Department Summary:
The Payroll Analyst is responsible for the overall preparation, audit, and reconciliation of all information in relation to payroll, benefits and accounting. The Payroll Analyst plays a crucial role in improving payroll operations, providing analysis and recommendations on compliance and efficiency, ensuring accuracy, and contributing to continuous process improvements within the payroll function.
Roles & Responsibilities:
+ Oversee and exercise judgement in the timely and precise execution of all payroll processing activities-including data entry, funding preparation, payroll reconciliations, and report distribution-for a large, multi-state nonprofit organization.
+ Conduct internal audits and perform detailed reconciliations to identify risks, resolve discrepancies, and ensure accuracy and compliance with payroll data
+ Extract and verify payroll data from multiple sources, analyzing trends and providing management with recommendations for process improvement and audit readiness
+ Review and audit timekeeping data at a systems level to ensure organizational compliance and accuracy, rather than only transactional review in preparation for payroll processing.
+ Interpret and apply state-specific regulations in administering final pay for terminated employees, ensuring compliance with deadlines and legal requirements.
+ Oversee and respond to state-level unemployment claim inquiries as applicable to payroll specific information, ensuring timely and accurate submission of required documentation.
+ Audit and validate third-party benefit invoices, ensuring accuracy and coordinating resolution of discrepancies with vendors.
+ Analyze tax forms, garnishment orders, and other legal forms, providing interpretation and guidance to ensure proper processing in accordance with Federal/State guidelines.
+ Ensure compliance with all legal and regulatory requirements, including tax laws, wage and hour laws and other payroll-related regulations, and advise management on potential risks and corrective actions.
+ Respond to inquiries by conducting thorough research and delivering clear, concise resolutions through both written and verbal communication.
+ Document and assist in the development of new processes and procedures, proactively recommending improvements to enhance payroll governance and efficiency.
Basic Qualifications:
+ Typically requires a Bachelor's degree and a minimum of 2 years of related experience; or an advanced degree with relevant experience who can immediately contribute at this job step; or equivalent combination of related education and work experience.
+ Understanding of basic accounting principles and/or payroll processing
+ Strong analytical problem-solving skills, attention to detail, and proficiency in Microsoft Excel are essential.
+ Able to work both independently and within a team environment
+ Excellent communication skills and service-oriented mindset

**Job Purpose**

+ Analyze payroll data to identify trends, discrepancies, and opportunities for process improvement.

**Requirements**
+ Bachelor's degree in Accounting, Finance, or a related field.
+ 3+ years of experience in payroll analysis, tax filing, or financial reporting.
+ Strong knowledge of payroll tax regulations and general accounting principles.
+ Experience with ERP systems (e.g., Workday, SAP, Oracle) and payroll platforms (e.g., ADP, UKG).
+ Familiarity with union reporting requirements and collective bargaining agreements.

The Payroll Analyst is responsible for managing and analyzing payroll data to ensure compliance with internal policies and external regulations. This role will focus on preparing payroll reports, identifying variances, and ensuring payroll is processed accurately and on time. Key Responsibilities:
+ Review and process payroll data accurately for employees, including hourly, salaried, and commissioned staff.
+ Prepare detailed payroll reports and analyze trends and discrepancies for resolution.
+ Ensure compliance with federal, state, and local tax regulations and labor laws.
+ Manage payroll deductions, garnishments, benefits contributions, and other adjustments.
+ Collaborate with the accounting department to reconcile payroll expenses and liabilities.

Requirements

+ Proficiency in payroll software such as ADP, Workday, Paylocity, or Ceridian. Advanced Excel skills (e.g., pivot tables, formulas, VLOOKUP).
+ Familiarity with payroll regulations, tax compliance, and labor laws.
+ Strong analytical skills, attention to detail, and excellent communication abilities.
Preferred Qualifications:
+ Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.

**Overview**
The role is a highly analytical and detail-oriented position, responsible for supporting U.S. payroll operations in a complex, multi-state environment. This role requires accurate and compliant processing of payroll, timekeeping data, and payroll accounting transactions. The position will also assist with audits, reporting, employee inquiries, and payroll systems testing.
**Responsibilities**
**A DAY IN THE LIFE:**
**Payroll Processing & Compliance**
+ Process biweekly payroll for U.S. hourly and salaried employees in Workday.
+ Ensure accurate time and attendance data import from timekeeping systems; reconcile variances.
+ Perform off-cycle payroll runs, adjustments, and manual checks as needed.
+ Ensure compliance with federal, state, and local wage and hour laws, garnishments, and tax regulations.
+ Support audit and compliance functions by developing reports and ensuring proper system setup.
+ Collaborate with third-party vendors to ensure payrolls are accurately completed per payroll schedules for employees in the U.S.
**Payroll Accounting & Reconciliation**
+ Prepare and review payroll-related journal entries, accruals, and intercompany transactions in partnership with the Finance team.
+ Assist with reconciling payroll accounts to the general ledger and identifying/resolving discrepancies.
+ Track and ensure proper accounting treatment of deductions, taxable wages, and benefit transactions.
+ Provide data for month-end close, audits, and payroll tax reporting as needed.
**System & Process Support**
+ Assist in system testing and upgrades, including validating payroll patches, enhancements, and new functionality.
+ Recommend process improvements and automation opportunities to enhance efficiency and accuracy.
+ Maintain up-to-date process documentation and contribute to internal knowledge bases.
**Employee Service & Communication**
+ Respond to employee and HR inquiries regarding pay, deductions, and time reporting with accuracy and a customer-first approach.
+ Partner with the HR Services team to train users and address common payroll questions.
+ Escalate complex issues to the Payroll Manager with analysis and recommendations for resolution.
**MUST-HAVES:**
+ Bachelor's degree in Accounting, Finance, HR, or related field (or equivalent experience).
+ 3-5 years of U.S. payroll experience in a mid to large-size corporate environment.
+ Strong working knowledge of payroll processing, taxes, and multi-state wage & hour regulations.
+ Experience with Workday Payroll and Time Tracking preferred; other ERP/payroll systems (ADP, Oracle, UKG, SAP) also valuable.
+ Proficiency in Excel and reporting tools; strong analytical and reconciliation skills.
+ CPP or FPC certification is a plus but not required.
+ Detail oriented with a commitment to accuracy, compliance and continuous improvement.
