The Onboarding Specialist is a vital part of the Podium team. Responsible for the initial implementation and onboarding of new customer accounts with a focus on AI agents. This role is a key administrator of global and local onboarding for the People and Culture Employment Operations & Onboarding team to ensure compliance with World Vision International (WVI) recruitment selection and onboarding policies, standard operational procedures, and global best practices. The post holder will be the subject matter expert and will continuously research and recommend new ways of improving the new hire induction and onboarding process for more efficiency.
MAIN RESPONSIBILITIES
Global Orientation and Onboarding:
- Maintain scalable standard operating procedures for the onboarding of the global WVI population.
- Conduct induction and onboarding for all Global Centre hires in partnership with global & local P&C teams and hiring managers.
- Provide expertise on the onboarding process for International Assignees (IA).
- Coordinate IA onboarding with other relevant GC P&C departments like benefits, payroll, and global mobility, as well as external partners.
- Lead onboarding orientation calls as per the established schedule for certain employee types.
- Respond to inquiries related to new hire onboarding and provide fast & efficient solutions.
- Evaluate and triage requests of new hires and their managers, provide guidance, find solutions, and escalate for further assistance when needed.

- Oversee onboarding plans assigned to new employees by the Workday Onboarding module.
- Track onboarding plan progression and assist with troubleshooting at any stage.

You will serve as the bridge between initial inquiry and attorney engagement, shaping the experience and outcome for every future client.
What you'll do:
- Client Engagement & Scheduling: Engage with prospective clients to gather key case details, answer initial questions, and efficiently schedule consultations to move their case forward.
- Phone & In-Person Support: Take client calls, conduct timely follow-ups, and offer in-person support at the office - ensuring no communication is missed and every client receives prompt, attentive follow-through at all times.
- Client Conversion: Maintain a sales-minded approach to intake by confidently guiding prospective clients through our process with empathy and professionalism. Help each individual feel fully supported from the first interaction-clearly communicating the value of our firm, answering questions with care, and ensuring they understand every next step in a seamless and reassuring manner.
- Correspondence & Contract Support: Draft professional client communications and assist in preparing legal contracts under attorney guidance, ensuring clarity, accuracy, and a high standard of quality in all written materials.
- File & CRM Management: Organize and maintain accurate client records by managing files, databases, and CRM entries, ensuring all information is complete, up to date, and easily accessible to support a smooth intake process.
- Cross-Department Collaboration: Collaborate with attorneys, paralegals, and reception to coordinate across departments and deliver a smooth intake experience.
- Process Improvement: Support the overall intake strategy through participation in team meetings, brainstorming improvements, and identifying better ways to support prospective clients.
- Client-Facing Background: 2+ years in a client-facing role such as customer service, sales, or administrative support. Intake experience within the legal industry, especially in criminal defense law, is highly advantageous.
- Language & Communication: Bilingual fluency in English and Spanish with strong written and verbal communication skills, enabling clear and professional client interactions across diverse backgrounds.
- Emotional Intelligence: Ability to remain calm, empathetic, and composed under pressure, creating a supportive experience for clients during highly emotional or stressful situations.
- Problem-Solving & Critical Thinking: Sharp analytical skills and sound judgment, with the ability to assess situations quickly and contribute to effective solutions.
- Operational Accuracy: Highly organized with a keen eye for detail and a strong commitment to maintaining accurate documentation and upholding process integrity.
- Technical Skills: Proficient in Microsoft Office and Google Workspace. Experience using CRM, case management, and call handling software - such as Lawmatics, Clio, and similar platforms - is a plus.
- Legal Writing: Willingness to learn how to draft legal contracts and assist with writing or editing firm documents, with on-the-job training provided.

The Onboarding Specialist will be responsible for ensuring a smooth and welcoming transition for new employees as they join our organization. This role will oversee the end-to-end onboarding process, ensuring that new hires are properly integrated into the company culture, equipped with the resources they need to succeed, and set up for long-term success in their roles.
Key Responsibilities:
- Onboarding Process Management:
- Oversee the entire onboarding process for new hires, from pre-boarding to the completion of their initial onboarding period.
- Ensure new employees are provided with all necessary resources and materials, including access to relevant systems, equipment, and tools.
- Coordinate with HR, IT, and other departments to ensure all onboarding tasks are completed on time and accurately.
- Employee Orientation:
- Conduct engaging and informative new hire orientations, introducing employees to Orvix Engineerings company culture, values, policies, and procedures.
- Provide an overview of employee benefits, compliance requirements, and organizational structure.
- Ensure new employees have a clear understanding of their roles, expectations, and available support systems.
- New Hire Integration & Support:
- Act as the main point of contact for new hires during their initial onboarding period, answering questions and offering assistance as needed.
- Help new employees integrate into their teams by facilitating introductions, providing information on team structures, and fostering connections.
- Ensure that new hires feel supported and welcomed as they transition into their roles.
- Documentation & Compliance:
- Ensure that all required new hire documentation, including contracts, tax forms, and identification records, are completed and properly filed.
- Ensure compliance with company policies, legal requirements, and industry standards during the onboarding process.
- Maintain accurate records of all new hire activities, tracking progress through the onboarding process and ensuring timely completion of required tasks.
- Training & Development:
- Collaborate with training coordinators and department managers to ensure new hires receive relevant training and professional development resources.
- Coordinate initial job training and development schedules for new employees.
- Track and assess the effectiveness of onboarding training and make recommendations for improvement.
- Feedback & Continuous Improvement:
- Gather feedback from new hires regarding their onboarding experience through surveys, interviews, or informal check-ins.
- Analyze feedback and recommend improvements to the onboarding process based on employee insights and industry best practices.
- Work with HR leadership to continuously improve onboarding materials, processes, and initiatives to ensure they align with company goals and culture.
- Collaboration with Hiring Managers:
- Work closely with hiring managers to ensure they are prepared for the arrival of new employees, including setting up necessary workspaces and access to tools.
- Support hiring managers in ensuring new hires understand their roles and expectations during the initial phase of employment.
- Monitor new hire progress, addressing any issues or concerns as they arise, and ensure they receive the necessary resources to succeed in their roles.
Required Qualifications:
- Education: Bachelors degree in Human Resources, Business Administration, or a related field, or equivalent work experience.
- Experience:
- 1+ years of experience in onboarding, human resources, or employee relations.
- Strong knowledge of onboarding best practices, HR compliance, and employee training.
- Experience working in a fast-paced or technical/engineering environment is a plus.
- Technical Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HRIS software (Workday, BambooHR, or similar).
- Familiarity with employee benefits systems and other HR tools.
- Ability to manage multiple onboarding tasks simultaneously with a high level of organization.
- Soft Skills:
- Excellent verbal and written communication skills.
- Strong interpersonal skills, with the ability to connect with people at all levels of the organization.
- High attention to detail and ability to manage tasks efficiently.
- Ability to handle confidential and sensitive information with discretion.
- A customer-service mindset with a passion for delivering exceptional experiences.
Pay: $22.00 - $35.00 per hour
