Tradesmen International is seeking a detail-oriented and adaptable Prevailing Wage Coordinator to join our Payroll Compliance team. This role plays a key part in ensuring prevailing wage compliance across multiple states by processing and correcting certified payroll reports, maintaining prevailing wage job assignments, and supporting internal teams.
Key Responsibilities:
- Process weekly multi-state prevailing wage and certified payroll reports
- Review and correct certified payroll discrepancies, including backpays
- Maintain and update prevailing wage job records and assignment tracking
- Enter data into tracking systems and maintain compliance documentation
- Assist field offices with prevailing wage processes and compliance questions
- Respond to internal and occasional client inquiries related to certified payroll
- Serve as a backup to the Payroll Processor
- Ensure accuracy and compliance with federal, state, and local wage laws
- All other duties as assigned
- 2-5 years of prevailing wage experience required; familiarity with Davis-Bacon and state-specific regulations preferred
- Experience with LCPtracker, eMars, or Elation is a strong plus
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a bonus but not required
- High attention to detail and strong auditing capabilities
- Proficient in Microsoft Excel and general MS Office Suite
- Ability to manage multiple priorities under strict deadlines
- Strong organizational and communication skills
- Must maintain a high level of confidentiality and integrity

Typical Day in the Life
A typical day as a Payroll Compliance Analyst (Associate) might include the following:
- Review collective bargaining and trust agreements for local and international labor unions.
- Complete data entry and analysis of employer records such as payroll, timecards, general ledgers, accounts payable, and other financial documents to assess compliance of employee benefits.
- Perform testing to determine if there are process and control weaknesses of payroll, compare source records against payroll documents, and reviewing employee lists and cash disbursements for compliance with union agreements.
- Communicate with clients and provide excellent service and responsiveness via phone, e-mail, and in-person contact.
- Receive in-person and on-the-job training from a team of senior associates who will help you manage assignments and provide guidance through your assignments.
- Travel with Senior Associates to employer locations and meet with diverse clientele to perform on-site testing, and ensuring efficient and timely completion of the engagement.
- Work with our clients who come from more than a dozen industries and have participating companies with up to 80,000 employees and net assets that range from $100K to over $0B.

- You are comfortable traveling to different locations to conduct payroll compliance audits (15-20 percent travel is required in the role).

The Payroll Tax Compliance Specialist ensures Border States is compliant with all federal and state payroll taxing authorities, establishes controls to verify compliance, and trains payroll staff on regulatory changes.
ResponsibilitiesEssential Functions
- Ensures compliance with all federal and state payroll regulations.
- Provides communication and training of regulatory changes to all appropriate individuals.
- Ensures all regulatory reports are filed within established deadlines.
- Maintains state tax accounts, including the establishment and closure of tax withholding and unemployment accounts, as needed.
- Resolves issues with tax agencies in a timely manner.
- Establishes controls to verify compliance with regulatory agencies and accuracy of pay statements and ensures tests are performed according to prescribed timelines.
- Ensures tax withholdings are received by filing agency and filed on-time.
- Audits employee tax withholding information to ensure appropriate state taxes are being withheld.
- Assists accounting with reconciliation of payroll tax accounts.
- Ensures tax information reported on Form W2 is accurate.

- Responds to payroll tax related inquiries and resolves payroll concerns.
- Generates ad-hoc reports as needed.
- Reviews processes and recommends improvements as they are identified.
- Ensures all processes are properly documented.
- Updates the payroll project plan for all acquisitions.
- Tests upgrades to payroll software and inbound and outbound interfaces.
- Completes other duties as assigned by supervisor or other designate.
- Four-year accounting or business degree or the equivalent in related work experience.
- Five years prior work experience in payroll preferred.
- Requires a strong working knowledge of federal/state payroll regulation and payroll accounting.
- Strong working knowledge of Windows and Microsoft Office (Excel, Access, Word and PowerPoint) preferred.
- Builds and maintains a positive working relationship with all employees.
- Acts as a liaison between employees and management, as needed.
