hire s personnel file.

This role also manages the end-to-end process of intra-system transfers with a focus on delivering a positive customer, new hire, employee, and manager experience, providing accurate and timely information about changes due to the transfer, while ensuring regulatory and RWJBH policy compliance.

These activities include coordinating with other HR teams or escalating complex issues for resolution and the ongoing maintenance of information and documentation in Service Now, Position Manager and other HR and onboarding systems.

Collaboration and establishment of positive relationships with other members of the HR team, payroll, Corporate Care, benefits teams, and outside vendors and is critical to ensuring positive new hire, employee and manager experiences.

Also, a drive to deliver superior customer service, strong teamwork, and personal accountability to meet or exceed, SLAs, and individual goals and performance metrics is critical to success.

Qualifications:

Required:

  • Associates degree or commensurate business experience required
  • 1-3 years of relevant HR, Talent Acquisition or related work experience required
  • Strong desire and ability to provide excellent customer service to internal and external customers by holding oneself accountable to providing timely, accurate and consistent responses

  • Demonstrated technological acuity and ability to manage competing priorities and tasks in a fast-paced environment to meet deadlines while ensuring a positive customer experience

  • Strong written and verbal communication skills including ability to alter communication styles to deliver information to the audience in the easiest manner for them to understand

  • High degree of personal organization and accuracy in work product, with minimal errors and the ability to effectively communicate updates and manage customer expectations for issue resolution

  • Ability to use interpersonal savvy to develop productive, collaborative, trust-based working relationships with others to drive resulring positive internal and external customer experience while meeting SLAs and individual goals

Preferred:

  • Healthcare industry preferred, but not required

Essential Job Functions:

  • Execute an effective and efficient new hire onboarding and intra-system transfer process, while ensuring the consistency of a positive new hire, employee and customer experience, to meet obligations with respect to high levels of customer satisfaction, regulatory and RWJBH policy compliance, creation of personnel file, and accurate, thorough information collection and system documentation in all onboarding and HR systems
  • Collaborates and communicates well with team members, internal and external customers, and leverages feedback to continually improve effectiveness and customer experience
  • Responds within pre-determined SLAs to new hire or employee inquiry, complaint, or request, asks questions to ensure full understanding of issue, then provides an accurate, timely and thorough response to support a positive new hire or employee experience
  • Ability to develop a strong rapport with the customer by listening and questioning to fully understand the issue, then responding in a way that is easiest for the customer to understand
  • Partners with external vendors, payroll, talent acquisition, benefits, and other members of HR teams to ensure positive customer experience and efficient and effective execution of onboarding and transfer activities in compliance with regulatory and company standards

Under the direction of the Payroll Manager in the Harvest Shared Service Center in the College of Natural and Agricultural Sciences (CNAS), the incumbent will execute transactions for multiple departments for academic and staff personnel. Key responsibilities include assist with staff personnel functions related to on-boarding, separations and record maintenance. Description

The on-boarding Specialist is responsible for ensuring candidates experience a seamless transition during the onboarding process. Reporting to the On-boarding Manager, the onboarding specialist will effectively manage candidates onboarding documents and ensure background checks are handled timely and accurately. The primary responsibilities and functions of the On-Boarding Specialist include:
  • Processes the entire background checks for all new hires which includes, but not limited to registration for fingerprinting appointment, submission of SEL, SCR, MHL and other required background checks.
  • Review the completed onboarding packets and verify that all necessary information are filled completely and accurately in the system to ensure compliance with all local, state and federal laws.
  • Complete data entry of new hire information to activate newly hired staff in the Paycom system, and update the compliance status of current staff in the governmental agency portals. (Ex. Justice Center, eJusticeNY, Criminal History Record Check, Office of Children and Family Services database)
  • Compiles and uploads all documentation into the Paycom system submitted by the new hires, which includes but not limited to employment application, diplomas/degrees, licenses, certifications, identification cards, and other required documentation in relation to employment.
  • Must ensure to conduct and complete I-9 Employment Eligibility Verification within three days from new hires start date. • Maintains open communication to different hiring managers and provides regular updates on the onboarding status for all new hires.
  • This position reports to the On-boarding Manager and will work side-by-side with members of the recruitment team. • Processes and distributes new employee identification cards.
  • Attend and assists the team with New Hire Orientation: may involve reserving room, preparing materials, and following up with obtaining any required documents from new hires.
  • Utilize the New Hire Checklist to verify all employee documents are received and completed accurately, background check clearances are obtained and uploaded, and data enter verifications of professional license, education, and PPD.
  • With the assistance of the recruiters and Director, conduct a Fair Chance Act Analysis and Safety Assessment as needed. • Performs other related duties as required.
Qualifications
  • High School diploma or GED. Bachelor's degree from four-year college or equivalent preferred
  • 2 years of experience on-boarding
  • Strong interpersonal and communication skills.
  • Excellent follow-up and customer service skills.
  • Strong organizational skills, assertive, and able to work independently and collaboratively.
  • Ability to manage time effectively and determine priorities, scheduling and logistics skills with a strong attention to details.
  • Strong knowledge and familiarity with conducting and following up on various background checks, onboarding practices, employment laws, and compliance standards.
  • Ability to work in a team and take initiative, maintain flexibility, and creatively solve problems.
  • Personable. Builds and maintains good rapport with hiring managers across all programs.
  • Highly efficient using HRIS systems and office applications. (Microsoft Office365, Excel, Applicant Tracking System, Job Boards, (and Paycom a plus))
