The Senior Building Administrator has shared responsibility for the day to day operations and maintenance of several buildings across the Penn Engineering portfolio, including facilities repairs and maintenance, cleanliness (housekeeping), mission continuity, lab/life safety, security, building access and key control. Negotiate and manage contracts with vendors who support critical infrastructure for academic and research missions for Penn Engineering. Regularly interact with FRES Administration to ensure service level agreements are being met. Maintain departmental database integrity for Work Orders, Keys, etc. Maintain shared 24/7 on call status for emergency situations and Penn Engineering needs such as utility shutdowns, lab lockouts, elevator entrapments, etc

Job Responsibilities
+ Assist with the various aspects of physical plant operations, including complex mechanical and electrical systems. Has shared responsibility for ensuring maintenance across the Penn Engineering portfolio is completed on time and on budget. Share 24/7 on call status for emergencies.
+ Oversee maintenance needs at satellite facilities using contract labor.
+ Conduct daily/weekly building inspection and quality control tours.
+ Represent EOS at capital project meetings.
+ Complete event setups, as needed
Qualifications
Bachelor's degree and three to five years of facility operations, maintenance or project management experience, preferably in a higher education or tier 1 research setting, or an equivalent combination of education and experience. Proven successful experience working with unionized trade personnel, contractors, and unionized housekeeping personnel. Working knowledge of building utility, life safety and access systems and experience with building automation systems. Experience negotiating contracts with external vendors. Strong analytical, interpersonal and communication skills and the ability to work collaboratively within a team setting in a fast paced and demanding environment. Proficiency with Microsoft Office Applications & Database Management. Valid driver's license and the ability to be on 24/7 emergency call status.

Job Description Summary
Reporting to the Slate Application Developer in the Office of Academic Innovation, the Slate System Support Specialist is responsible for the effective coordination, support, and maintenance of the Slate CRM system. This role will predominantly be supporting the student success system needs for online, on-campus masters and graduate degrees; this role may also support admissions features where appropriate and necessary, as well. The Support Specialist is responsible for escalating issues to and collaborating on cases with the Slate System Developer to ensure timely and accurate addressing of requests. This role should feel comfortable with independently maintaining workflows, managing application cycles, and providing technical support for events and marketing campaigns/emails. They will be the direct support contact for the online admissions and marketing team.
Strong candidates for this position will have 1-3 years of experience with the Slate system, are familiar with the features that drive the admissions system, and are able to generally troubleshoot related concerns. Additionally, candidates with strong organizational and administrative skills will be good candidates as this role will require supporting administrative tasks for recruitment events, office hours, and student affairs events that use Slate to capture registration. This role will be hybrid and should anticipate two (2) days in-office in Philadelphia on the University of Pennsylvania campus.

Slate Process Coordinator
+ Coordinate/operate the Slate Admissions System for Penn Engineering, supporting online programs, on-campus masters and Ph.D., and our K12 admissions rounds
+ Support coordination of the Student Success system features, as well
+ Manage the process of turning Student Success modules on and off for each cycle
+ Make system updates where appropriate, either live or between admissions application cycles; will collaborate with the Slate System Developer
+ Support workflow maintenance, including clearing workflows in preparation for the next cycle
+ Provide troubleshooting support for the Admissions/Marketing/Student Success team and serve as the primary support contact for the online Admissions/Marketing/Student Success team
Campaigns & Deliver Communications Support
+ Support the development/build of ad hoc and campaign/drip emails in the Slate system, including recipient list queries, merge fields, and logic.
+ Work with Slate System Developer to confirm and build Deliver message queries where appropriate, along with conditional logic, merge fields, etc.
Request Processing, Triage & Escalation
+ Triage incoming Slate-related requests into the various help channels (Slack, ticket request forms, etc.) and provide tier 1 support.
+ Manage the Slate Helpdesk Asana board and in collaboration with team, migrate issues to the backlog.
Cycle Preparation Checklist Coordination
+ Maintain and coordinate the cycle preparation checklist projects in Asana to ensure all tasks are completed on schedule.

System & General Support
+ Ensure the Slate system has accurate user and permissions information.

+ Consistent deduping of records to ensure data accuracy and cleanliness.

Required

+ Partnership Development: Build and maintain relationships with school districts, elementary and middle schools, teachers, and community partners. Coordinate student recruitment in collaboration with district and school stakeholders. Represent the Academy at meetings, school events, and outreach fairs.
+ Staff & Student Supervision: Recruit, train, and supervise graduate and undergraduate STEM coordinators, instructors, and volunteers. Provide mentorship and ensure staff and students are prepared to deliver engaging, age-appropriate instruction and support.

Job Responsibilities
The Pre-Award Coordinator will:
+ Review assigned proposal requests and examine each proposal response announcement for variations from past practices and stay current with detailed instructions particular to each submission, advise PIs of such requirements and details, and make changes to documents prior to submission, if necessary, with Associate Director and/or Director assistance.
+ Become familiar with each proposal solicitation to be able to advise PIs in the preparation of correct proposal files and necessary components for NSF and NIH.
+ Prepare accurate budgets in Excel using existing templates, budget justifications, and other Sponsor cost elements, understanding sponsoring agency regulations and University policies regarding allowability and allocability in consultation with Principal Investigators, postdocs, and graduate students, with assistance from the Associate Director and/or Director.
+ Manage outgoing subaward documentation and advise incoming subcontracting partners of necessary requirements and timing for subcontract documentation.
+ In appropriate online systems, create and populate research proposals conforming to Sponsor and University guidelines, managing all necessary documents for submission.
+ Act as liaison between faculty, ORS, and PCI, especially regarding management of tight timelines, and maintain accuracy in both processing and advising PIs of next steps to manage submissions. and records of proposal files.
+ Perform initial reviews of proposal documents for formatting, spelling, and grammatical errors. Ensure adherence to guidelines and requirements.
+ Support other Research Services roles & responsibilities as necessary.
+ Ensure accuracy and compliance with sponsor regulations and institutional policy.
+ Communicate with faculty, institutional, federal, private, program, and other officials in grant-related matters.
In addition to the above, the Pre-Award Specialist will work with limited assistance and actively participate in specific projects and more complicated grants, including NSF, NIH, DARPA, DOE, DOT, NASA, Foundations, and will work with multiple subcontract proposals and budgets, including cost share. Advise PIs of proposal changes necessary for compliance. Master Internal, NIH, NSF, and DOD and multiple subaward proposals and processes. Work with the Signing Official and PIs to adjust or make other necessary changes to documents prior to submission. Assist in training, orienting, and assisting other staff, and support other Research Services roles & responsibilities as requested.
Qualifications
+ Bachelor's degree with 2-3 years of related experience or an equivalent combination of education and experience.
+ Experience with Pre-Award requirements and a working knowledge of grant and contract policies and regulations preferred.
+ NSF and/or NIH experience preferred.
+ Ability to manage deadlines, exceptions, and last-minute changes.
+ Able to manage and meet frequent and tight deadlines.
+ Exceptional verbal and written communication skills. Excellent organizational and time management skills, Strong attention to detail.
+ Experience with Excel and Microsoft Office.
In addition to the above qualifications, the Pre-Award Specialist requires the following:
+ Bachelor's degree with 3-5 years of related experience or an equivalent combination of education and experience.
+ Knowledge of Systems, for example, but not limited to: SciENcv, Novelution, eRA Commons, PennERA, Proposal Central, PennERA or equivalent internal processing system, foundation portals, Grants.gov, and eBRAP.
+ Intermediate experience with Excel and Microsoft Office.
+ Strong analytical skills.
+ Must attend PEFS Pre-Award Specialist "Fast-Track" training sessions.

+ Collaborate with the Director to lead K-12 STEM outreach and engagement projects with faculty, students, and strategic partners at various stages of project development and project implementation, including identifying potential partners, finding a good match between research and educational project outcomes, and creating experiences for students with a range of ages and backgrounds. Collaborate with internal and external stakeholders to identify community needs, assess the effectiveness of STEM programs, and gather feedback for continuous improvement.
+ Lead, develop, and implement community engagement and outreach projects, events, and initiatives to promote positive relationships between Penn Engineering and the community, with a specific emphasis on STEM education (including Computer Science, Robotics, Data Science, and AI). This includes out-of-school time activities, school-embedded enrichment activities, and campus activities. Collect and analyze relevant data to assess the success and impact of community engagement and STEM programs.
+ Lead and collaborate on logistics associated with community engagement and outreach projects. This includes room reservations, booking buses, ordering supplies, organizing supplies, making travel arrangements, corresponding with presenters, and setting up virtual meetings (e.g. via Zoom), making travel arrangements for in-person events, and disseminating communications to internal and external audiences.
+ Partner with the Director to coordinate Penn Engineering Outreach hires and assign appropriate tasks. Recruit, train, and coordinate student hires and volunteers to support community engagement and STEM outreach initiatives. Provide guidance and support, ensuring a positive and impactful experience for student hires, volunteers, and the community.
+ Autonomously update and maintain repositories, databases, mailing lists, websites, newsletters, and listservs. Create compelling content and materials to effectively communicate STEM program objectives, achievements, and impact to diverse audiences. Utilize various communication channels to raise awareness and engage the community in STEM-related activities.
+ Respond to and disseminate email inquiries from faculty, staff, postdocs, students, and community partners to the appropriate staff person. Work closely with other departments to align community engagement efforts, especially in STEM, with organizational goals and values.
+ Collaborate with the Director of Community Engagement and Outreach to develop long-term strategies for sustained community impact, particularly in the STEM education space.
+ Coordinate with the Director and staff to ensure all projects meet target goals.
Qualifications
Bachelor's degree (e.g., community development, K-12 education, non-profit management, STEM education) and two to three years of related experience successfully managing events and/or programs including promotion, recruitment, logistics, registration, and content planning or an equivalent combination of education and experience. Familiarity with community resources, dynamics, and a passion for promoting STEM education (including Computer Science, Robotics, Data Science, and AI).
Demonstrated problem-solving skills, meticulous attention to detail, independence, and success working in a team environment. Excellent organizational, time management, and written, verbal and interpersonal communication skills.
Must pass a background check for working with minors in PA and continue to recheck every 60 months.
Preferred:
Experience working collaboratively with students, schools, and community groups
Previous project management experience, especially in managing multiple projects at one time
Experience in K-12, informal, and/or higher education
Previous grant writing experience writing Broader Impacts portions of National Science Foundation grants and/or comparable grants
Familiarity with survey and data collection, especially with minors
Experience building strong relationships across university colleges, centers, and institutes and with the Community
Familiarly with education research
Previous research experience, especially related to STEM
