Job Description
Order Monitoring & Shipment Tracking • Track and monitor the status of orders from confirmation to delivery — using order management, shipping, or logistics tools.
• Proactively spot potential issues or delays (e.g. transit disruptions, carrier delays) and flag them early.
• Provide regular updates on shipment status to internal teams and customers.
Logistics & Carrier Coordination • Engage with carriers, freight forwarders, or shipping partners to schedule pick-ups, coordinate deliveries, and update transit timelines.
• Manage shipment scheduling and routing adjustments based on logistics changes, weather, or capacity constraints.
• Work with warehouse or fulfillment teams to align shipping timelines, dock scheduling, and dispatch procedures.
Issue Resolution & Exception Handling • Investigate shipment exceptions (missed deliveries, damaged goods, lost or delayed packages), identify root causes, and coordinate resolution.
• Liaise with carriers, warehouse staff, vendors, and customer support to resolve logistics issues swiftly.
• Drive decision-making around re-shipments, refunds, or reroutes when necessary.
Documentation & Compliance • Maintain accurate logistics records: tracking numbers, carrier documentation, proof of delivery, bills of lading, customs paperwork, and delivery confirmations.
• Ensure that shipments follow company processes, carrier requirements, and regulatory or customs compliance rules.
Reporting & Performance Analysis • Capture and report on key logistics and order fulfillment metrics — such as delivery times, transit delays, shipping exceptions, and carrier performance.
• Analyze logistics data and suggest improvements or process optimizations to minimize delays, reduce costs, and improve service reliability.
Customer Communication & Collaboration • Keep customers and internal stakeholders informed about delivery timelines, issues, or changes.
• Collaborate cross-functionally with customer service, sales, fulfillment, and supply chain teams to improve logistics visibility and delivery predictability.
Ideal Qualifications & Skills
Familiarity with order management, shipping, or logistics tracking tools (e.g. ERPs, TMS, tracking platforms).
Strong organizational and detail-oriented skills, with the ability to monitor multiple shipments or logistics flows simultaneously.
Good communication and coordination capabilities to interface with carriers, warehouse staff, and customers.
Problem-solving mindset to handle logistics exceptions and resolve delivery issues quickly.
Comfortable working under pressure and managing logistics delays, exceptions, or time-sensitive shipment challenges.
• Receive, review, and verify incoming customer orders from multiple channels (e.g. web, email, phone, marketplaces).
• Check orders for completeness, accuracy, and required documentation.
• Clarify missing or ambiguous order details with customers or sales teams.
• Enter or upload orders into order management systems, CRMs, or ERP platforms in a timely and accurate manner.
